User management

User Registration / Add User

USER REG.
FINGER 1

Input ID:

Press Finger !

NOTE:
In adding a user or in registering the fingerprints of the employees, one important thing to
remember is that you need to have a master list of employees so that you have an idea who is
(ex. Number 1, 2,3,…etc., or any ID up to six digit for you to identify who is that employee
assigned to that number. That ID number will serve as the identity number for that specific user.
You can only enter a pure numeric ID in the system.

Steps:

1. From the main screen, enter the default administrator password, (09999). (This original
password can be changed through the background T&A management system program.
(Software discussion)
2. Press the #
key (OK key). The machine will automatically display the USER REG.
3. Enter the designated ID number of an employee or user (you can assign an ID from 1 up
to 6 digit number, ex. 1082)
4. Press the #
key (OK key).
5. After pressing the # key, the machine will tell you to press finger. After the first press, the
machine will tell you to press again the finger. (Any finger will do, but preferably, use the
right index finger because it can be easy control or manage.)

After the step number 5, the machine will say “Pass” and the green indicator light will light up
when the registration was successful and “Not Pass” if it’s not and the red indicator light will light
up, so you need to try again (follow steps 3 to 5).

6. Step 6 is optional. This can be applied if you want to register a back up finger. As shown
in the illustration above, FINGER 1 serves as the primary finger. For example, if the step
5 was successfully done, press F2 key and the machine will turn to FINGER 2. That
means, you can register a backup finger (follow steps 3 to 5). It would be better if you will
use the left index finger for the backup. If you want to register another employee, just
press F1 key until you go back to FINGER 1. (Follow the registration procedure). Press
* if all the registration was done to go back to the main screen.

To obtain a successful registration, proper scanning of fingerprint must be applied.


Delete User

DEL. USER

Input ID:

Steps:

1. From the main screen, enter the default administrator password, (09999).

2. Press the key (OK key).

3. Press the IN/OUT key to select DEL USER.


4. Input the user’s ID, whom you want to delete.

5. Press to delete.

Both primary and backup fingers will be deleted automatically when you do the deleting process.

Date and Time Settings

NOTE:
Before using the device in an actual operation, you must first consider to set the date and time of
the machine. This is very important to prevent errors in viewing the transactions of In/Out in the
software.

Steps:

1. From the main screen, enter the default administrator password, (09999).

2. Press the key (OK key).

3. Press the IN/OUT key until you go to SET TIME menu.


4. Input the correct date and press #
to save. (The date format is DD-MM-YY)

5. After the setting of date, press again the IN/OUT key to set the time.
6. Input the correct time and press #
to save. (The time format is a 24hr time)

Please select one of the three communications (、TCP/IP or USB 、RS232) for data transfer.

Instruction code: 990002 (for USB or TCP/IP mode) 990003 (for RS232 mode)

For other important codes concerning with the device, please contact the Mustard Seed’s

Installation Procedure

1. Insert the Mustard Seed Systems Bio Office Time and Attendance Software in the drive
disk.
2. Explore the CD and click the Set up under the Mustard Seed Systems Bio Office folder.
3. After clicking the Set up, the Set up Wizard will appear. Then follow the installation
procedure.
Uninstalling the Software

1. Go to Start then Settings and then Control Panel.


2. Under the Control Panel, click Add or Remove Programs.

3. Under Add or Remove Programs, select the Mustard Seed Systems Bio Office software
from the list, and then click Remove. Then the confirmation will appear. Click Yes.

4. After clicking the Yes button, the prompt will show that the software was successfully
removed from the computer, and then click OK.
SOFTWARE TRAINING

NOTE:
For the first time that you will be working with the software, double click the Mustard Seed
Systems Bio Office icon located in the desktop and then click OK when the password prompts,
since there is a default Admin in the system. The User and Password settings will be discussed
on the latter part.

SOFTWARE MENUS
Connection between the device and the software using the different Communication ports

USB CONNECTIVITY (Applicable for AV100-USB only)

This is one of the available communication ports that can be used to link the device and the
Mustard Seed Systems Bio Office Software. Through the use of flash drive (any flash drive brand
regardless of the capacity), it can transfer important data like the In/Out transactions and the
registered user from the machine going to the software.

Creating commands to the flash drive

NOTE:
Having a flash drive doesn’t necessarily mean that you can retrieve important information coming
from the machine anytime you want. For you to be able to retrieve data and change the settings
of the machine, you need to put a command file to the flash drive and that command file can be
generate using the software.

Steps:

1. Put the flash drive to the USB port of the computer.


2. Open the software and go to Bio Office Device Menu and select the USB Connectivity
Module.

Under the USB Connectivity Module, make sure that the location of the flash drive in the
Flash Disk Drive section is correct.

In the “Create Commands for USB” tab, you can generate the different commands by just
checking the boxes of the respective commands. These commands will dictate the machine if
what function would you like the device to do.

3. As an example, if you want to download the new registered fingerprints of the employees
and their respective In and Out from the device going to the software, then you only need
to check the two commands under Records (Data Retrieval) as shown in the illustration
above. After that, click Create Command File button. Then the prompt will show that the
commands that you want to create were successfully done and were saved in the flash
drive.
4. Before you remove the flash drive into the computer, make sure that there’s a command
created in the storage device (AVZ command folder).
5. After creating command(s) in the flash drive, you can now insert it in the USB slot located
at the left side of the device.

Make sure that the device was set in USB mode (990002) before you insert the flash drive.

6. When you insert the flash drive, the indicator light beside the USB slot will blink for
several times. Wait until the light stop blinking. If the light turns into steady green color,
that means that the downloading process was successful, but if the light turns into steady
red color, that indicates that the downloading fails so you need to double check your
procedure of retrieving data using the flash drive.
7. When step 6 was done properly, remove the flash drive from the USB slot of the machine
and that’s the time when the data can be transferred in the software.
8. Insert the flash drive in the USB slot of the computer. Before you proceed with the
software, double check if there’s a data (ex. AVZ001 folder) created in the flash drive and
double check if that folder has a data inside. If it has, you can continue to the software
but if there’s no data, delete that folder (ex. AVZ001) then repeat steps 5 to 7.

Retrieving data from the flash drive

Steps:

1. Based from the example above (step 3), open again the Mseed Bio Office software then
go to Bio Office Device menu then USB Connectivity Module and then select the
“Process Retrieved Data from USB” tab.
If you want to transfer the user/staff finger from the device, click Analyze Users/Staffs button.

As illustrated above, the entire Staff ID / registered fingerprint from the device will be displayed.
Each Staff ID must have a profile in the software in order for them to view their In and Out
transactions.

2. To assign a profile for specific Staff ID, select the Staff ID and then click Assign button
and then double click <Add Employee>.
Make sure to fill up all the important fields from the profile section because if not, this prompt will
flash:

3. After the completion of filing the profile, click Save and Close button and the system will
inform you that the employee record was successfully saved and then click OK button.
4. After making a profile to specific Staff ID, double click the name of the employee under
the list of unregistered employees (ex. Nacionales, Eric [1082] as shown above). And
then the confirmation prompt will show. Click Yes button if you want to assign that
specific Staff ID to the profile that you’ve made.

After the verification, if you click the Yes button, the system will tell you that the Fingerprint Staff
ID was successfully assigned to the profile that you’ve created then click OK button and it will be
categorized in the Registered Employee list (as shown in the illustration below).

5. If you want to unassign the specific Staff ID number to the specific employee profile,
select first the Staff ID and click the Unassign button, and the confirmation prompt will be
display, click the Yes button.
Retrieving In and Out transactions from the flash drive

Step(s):

1. Under Bio Office Device menu, again click USB Connectivity Module, and then select
the Process Retrieved Data from USB tab, and finally, click the Analyze I/O
Transactions button. Wait for the confirmation to appear. Click the OK button.

2. To double check if there’s an In and Out transactions downloaded in the software, go to


Timesheet menu and then click View Timesheet.

RS232 CONNECTIVITY (Applicable for AV100-TCP/IP and OA100 only)

This is one of the available communication ports that can be used to link the device and the
Mustard Seed Systems Bio Office Software. Through the use of the serial port, it can transfer
important data like the In/Out transactions and the registered user from the machine going to the
software.

Retrieving User/Staff using RS232

In using RS232 communication port, make sure that the device was set into RS232 mode
(990003).

Steps:

1. Open the software and go to Bio Office Device Menu and select the Fingerprint
Assignment Module.

2. In the Device Connection Properties, make sure that all the parameters for RS232
connection must set as shown in the illustration below.
3. After setting all the parameters, click Connect Now button.

NOTE:
In case of the problem in connecting with the device, the system will automatically inform you that
there is a connection problem. Make sure to insert or connect the RS232 in both the device and
in the computer properly. If the problem continues, try to connect the device and the software
using other communication port (Com Port).

4. If the connection was successful, the Fingerprint Assignment Module will appear, as
shown in the illustration below.

As illustrated above, the entire Staff ID / registered fingerprint from the device will be displayed.
Each Staff ID must have a profile in the software in order for them to view their In and Out
transactions.

5. To assign a profile for specific Staff ID, select the Staff ID and then click Assign button
and then double click <Add Employee>.
6. Make sure to fill up all the important fields from the profile section because if not,
this prompt will flash:

inform you that the employee record was successfully saved and then click OK button.
7. After making a profile to specific Staff ID, double click the name of the employee under
the list of unregistered employees (ex. Nacionales, Eric [1082] as shown above). And

specific Staff ID to the profile that you’ve made.

After the verification, if you click the Yes button, the system will tell you that the Fingerprint Staff
ID was successfully assigned to the profile that you’ve created then click OK button and it will be
categorized in the Registered Employee list (as shown in the illustration below).

8. If you want to unassign the specific Staff ID number to the specific employee profile,
select first the Staff ID and click the Unassign button, and the confirmation prompt will be
display, click the Yes button.
Retrieving In and Out transactions using RS232 port

Step(s):

9. Under Bio Office Device menu, again click Download In and Out From Device

10. In the Device Connection Properties, make sure that all the parameters for RS232
connection must set as shown in the illustration below.

11. After setting all the parameters, click Connect Now button.

NOTE:
In case of the problem in connecting with the device, the system will automatically inform you that
there is a connection problem. Make sure to insert or connect the RS232 in both the device and
in the computer properly. If the problem continues, try to connect the device and the software
using other communication port (Com Port).

12. If the connection was successful, the Download In and Out From Device will appear, as
shown in the illustration below.

13. In the downloading Options, select Download All I/O Transactions and then click the
Download and Save In and Out button.
TCP/IP CONNECTIVITY (Applicable for AV100-TCP/IP only)

This is one of the available communication ports that can be used to link the device and the
Mustard Seed Systems Bio Office Software. Through the use of the TCP/IP connection, it can
transfer important data like the In/Out transactions and the registered user from the machine
going to the software.

Setting up the TCP/IP Connection

NOTE:
Use RS232 connection first in order to set up all the parameters for TCP/IP connection like the
Device IP Address, Server IP Address, etc.

Steps:

1. Connect the device and the software using RS232 port. Make sure the device was set in
RS232 mode (990003) first.
2. Go to Bio Office Device menu and click Device Settings.
3. After the connection was successful, the Bio-office Device Settings will show. Select
the Device Settings tab and click the AV Series TCP/IP Settings button.

4. Make sure to set up all the settings required for TCP/IP connection.
5. After setting up all the fields for TCP/IP connection, close all the Bio-Office Device menus
and make sure that the device was change into TCP/IP mode (990002).
6. In using the TCP/IP connection whether to download User/Staff or In/Out transactions,
make sure to set up first the required fields in the Device and Connection Properties
under Bio Office Device menu. Make sure to type the exact IP Address of the device in
the IP Address field as shown in the illustration below.

NOTE:
The process of downloading the User/Staff and In/Out transactions using TCP/IP connection is
the same with RS232 connection.

Device Settings (Applicable for AV100TCP/IP-RS232 connection and OA100)

This section under the Bio Office Device menu is where you change or modify all the settings
concerning with the device.
Under Device Settings button, you can view the properties of the device by selecting the
Device Properties tab, change the device settings by selecting the Device Settings tab, or
delete all User/Staff and In/Out transactions by selecting the Device Maintenance tab as shown
in the illustrations below.
