Imagine that you have been hired to make “cold calls” to ask potential customers whether they are
familiar with a new restaurant that has just opened in your neighbourhood. Write a script for the
phone call, considering all the components of an effective communication model (such as sender,
receiver, key message, encoding, decoding, noise, etc.)

For the above case I am assuming to call Mr. Suresh one of our potential customers to make use of
all communication models.

Me: Hello Sir, My name is Saran, calling from ’Happy Days’ restaurant. Is this right time to talk with you?

Mr. Suresh: “Yes, Please go on”

Me: This is a newly opened Vegetarian restaurant opposite Forum Vijaya mall, White field, Bangalore.

Mr. Suresh: “Oh, yesterday I have seen the opening while coming from office.”

Me: Oh fine sir and we are glad that you have observed our restaurant. If you don't mind I would like ask you
a general question?

Mr. Suresh: “sure. “

Me: what kind of food you prefer sir?

Mr. Suresh: “I prefer continental and Chinese“

Me: Excellent sir, as I said ‘Happy Days’ restaurant is a pure Vegetarian restaurant. We have lot of dishes in
vegetarian ranging from Traditional Authentic dishes to new age dishes. A neatly arranged, centrally air-
conditioned in-house Restaurant serves purely vegetarian food varieties and lip-smacking delicacies of North
Indian, South Indian and Chinese food items. We ensure you get satiating appetite as you can relish with
regalement that truly beyond compare.

Mr. Suresh: “That sounds delicious! “

Me: if you like our restaurant, than we go ahead and book a table for you sir

Mr. Suresh: “Sure“

Me: Before I book a Table for you, would like to know if there will be someone joining you?

Mr. Suresh: “I will come along with my Colleague”

Me: Mr. Suresh, since this is your first time Visit to our Restaurant, we would like to offer you a 10% off on
your bill, In order to do so I would like to have your Call back number and your email address to confirm the
Table.

Mr. Suresh: “Sure, MyPhoneNumberisXXXXXXXXX9 and myemailaddress@hmail.com.”

Me: Thank you for the information, you would get a message on your phone with booking confirmation and
the address to the restaurant on your email address similar information will be sent to you with also the Menu
List, so that you can come prepared with the items in your mind to have for lunch today.

Mr. Suresh: “That Sounds Fantastic”

Me: Thank you Sir! We have special Children section where kids can really relish and enjoy all our Dishes.
We have special tables arranged for children and there are some games where children can play around!

Mr. Suresh: “What are the timings of Restaurant? “

Me: Sir, It opens at 12 PM and we will serve till 11 PM including weekends. We have parcel facility and home
delivery restaurant also

Mr. Suresh: “okay, any discounts available“

Me: yes, we do have discounts. We are glad to announce 10% discount for all the Customers till their 3 rd Visit

Mr. Suresh: “Oh really nice! We will definitely make our time to visit this week end“

Me: Thank you Sir! We will be happy to serve you.

Mr. Suresh: “okay “

Part 2:
Make a list of business communication messages you observe for a one-hour period of time. Rationalize any 5
of these messages.

I am using the form of messages like Apps, Mails, Message, Transport message, Cloths and
accessories.

Medium: Text message
Reason: I have Zomato app in my mobile registered with email id. I am using this app frequently to
check reviews, finding restaurants, booking table and most of the times to order food for me and my
friends. So as a foodie I would like to get the food at less cost and great quality with excellent
service. I found this app with great offers most of the times and genuine reviews when compared
other apps in the market.

Reason: I hold credit card which is linked to my salary corporate account. I will get so many
messages on daily base with attractive offers regarding personal, home and car loans. It includes
details like annual charge fee, Interest they will charge, Zero processing fees which will keep me
updated on the present market standards on loans or other products.

Reason: I have registered my e-mail id with Naukri in which we get several job
openings/requirements based on skills we mention in that. There are several options to search jobs
inside this website/app. We will get job notifications directly from company recruiter and
consultancies based on skills, experience. I found this as a great source of employment for so many
individuals and companies.

Reason: Biggest advantage of Ola/Uber is that it's convenient. Just open the app, set the destination,
book your cab so simple. My dad himself was not confident enough to use it at first. After booking 3-
4 times himself he got so used to it that now wherever he goes, he'll book a UBER himself now.

Reason: Online shopping has become a popular shopping method ever since the internet has declared
a takeover. There are many individuals that are looking for other amazing alternatives shopping and
online shipping is just the fix for that. There are many advantages of online shopping like more
competitive pricing, convenience, 24/7 availability and added savings.

Part 3:
Recall a time when you gave a speech in front of a group. How did you feel? What was your
experience? What did you learn from your experience?
There were times, where we have given the opportunity to speak in front of our classmates in our
school days. However speaking in front of our buddies wasn’t that tuff for me since they were all
known people from childhood.
But at the time when I was made to speak a few words in front of our new classmates in my college
on the first day, I was very nervous and not able to speak anything for few seconds and was
completely blank. I controlled myself and somehow started speaking about myself but still my words
were clearly showing that I am nervous. Finally I have decided not to see any of their faces while
speaking and was just concentrating on the wall that is in front of me and completed my speech.
After this experience, I developed myself to speak confidently in front of a group and learnt that I
should express my thoughts effectively.

If you were asked to get the attention of your peers, what encoding & key message would you
choose and why?
I believe that if a group of people involves in team activities irrespective of their position, their
bonding and connectivity will become strong. The message I would come up with is the team spirit.
So I will conduct some fun activities for entertainment and group tasks to finish the work
assignments with some competitions and will reward accordingly. This results in a healthy work
environment and grasps the attention towards me.

If you were asked to get the attention of someone like yourself, what encoding & key message would
you choose and why?
To get the attention of someone like myself, they should be having similar interests of mine. For
example, I am fond of watching historical movies and knowing the history, and then the other person
should have a similar interest of knowing the history so that the talk between us will be interesting
and the other person will pay attention towards me. Common interests will pay a major role here in
my view.

Does the communicator have a responsibility to the audience? And, does the audience have a
responsibility to the speaker? Why or why not?
Both the communicator and the audience will play an equal role in making a presentation successful.
The Communicator should be able to deliver his thoughts or knowledge on the presentation that
makes sense to the audience. The communicator should think in a lay man perspective and should be
very clear in communicating, so that everyone among the audience should get to know, what exactly
the communicator is presenting in a right way.
Audience should be attentive towards the communicator and should create an environment that will
make him feel comfortable to express. For example, if in a presentation the audience were sleeping
in between and skip listening to a topic, there won’t a connecting to the next topic and he will be
blank for the rest of the presentation. Finally it ends in shooting the same questions which the
communicator already presented clearly. Also this makes the group of audience feel boring and may
give the negative feedback over the entire presentation.

Recall one time you felt offended or insulted in a business conversation. What contributed to your
perception?
I always believe that, we should learn from our mistakes rather than feeling insulted as there is a
saying that Failures are the stepping stones of success. I remember a situation where we had a
meeting with the top management in our organization and was been asked a question regarding our
planning for the upcoming assignment. Actually I was not aware of that project in detail since it was
planned by other colleague. But I myself tried to explain the details of the project in front of the team
in order to grasp the attention. Finally, it resulted in providing them the wrong information. Then my
colleague interrupted and corrected it. So instead of claiming the attention in a positive way, I got a
negative impression over there. So I learnt that we should never try to claim the impression over the
things that were not known to us.
