TECHNICAL BACKGROUND

In schools, student’s record is very important since it represents the identity of that

students and it holds a large number of important data.

Requirements Definition

Hardware and Software Requirement

The proposed system will work on Microsoft Visual Studio 2017 and Microsoft Access 2010

or higher running under Windows Operating System.

Operating System Requirements

The application software uses for the system is also analyzed by the requiring the Microsoft

Visual Studio 2017 by using C# to develop a new system. The Microsoft Access 2010 is needed

where used to consolidate a multiple database. As possible it needs latest windows for easy

managing. The new system requires Windows 10 as the operating system which controls and

supports the operations of a computer.

Software Requirement

The system requires a minimum of Windows 2007 or higher.

Hardware Requirement

The minimum hardware requirement to run the system is 16 GB of free space, 23.8 GB + 1

GB Swap File hard disk space, 1 gigabyte (GB) for 32-bit or 2 GB for 64-bit RAM or higher, and the

following parts of the computer:

 Monitor

 Keyboard

 Mouse
  Power Supply

User Requirements

System should be designed to meet the user’s need. The user or the one required to

operate the new system is the personnel who is computer literate. The user should be comfortable

with the use of the system.

The new system requires the password as a way of protecting the data and program. The

user has already seen and approved the outputs and design that will produce the system.

SYSTEM DEVELOPMENT AND IMPLEMENTATION

System Development
In develop of the system, there are some steps to be followed. First, the researcher must

analyze in detail data needs of student record and its uses. Second, the resources, data activities

that are uses in input, process and output should be analyzed. Finally, the researcher should be

developed the logical and physical design of the system.

The focus of requirement must be on the information needed by the users of the new

system. The user and researchers must identify the information requirements and information

preferences of the users of the proposed system.

Based on the observation and interview, the researchers found out that the Guidance Office

needs a computerized Students Record System that provides the records of a student no need a

manual process of operation.

Coding

The researchers utilize the design specifications to acquire the software needed for the

system to meet is functional objectives. This phase involves the translation of the design

specification into computer code. It requires hundreds of thousands lines of computer code so that

we need a team work for the said coding as what the researchers done.

System Security

The system security is very essential especially that the data is very confidential. This is to

prevent unauthorized users from using the system. The user must login first. For security only, for

the user can have access to the system.

 STUDENT INFORMATION SYSTEM FEATURES

LOGIN User able to login to the system.

VIEW Use this feature to view student data.

UPDATE/ADD NEW Use this feature to update/add new student data.

SEARCH Use this feature to search students data by identification number,

name, course and year level.

Physical Design

The physical design focuses on the controlling processing actual implementation of the

database. It comprises the detailed design of input and output processes. It aims to develop a well-

organized mapping of data to the storage devices that will support the database system and to put

into operation the relationship defined in the logical design using the efficient data structure. These

are the physical design of the system which modifies the structure and execution of the program.

Login Screen
To access the Guidance Information System, users must enter a User ID and Password on the login

screen.

Main Page

After the user login, the user may now proceed to the main page of the system and can choose add

new button. After clicking the add new button, the new form appears on your screen and create

the new student information.

 Search Screen

In search screen, the user will find the data of the student.

System Implementation

The process of system implement the system start on Microsoft Access 2010. In installation,

the equipment used will be prepared by the IT staff, installed system will assist by the assigned

personnel. The assigned personnel will take care or facilitate the whole implementation where in

the system was installed.

Goals of Implementation

With this system according to the role User can access the system.

Installing and Testing

System Testing

Testing of the system is the most important phase in this testing process. This phase start

after the completion of phases like Unit Testing and Integration testing. This system testing process
is to test or to perform if the system is completely developed and integrated. In this part its study

the system that created through implements, observe and how the information process. In testing

process it needs to achieve the goals or objectives of the use of system and if the clients agree to

the system flow, to identify the limits or difficulties of the system while executing the system works.

Once the system has been completely built then it has to be tested against system specification to

verify whether it delivers the required features and quality standards. System testing verifies the

entire system after integrating all software and hardware components and perform it according to

specific project requirements. During testing of the system it’s not only focus on the software of the

system, system design, in the hardware or how the system flow but also in the untold common

expectations of the client

The testing process was to make sure that the system performs according to its requirements and

functionality. Microsoft Access 2010 was the server used and Visual Studio 2013 while the OS is

depending on compatibility of two important applications.
