Day of Coordinator Contract

Agreement/Jurisdiction: The person(s) whose signature(s) appear on this contract, known as "Client", agree that Dannielle
Grabowski, [Address + Phone Number] known as "Day of Coordinator", shall provide services to their wedding and
rehearsal dinner (when applicable) to the best of their abilities, in the manner described in this document. This is a
binding contract which incorporates the entire understanding of the parties, and any modifications must be in writing,
signed by both parties, and physically attached to the original agreement. The laws of the State of Massachusetts shall
govern this contract, and any resulting arbitration shall take place within Worcester County, Massachusetts. Client
assumes responsibility for all collection costs and legal fees incurred by Day of Coordinator should enforcement of this
contract become necessary.
In the event that any part of this Agreement is found to be invalid or unenforceable, the remainder of this Agreement
shall remain valid and enforceable. Any failure by one or both parties to enforce a provision of this Agreement shall not
constitute a waiver of any other portion or provision of this agreement.

The following contract is for: [Client Name] on the date of [Wedding Date] at location(s): [Venue Address]. If location or
date changes then a new contract will be drawn up.

ENTIRE AGREEMENT: This agreement contains the entire understanding between Dannielle Grabowski and THE CLIENT. It
supersedes all prior and simultaneous agreements between the parties. The only way to change or add to this agreement
is to do so in writing, and providing the document is signed by all the relevant parties.

PACKAGE: Day of Coordination on location for WEDDING DAY from [start time] to [end time]. As agreed by the parties,
the Day of Coordinator will be responsible for the following outlined items:

Preparation for your Wedding Day


- Initial consultation to explain Day of Coordinator responsibilities and expectations
- Unlimited email communication from date of contract, with a 24-hour response time, unless Day of Coordinator
alerts Clients of a time where she will be unreachable, never to occur more than 4 weeks annually, for one week
at a time.
- Unlimited phone communication during the month of your event.
- If possible, in-person meet prior to event.
- If possible, Day of Coordinator will try to visit venue prior to event. If not, Day of Coordinator will research venue
to the best of her ability.
- In the week leading up to your event, all vendors listed on your Day of Coordinator Worksheet will be contacted
to verify timelines and locations.

Rehearsal
- Facilitation of rehearsal walkthrough with Clients, bridal party and officiant
- Develop and distribute wedding day itinerary to be given to members of the wedding party at the rehearsal

Wedding Day
- Reception set-up including décor, centerpieces, sweetheart or head table, dessert table, dinner table, card/gift
table, and any other services discussed between the Day of Coordinator and Client.
- Ceremony set-up: décor, including but not limited to, altar decorations, aisle decorations, seat decorations,
welcome decorations.
- Cocktail hour set-up
- Keep day on track according to Day of Timeline
- Confirm all wedding vendors and arrival time 7 days prior to the wedding
- Manage wedding vendors per Client instructions (photographer, videographer, MC, DJ, officiant, caterer, baker,
florist, venue owner, etc.)
- Manage wedding party per Client instructions
- Facilitate the wedding ceremony
o Check for items: including but not limited to vow books, officiant book, boutonnieres, corsages,
bridesmaid and bridal bouquets, rings)
o Properly cue musicians and music
o Properly line up and cue wedding party per Client instructions
- Set up and break down table numbers/names, place cards, favors, toasting glass & serving set per Client
instructions
- Coordinator entertainment and announcements/events during reception
- Ensure payment of vendor tips & balances
- Breakdown of ceremony and reception décor at the end of the evening
- Return agreed-upon items to their owners

While Day of Coordinator will assist to its very best, services do NOT include unloading tables, chairs or any heavy
furniture. If such services are needed, it is to be agreed upon between Day of Coordinator and Client a minimum of 14
days before the event. Day of Coordinator will do its best to arrange for assistance if needed and notify Client yes or no in
writing, by email or text message.

Any additional items that require service outside the defined time frame are to be discussed and agreed upon two weeks
prior to the event date. At this point, the total payment due will be revisited, and the contract will be re-signed by all
relevant parties.

LIMITATION OF LIABILITY: Dannielle Grabowski warrants and declares that every effort will be made to provide high
quality day of coordination.

SUBSTITUTION: In the event of illness or sudden event out of the control of both parties, Dannielle Grabowski will attempt
to substitute a Day of Coordinator at no cost to client. This contract will be transferable to said Day of Coordinator. A Day
of Coordinator with the same degree of experience and professionalism will be chosen. Client has the right to accept or
deny the replacement Day of Coordinator. If the replacement Day of Coordinator is not acceptable then all retainers and
monies will be returned to the Client within 24 hours.

FAILURE TO PERFORM: Due to the limited and subjective nature of the event, Dannielle Grabowski cannot be held
responsible for schedule complications caused by but not limited to, anyone in or at the event, or by the church or
location restrictions. The Day of Coordinator cannot be held responsible for décor complications caused by but not limited
to, anyone in or at the event, or by the church or location restrictions (e.g., candles not allowed). This is all to be
researched by said Client before event. The Day of Coordinator cannot be held responsible for the lack of coverage due to
weather conditions, scheduling complications due to lateness of other individuals, rules and restrictions of venue.

It is acknowledged that any lists or vendor information submitted to Dannielle Grabowski will be used for organizational
purposes only. Dannielle Grabowski will do its best to fulfill all last-minute requests but can make no guarantees unless
items have been agreed upon and signed off on by all relevant parties.

Clients are responsible for all location fees and permits.


GARMENTS: Dannielle Grabowski cannot be held responsible for damage to garments during environmental events. Client
is responsible to arrange personal assistance for wedding garments.

EXCLUSIVITY: Unless agreed upon in advance, Dannielle Grabowski shall be the exclusive Day of Coordinator retained for
the event.

Day of Coordinator may bring assistant(s) at their discretion. Wedding guests may assist with coordination, but it is the
responsibility of Client to prevent family and friends from interfering with Day of Coordinator’s duties. Day of Coordinator
is not responsible for compromised coverage due to causes beyond their control such as the lateness of the bride, groom,
vendors, family members and bridal party.

Day of Coordinator is not responsible for existing backgrounds or lighting conditions which may negatively impact the
aspired vision.

COPYRIGHT: All photographs taken by Dannielle Grabowski are their property, will remain their property and are
protected by United States Copyright Laws (USC Title 17). Client hereby waives any claims for ownership, income, editorial
control and use of images taken by the Day of Coordinator at the event. Violators of this federal law will be subject to its
civil and criminal penalties.

MODEL RELEASE: The Client hereby grants to the Day of Coordinator and its legal representatives and assigns, the
irrevocable and unrestricted right to use and publish photographs of the Client and event for editorial, trade, advertising
and any other purpose and in any manner and medium; to alter the same without restriction; and to copyright the same.
The Client hereby releases the Day of Coordinator and its representatives and assigns from all claims and liability relating
to said photographs. Dannielle Grabowski will do its best to request permission prior to using said photographs for social
media, marketing and/or advertising purposes.

HOUSE RULES: The Day of Coordinator is limited by the guidelines of ceremony officials or reception site management.
The Client agrees to accept the technical results of their imposition on the Day of Coordinator. Negotiation with the
officials for moderation of guidelines is the Client’s responsibility; the Day of Coordinator will offer technical
recommendations only.

PRE-EVENT CONSULTATION: The parties agree to a pre-event consultation approximately two to three weeks before the
event date in order to finalize the timelines, locations, event procedures and special requests. This consists of a phone call
or in-person meeting to go over the details of the Day of Coordinator Worksheet which is filled out prior to wedding.

CONTACT INFORMATION: A form stating date, time, location, bridal party size, dressing locations, guest count, phone
numbers and e-mail addresses. This form is a guide for the wedding which will remain on Day of Coordinator’s person on
the day of the wedding acting as notes. This is filled out at least 30 days prior to the wedding. The week before your
wedding date, we will review all information for correctness.

COOPERATION: The Client is responsible for the conduct of their guests. Coordination with other service providers is
necessary to complete all the coordination as scheduled. The clients should work with Day of Coordinator to share the
Day of Timeline with other service providers to make sure that there are no conflicts with times. In addition, events during
the wedding day should be planned to make the best use of time from all vendors.

The Day of Coordinator will not tolerate interference by friends and family that have not been previously discussed to
assist, and Clients understand this will affect the quality of the services rendered.

DAY OF COORDINATOR WORKSHEET: The Client will be responsible for assisting the Day of Coordinator to complete the
Day of Coordinator Worksheet. The role of said Worksheet is to identify people/objects/décor/visions for the event. It is
recommended that The Client be as thorough as possible to ensure the Day of Coordinator can delivered their desired
outcome.

HARASSMENT: Ensuring the appropriate behavior of all guests and other persons at the wedding and other events
covered by Day of Coordinator shall be the responsibility of Client. In the event Day of Coordinator or their assistants
experience any inappropriate, threatening, hostile or offensive behavior from any guest or other person at the wedding or
other event (including, but not limited to, unwelcome sexual advances and verbal or physical conduct of a sexual nature)
then the following process shall be followed: first offense: a verbal warning will be issued to a family member of the
client; second offense: the offending person will be required to leave the wedding or event; third offense: Day of
Coordinator will end wedding coverage immediately and leave the event, Day of Coordinator shall be entitled to retain all
monies paid hereunder and client agrees to relieve and hold Day of Coordinator harmless as a result of incomplete
wedding or event coverage.

CANCELLATION: Upon acceptance of these terms, the Day of Coordinator reserves the time and date for Client and will
NOT make any other reservations for that time. For this reason, the retainer is non refundable, even if Client cancels the
order for day of coordination, or changes the date of the event. However if the Day of Coordinator is able to contract
another event of at least equivalent value for the canceled date, the retainer will be refunded. The Day of Coordinator
warrants that in the event of a cancellation, reasonable effort will be made to secure a replacement assignment.

RESCHEDULE: In the event that Client reschedules the wedding and Day of Coordinator is able to rebook the original
wedding date, Client will receive credit for all monies already paid. A new contract will be required. The new package
price will reflect pricing in effect when the date change occurs. In the event that Client reschedules the wedding and Day
of Coordinator is not able to rebook the original wedding date, Client forfeits the retainer but will receive a credit for all
other monies paid. Credit may be applied to wedding coverage within one year of original date provided Day of
Coordinator is available.

METHOD OF CANCELLATION: In the event of a canceled or rescheduled wedding, Dannielle Grabowski requires
notification in writing signed by the contracted party sent via certified mail by the United State Post Office as well as by
phone, at least 90 days prior to the wedding date. This is the method of cancellation agreed upon by all signing parties
and the only method of cancellation that will be accepted. This does not warrant a return of retainer, as the retainer is
non refundable.

RETAINER: A retainer fee of 50% [$ retainer amount] is required to hold the date of your event. No date is reserved until a
retainer is received. Additional custom orders or rentals must be paid in full at the time of order. The Reservation Deposit
is applied towards the contracted wedding package. The Client understands and agrees that the entire amount owed for
the wedding package described in the contract [$ total contract amount] is due 10 days prior to the event. All retainers
and monies paid will be returned to the Client within 24 hours in the event the Day of Coordinator does not show up to
the event. Day of Coordinator will be responsible for his/her own travel and/or lodging expenses.

METHOD OF PAYMENT: Payment may be made by cash or check. Checks may be made out to Dannielle Grabowski at
[address].

Payments can be made in full or in any lump sums or payment schedules. Payments schedules are decided by client in
advance. Returned checks are subject to a $50.00 returned check fee. Client assumes responsibility for any and all
collection costs and legal fees incurred by Dannielle Grabowski in the event that enforcement of this contract becomes
necessary. All legal action shall take place in Worcester County, Massachusetts.
MEALS: In order for Dannielle Grabowski to make arrangements for themselves and any assistants, they request
information about whether meals will be provided or not. If meals are provided it is to be served at same time as wedding
party if not earlier. This allows for maximum coverage of event throughout the reception.

FORCE MAJEURE: If Dannielle Grabowski or its assigns, cannot perform this agreement due to a fire, casualty, strike or
other civil disturbances, Acts of God, including but not limited to, road closures, severe traffic, fire, terrorism or other
causes beyond the control of the parties, or due to the Day of Coordinator’s illness, then Dannielle Grabowski shall return
any moneys paid by the client, less expenses, but shall have no further liability with respect to the agreement. This
limitation of liability shall also apply in the event that services cannot be delivered without the fault on the part of
Dannielle Grabowski.

The charges in this Contract are based on the the Day of Coordinator’s Standard Price List. This price list is adjusted
periodically and future services shall be charged at the prices in effect at the time when the order is placed.

Client may not assign or transfer this agreement or any rights granted hereunder. This agreement binds and insures to the
benefit of Day of Coordinator.

Client, Clients principals, agents and affiliates, and their respective heirs, legal representatives, successors and assigns.
Client and its principals, agents and affiliates are jointly and severally liable for the performance of all payments and other
obligations hereunder. No amendment or waiver of any terms is binding unless set forth in writing.
