Detailed Guidelines
1. Introduction
This document describes the standard format for Practical Training & Industrial visit reports to
be submitted as part of the curriculum of the B. Tech. V semester at the Department of
Electrical Engineering, PCE. Students have to follow the guidelines for the preparation of
training report.
2. Order of Contents:
The structure of the report is based on a standard format which contains the following sections:
a. Preface
b. Text
c. Supplement
The report should have three different areas: Introductory Sources, Body of the Report and
End of the Report. All of the above contains standard procedures that need to be followed by
student. The paper must be almost entirely free from grammatical errors or misspellings.
In general, the overall content is shown as follows:
Introductory Sources (Preface):
Cover page & title page
Certificate by the company
Candidate’s Declaration Page
Certificate by the Department
Acknowledgement
Table of Contents
List of Tables
List of Figures
Abstract Page
Body of the Report (Text):
Chapter 1:
Chapter 2:
Chapter 3:
End of the Report (Supplement):
1. References
2. Appendices
Note: The report should include all the necessary items and must be arranged sequentially
without any exclusion. An example of the overall content can be referred as follows:
2.1 Preface
a. Cover page and title page (Refer Annexure A)
The cover page should be in Pink color. The title page should be the same as the cover
page and the actual numbering (in roman) will start from the title page.
Note: The page number should not be indicated on the title page.
b. Candidate’s Declaration:
This page contains the declaration of the student on the originality of his/her work. This
page must be endorsed and signed by the student (Refer Annexure B).
c. Certificate by the Company
The copy of the training certificate must be enclosed as per the sequence given. The
certificate must clearly indicate the training duration and be issued by the appropriate
competent authority of the company.
d. Certificate by the Department: (Refer Annexure C)
e. Acknowledgement Page
This subsection is compulsory to convey appreciation to those who have been involved in
the study.
f. Table of Contents
The table of contents lists the chapters, topics and sub-topics together with their page
number. Sub-topics and topics should be labeled according to the chapter, for example,
the first topic in Chapter 1 should be marked 1.1 and the first sub-topic, 1.1.1. The use of
the letters in parenthesis (for example, 1.3.7 (a)) is appropriate as a means of
differentiating sub-topics of the same topic from each other. This numbering system
provides a clear picture of the relationship between chapters and topics and shows how
they are connected. (See Annexure D).
g. List of Figures
This list contains the titles of figures, together with their page numbers, which are listed
in the text or in the appendix. The numbering system is the same as that used for topics,
for example; Figure 1.3, Figure 1.3.7 and Figure 1.3.7 (a). (See Annexure E).
h. List of Tables
This list contains the titles of tables, together with their page numbers, which are listed
in the text or in the appendix. The numbering system is the same as that used for topics,
for example; Table 1.3, Table 1.3.7 and Table 1.3.7 (a). (See Annexure E).
i. Abstract Page:
Abstract should be one page synopsis, it should summarize the aims, conclusions and
implications of the topic of your training. (Page No. should start from abstract like 1, 2,
3….)

2.2 Text
The text would consist of the following chapters:
Chapter 1: Introduction
Chapter 2: Training Description
Chapter 5: Conclusion

2.3 Supplement
Specific items which are not included in the main body of the text should be put in this
Additional/Supplementary Section. Typically this section includes the following:
a. Appendices are provided to give supplementary items, which is included in the main
text may serve as a distraction and cloud the central theme.
b. References/Bibliography
All works or studies referred to in the report in the form of quotations or citations
must be included in the bibliography. The references/bibliography should be written
in the specific format approved by the faculty. Each reference should be written in the
single spacing format and a double space should be left between references.
“To refer a research paper” - Dinesh Birla, R. P. Maheshwari, and H. O. Gupta, “A
New Non-linear Directional Overcurrent Relay Coordination Technique, and Banes
and Boons of Near-end Faults Based Approach”, IEEE Transactions on Power
Delivery, vol.-21, no.-3, pp. 1176-1182, July 2006
“To refer a book” - David E, Goldberg, “Genetic Algorithms in Search,
Optimization, and Machine Learning”, ISBN 81-7808-130-X, Pearson Education Asia
Pte Ltd., 2000. (621.381952, G47G)

3. Format:
3.1 Binding
One spiral bound copy of the report need to be submitted by each student. The letters of
the cover page (front cover) should be printed in black ink. The size of the cover page is
A4. The cover page should be in pink color.

3.2 Length
The length of the report is not specific but the ideal length is 40-50 pages (body of
report).
3.3 Printing
Sections should be typed using a font such as Times New Roman, 12 points. A high
quality laser or ink-jet printer should be used for the printing. The body text should be
typed with 1.5 spacing and tables, long quotations, short footnotes, notes and citations
and the bibliography/references should also be written with single spacing.
3.4 Margins
The text should have the following margins:
Top: 1 inch Right: 1 inch
Left: 1.5 inch Bottom: 1 inch
Additional guidelines need to be followed:
 All the tables and figures must be placed within the specified margins.
 The last paragraph of the page should contain at least two sentences. If it doesn’t
the paragraph should begin on the next page.
3.5 Page Numbering
All page numbers should be printed 1.0 cm from the bottom margin and placed at the
right hand side without punctuations. 10 points recommended for numbers.
From Title Page to List of Figures, lower case roman numbers should be used. The
counting of page numbers starts from the title page however no page number should be
indicated on the title page. Numbering begins from the second page (following the title
page) with (ii). The pages from the abstract should be numbered as 1, 2, 3,… and so on.
3.6 Sub-Topics
No specific arrangement is required for the numbering of sub-topics but, whatever
arrangement is adopted, it must be consistent.
3.7 Tables
Tables are printed within the body of the text at the center of the frame and labeled
accordingly to the chapter in which they appear. Thus, for example, tables in Chapter 3
are numbered sequentially:
Table 3.1, Table 3.2 etc.
The table label is placed above the table itself and has a format of the type:
Table 3.1 <Short Title>

TABLE

If the table contains a citation, the source of the reference should be placed below the
table.

3.8 Figures
Figures, like tables are printed within the body of the text at the center of the frame and
labeled accordingly to the chapter in which they appear. Thus, for example, figures in the
Chapter 3 are numbered sequentially: Figure 3.1, Figure 3.2 etc.
Figures, unlike text or tables, contain graph, illustrations or photograph and, the labels are
placed at the bottom of the figure rather than at the top.

4. Conclusion:
Through the Industrial Training, students will not only gain the exposure and the experience
from the industry, but will also able to prepare a good report. It is hoped that students will be
benefited by these general guidelines and to meet the minimal format requirements set by the
Department to complete the Practical Training & Industrial visit and the report.
