 PROJECT TITLE

In this task, we are given the problems situation of summon in Polytechnic Muadzam Shah
(PMS). As a system developer who are invited by Director of PMS we are responsible to
design and create a very fascinating system that will be the best solution of the problems.
Hence, in this project, we introduce a new summon system that operate in an application
called TheSaman. This new system is develop to eliminate all the problems that had appear
all this time and to avoid the upcoming problems in advance. Suit to Polytechnic Muadzam
Shah, we develop a very innovative and very new system that exclusive to PMS. We bet this
TheSaman project is the best project.

 OBJECTIVES

This project have two main goals. Our first goal is to create something different that will
make change in Information Technology, as this will be a very latest convenient system. The
second objective is, to realize a technology culture among students, lecturers, and all the
members in institution with the usage of system, application, gadget and network.

 USER SCOPE

In Polytechnic Muadzam Shah (PMS), the summons is in charge by the security guards,
lecturers, and the staffs from all departments. Whenever students break the rules of the
Polytechnic, then they will get summons. The main user of the system will be the security
guards, lecturers and staffs to keep the summons information as a record and students will
use the system to check their summon status.

 SYSTEM SCOPE

TheSaman will be an easiest system for recording summons using TheSaman application on
pc and smartphone. The functions include store data, copy summons as a backup data,
process the students summons record, payment and reporting. The system will make
lecturers easy to keep all the copy of traffic summons as they can be do in fastest way and
they need not to write the summons. The system will keep the data safe into the database
without worry data being lost, misplaced or sabotaged. Besides, the data of name of
students, matrix number, department, semester, types of mistakes, and amount of summons
can be key in easily as they can be insert automatically through summons form in the
system and the data will be accurate. The students can check their summons status through
TheSaman by entering their matrix number on the Status Check option. As all the data being
key in, they will be permanent and will directly report to the Hal Ehwal Pelajar (HEP) as a
student record to avoid data being change and sabotage. This method will save money,
time, and energy.
 METHODOLOGY

In this cases, the methodology that we have chosen from is agile method by using agile
model. It is because this method is a combination of iterative and incremental process
models to support the process adaptability and to make sure the customer themselves
satisfied with our outcome due to its rapid delivery.

Every iteration includes all of the functional teams working simultaneously on various areas
like planning, requirement analysis, design, coding, unit testing, acceptance testing.
1. Requirements

 At first,system analyst need to collect all the information that are important in order to
get the right requirements.
 Next, gather all the data to data centre and provide the tools that be needed to
create a suitable design.

2. Design and architecture

 Designer team will recognize all of the functions at it will take to build it, and
describes desired features including screen layouts, business rules, process
diagrams ,and other documentation.
 This part were divided into two parts which is logical system design such as blue print
and physical system design like details of material of system and cost.

3. Development and coding

 Database developer and network engineer are assigned to do the process of system
such as installation and programming.

4. Quality assurance and software testing.

 This phase more like testing the system that we are developing to ensure the quality,
accessibility, tolerance of error and flexibility.

5. Implementation

 The real code is written to make the actual system to make it works.

6. Maintenance and support

 The most important step in developing the system to make sure we launch an
efficient system without any failure or error.
 Fact finding technique
After doing some interview to security guards , students and lecturers of Polytechnic
Muadzam Shah (PMS) we gained some information about the weaknesses of available
summons procedure, requirements needed, and some suggestions about the system of
summons that will be develop. Here the summons form that will be fill by the guards every
time they want to record the summons.

 Respondent perspective
In terms of the weaknesses and lack of the summons procedure is, the guards have to face
several problems. For example, they have to write the summons manually which is waste
time and need to be written clearly to avoid misspelling and inaccurate data.

In the terms of cost, the summons books quite waste of money as the one guard must have
one summons book.

The material use is the thin paper that will harm by water and misplaced easily.

The students state that the summons system is needed as they are close to technology and
make it more compatible with nowadays environment.

For lecturers, sometime they did not bring the summons book to record the summons
whenever they entering the class or they left them in the office. Hence, this will cause a
problem when they want to summon a student on the spot. Instead, they have to take the
students matrix card.
