Requirements and Responsibilities


Provides administrative support in a variety of functions to a department head, team, department or another group in an
organization. Collects, reviews, analyzes complex and/or confidential data and prepares reports, charts, budgets, and other
presentation materials. Responds to or routes non-routine or confidential inquiries from external or internal sources with
correspondence or other messaging. Schedules and coordinates meetings, travel, and other group activities. Has advanced word
processing, spreadsheet, and graphics software skills. Typically requires a high school diploma or its equivalent. Typically reports to
a department head. Has gained proficiency in multiple competencies relevant to the job. Works independently within established
procedures associated with the specific job function. Typically requires 3-5 years of related experience.

An administrative assistant is not just an administrative assistant. Administrative assistants assigned with
the grade III perform highly complex and more difficult administrative issues, at times even directing
administrative assistants I and II. The administrative assistant III usually works directly with heads of the
department. High-level administrative skills are handled in the most professional manner by these
individuals.

Duties
The administrative assistant III analyzes complex organizational and procedural guidelines. She
usually holds supervisory position over lower-end clerical staff. This includes training, checking
work production and conformance of clerical staff. This assistant observes, compares and monitors
data that must be input into management reports. She explains and at times remedies technical
budget issues. She conducts complex research, prepares statistical reports and handles
confidential requests for information. In general, the administrative assistant III prepares
correspondences, arranges conference calls and schedules meetings.

Education
Persons wanting to enter the administrative assistant field benefit from taking high school courses
related to office skills and enrolling in vocational education programs that develop office and
administrative skills. Courses in office administration teach keyboarding, oral communication and
functional grammar, punctuation and spelling. An administrative assistant III holding a bachelor’s
degree in office administration has an even greater chance of procuring positions in this field.

Abilities
An administrative assistant III should show the ability to be competent in many areas. The
professional in this industry has knowledge of technical and functional expertise. She understands
the business in which she performs administrative duties. Grounded in achieving results and
serving the customer is a strong ability the assistant exhibits. Since the administrative assistant
has employees working under her, she has a strong sense of teamwork and demonstrates
interpersonal and communication skills with staff and clients. She has personal effectiveness on
the team and demonstrates excellent leadership ability.

Skills
The administrative assistant III manages personal time and the time of others well. Listening
attentively is a skill the administrative assistant must acquire as he deals with issues that need to
be solved on a daily basis. Listening attentively allows the assistant to solve the problem quickly
the first time around. He is able to use math to solve problems. The administrative assistant III also
has the knowledge of using personnel principles and office management practices.

Salary and Occupational Outlook


According to Salary, as of May 2010 an administrative assistant at level III earns within the salary
range of $34,507 to $55,118. These salaries vary by state, experience and credentials. The
Bureau of Labor Statistics says occupational growth for administrative assistants in general will
increase 11 percent by the year 2018. Administrative assistants in the health care and social
assistance industries are among the fastest growing.

2016 Salary Information for Secretaries and Administrative


Assistants
Secretaries and administrative assistants earned a median annual salary of $38,730 in 2016,
according to the U.S. Bureau of Labor Statistics. On the low end, secretaries and administrative
assistants earned a 25th percentile salary of $30,500, meaning 75 percent earned more than this
amount. The 75th percentile salary is $48,680, meaning 25 percent earn more. In 2016, 3,990,400
people were employed in the U.S. as secretaries and administrative assistants.

ADMINISTRATIVE ASSISTANT III


Function of Job:
Under general supervision and with a focus on continuous improvement and customer service, provide
support in administrative matters for a unit by performing varied responsible office support functions,
including organizing, communicating and coordinating information, using independent judgment, problem-
solving skills, and initiative to determine approach or action to take in non-routine situations. Interpret and
adapt departmental guidelines, including policies and procedures.
Characteristic Duties and Responsibilities:

1. Perform a variety of tasks to manage operational details affecting a department or office by


organizing, completing and/or delegating office support work and making decisions on behalf of
supervisor when appropriate and within established guideline and policy.
2. Anticipate and prepare materials as needed for correspondence, appointments, meetings, telephone
calls, conferences, etc., and inform supervisor on matters to be considered.
3. Maintain appointment schedules and coordinate complex office/department scheduling; screen and
refer callers; take messages, route calls, or research inquiries according to office procedures, utilizing
organizational familiarity and necessary discretion; provide detailed responses to information
requests about programs and activities; make arrangements for travel, meetings, conferences,
including complicated conference arrangements, as required; attend meetings and record
proceedings.
4. Prepare correspondence and other documents, such as agendas, meeting minutes, reports, materials
for presentations, proposals, manuscripts, curriculum materials, for approval by supervisor and
distribution. On own initiative and based on knowledge of department, compose correspondence
about administrative and general office procedures and policies. Utilize computer databases and
computer applications, such as word processing, spreadsheets and desktop publishing. Responsible
for completeness, accuracy and format of documents.
5. Establish and manage complex filing systems by receiving, sorting, and distributing documents for
filing; create files and records as necessary using judgment and knowledge of office requirements,
updating files and records and retrieving and storing files as needed.
6. Assist with hiring, directing and evaluating student workers and/or other staff, including
interviewing, training, advising on new procedures, coordinating information, and shifting work to
accommodate workload needs.
7. Prepare reports, summaries or replies to inquiries by recording, researching, and selecting relevant
information from a variety of sources, such as reports, documents, other offices, computerized data
bases, etc., and organizing and presenting information in usable and professional format, including
tables, graphs, and charts.
8. Operate office equipment and maintain office inventory records and supplies.
9. Maintain confidentiality in communicating sensitive information and in handling confidential
materials such as departmental records and files, personnel actions, grade reports, promotion and
tenure decisions.
10. Assist with departmental/office business functions such as making purchases, maintaining budget
records, collecting and depositing departmental cash, requesting budget transfers, monitoring
expenses, and producing financial reports and summaries. (Note: Not applicable at UNH due to
Business Service Center structure.)
11. Perform related duties as assigned.

Minimum Acceptable Qualifications:

1. High school graduation.


2. Five years of office experience or five years of specialized training or higher education or any
combination of experience and higher education equal to five years.
3. Knowledge of office practices, procedures and use of electronic equipment as required by
department.
4. Supervisory skills, including the ability to instruct and direct the work of others.
5. Organizational and analytical skills.
6. Keyboarding and computer skills, such as word processing, e-mail, Internet, desktop publishing,
spreadsheets, data base management and software applications as required by department.
7. Effective written and oral communication skills.
8. Ability to establish and maintain effective working relationships with faculty, staff, students and the
general public.
9. Dictation, speed writing, and/or dictaphone skills if required by department.
10. Knowledge of bookkeeping methods if required by department.

Additional Desirable Qualifications:

1. Work experience in college/university environment.


2. Associate's degree and/or additional related training or education.
3. Office management experience.
4. Advanced computer skills.
