Executive Summary
As a student of bachelors of business administration, I got a chance of internship in ICEE-AGE Industry
which is different than other industries because they sell not only in Pakistan but they also sell abroad
countries. It is a small company and in spite of this fact they are exporting their products but they do not
have as much market share as compared to their competitors. They focus and quality and they try to
producing a low coast and sell out in low price. In the first chapter we discuss about the history of the
company. A company producing a 1992 then they only produces a deep freezer but now them producing
more home appliance products. After the history we discuss about the company vision. Vision is long
term achievements of the company and then we discuss about the mission of the company. Mission is
short term objective. In both term a company focuses to give maximize return to their shareholders and
provide a quality products and satisfied their customers.

In second chapter we draw the organizational chart and in which total number of employees is 500.
After this we discuss about the various departments of the ICEE Age. Then the focuses on the HR
department and also discuss about HR hierarchy chart and number of employees working in HR
department is 3. In third chapter of this report we discuss about the all the HR functions like forecasting
and planning, recruitment and selection, training and development, performance management and
compensation and benefit. If they need a hire one or two employees then they use reference base. If they
needed a hire a large number of employees then they follow a proper recruitment and selection method.
They give a on the job training and they compensate their employees according to the performance their
employees. In this report also discuss about the SWOT of organization and departmental. Fourth section
explains my learning procedure and internship in ICEE-AGE industry. It includes work experience,
perception, duties, problem which were faced by me and effect of all these on my internship
performance.

1. Chapter 1: Overview of the Organization

1.1 Background of Host Organization

1.1.1 Historical background of the organization


ICEE was found in 1992 as a private limited company. It produces appliances for both
domestic and commercial use. It is the largest electronic company in the region. Its head
office is at G.t road near Karmanwala, Okara ,Pakistan. ICEE is an international standard
company,with ISO 9001 approve adhere to IEO(International-technical Commission)
standards.ICEE is a family business company owned by three families based locally. ICEE
has many brands and among them NATIONAL is famous one.

Initially in 1992 ICEE was the producer of deep freezer with six models launched at that time
and gradually they improved their production quality and their manufacturing line and
eventually in 2006 they launched their refrigerator with few models initially and now they are
producing 31 different models of refrigerator. At present they are producing 15 different
models of deep freezer. Two years ago they also start producing air-conditioner, washing
machine iron, water dispenser and plate freezer. This organization is known as one of the
largest manufacturer and delivering the largest number of deep freezer and other home
appliances in Pakistan. ICEE is a very highly quality conscious company and they also
manufacture a customized products according to the need of their customers. ICEE also
exports their products to different countries like Dubai, Afghanistan, Kuwait and the other
Middle East countries. ICEE do not produce the body parts and the other electronic
equipments used in the manufacturing of its products but it imports all of the spare parts from
China and assemble them in its plant.ICEE also imports different manufacturing equipment
from France, Italy and Germany. ICEE also manufacture electric water coolers, glass door
refrigerator, hard top coolers and vertical bud vase coolers, so the current position of the
ICEE has become very strong due to addition of these different products to the assembly line.

ICEE has different departments and their distribution channel is very strong and is spread all
over the country with highest sale in KPK followed by Punjab, Balochistan and Sindh.

Reputation:

ICEE has a very good reputation in the electronic market because of the quality and the
reliability of their electronic products. ICEE is in the market for 25 years and over this span

ICEE has gain local and international trust name in the market. In recent years ICEE has
started exporting refrigerators and deep freezers to different countries like Dubai, Kuwait and
Middle East countries and because of this they have gained a good international reputation. In
recent years ICEE has started making the customized products according to the need of the
individuals and so they have attained a good reputation in the consumer market.

Business Operations:

ICEE started its business operation back in 1992 and first ICEE product was deep freezer and
initially there were six models launched at that time. With the passage of time ICEE
improved its operation with improvement in quality and betterment in the production line and
they launched few more models of deep freezer and then in 2006 when they had improved
their operation and quality ICEE introduced refrigerator and now ICEE have 31 models of
refrigerator.ICEE has improved and extended their product line over the last 25 year of
operation. In daily operation ICEE is producing 90 deep freezers and 160
refrigerators.ICEEis also manufacturing micro wave oven with 2 different models, cloth
washing machine with 3 different models and air conditioners with 2 different models. To
attain customer’s trust ICEE produces least luxurious products to be sold in the market. The
basic and main purpose of ICEE operation is to produce reliable, quality products in low cost.
So that’s why they sell highest ratio of their products in the middle class consumers.This is
the reason ICEE is the only consumer electronic company in the region.

Organization type:

This organization is a manufacturing organization. The main market of this organization is


the consumer electronic market and this organization also deals in business to business
market. ICEE sell its

Quality policy:

ICEE has a strong believe in making quality products and has a very strict quality policy and
it is the reason their customer satisfaction level is very high in the market and ICEE receives
a very good response from their customers and this motivates ICEE in maintaining their
standard and producing high quality products. ICEE has very strict testing environment for
their finished products before they can finally sent to the market. ICEE has this strict quality
ant testing policy to attain maximum customer satisfaction level.ICEE also work and pay
proper attention in enhancing the skills of their employees and arrange training sessions for
them on the regular basis according to the need of increasing international standards.

Employees:

ICEE has a strict quality policy and highly skilled workers. To make sure its employees
technical skills are according to their modern day requirement ICEE arranges technical skills
workshop for its employees.

ICEE has human resource department which is very active and it keeps motivating the
employees through bonuses, increment and incentives.

Different companies have different portfolios so ICEEcompany also has its portfolio. ICEE
has different brands. Some brands are local and some brands are of export quality. List of

A company’s portfolio is a complete business outline of the company meaning how a


company runs its business throughout the year. ICEE is a consumer electronic company and
has different products and the demand and production of these products is not constant
throughout the year. For example the sale and eventually the production of air conditioner,
water dispenser, freezer is highest in the summer and the production of water geyser is high
in the winter season. Some other products like iron, washing machine, spinner and
microwave oven does not have specific seasons and their demand almost remain constant
throughout the year and so their supply also. In current months the demand of water
dispenser, refrigerator, air conditioner, deep freezer is high. Near Eid-ul-Azha the demand of
deep freezer is at its peak.

ICEE has different models of different products. Air conditioner has 2 different models,
washing machine has 3 different models, micro wave oven has 3 different models,
refrigerator has 31 different models and deep freezer has 15 different models. ICEE has a
good portfolio and their business runs throughout the year.

ICEE has many major competitors which are threat for this company. Below is the list of the

These are some major competitors of ICEE in the market along with them ICEE also has
some minor competitors in the market. ICEE is a national level local based company while
almost all of its competitors are international brands like Orient and Haier. These companies
have more production plants and more resources and share a large space in the market of
consumer based electronic market, in spite of all of the above mentioned facts ICEE is
competing with them and have a good amount of share in the market. ICEE does not seek any
government support in any form, still it has a large number of costumers and the reason for
that is ICEE produces quality products at cheaper cost and has a very good consumer
response.

2.1 Organizational Structure

2.1.2 Number of Employees:


ICEE is a small town based national mid-level electronic company means it does not have a
large number of employees because it does not operate in three shifts but it has only one shift
of operation. In days of high demand ICEE also offers overtime to the employees and also
pays them for their extra work. The total number of employees ICEE has is five hundred
(500). This is the total number of employees the company has. It includes

 TECHNICAL
 NON-TECHNICAL
 ADMINISTRATIVE

The technical staff includes the production line workers, supervisors, engineers and the other
supportive staff members. Technical staff consists of almost 350-370 employees. The number
of technical staff is the highest in the company because it is the main purpose and the
backbone of the company. A companyrelies on its production line that’s why production line
is the most important part of the company. The non-technical staff includes the sweepers,
loaders, guards, store keepers, gardeners, driver and cook. Non-technical staff consists of 30-
40 staff members. Non-technical staff is the secondary part of the company. Administrative

employees are further divided into different departments which include accounts, human
resource and marketing. These administrative employees serve as the upper management and
the lower management of the company. They make all the decisions regarding every aspect
of the company. They do the finance management and they also make marketing decisions
for company. They also serve the purpose of the employee management which exclusively
includes the employees of human resource department. These types of employees include 60-
80 employees.

ICEE Company has three different categories of employees which include:

 DAILY
 TEMPORARY
 SOCIAL

Daily Employees:

Daily employees are the daily wage employees of the company. They don’t have any type of
contract i.e temporary or permanent with the company. These types of employee work on the
daily wages for the company and get their salary at the end of the month calculates according
to how many days they have worked during the whole month. Daily employees do not work
whole year for the company but instead they are usually hired during or for the season of high
demand of the products. As these employees work on the daily wages, they also do not get
any social benefit from the company but just their salary. In the social benefits company
offers the basic health care facilities along with some other social benefits. The daily
employees are usually required by the company for its production line and the supporting
staff of the production line like the drivers to supply the products and the loaders and for
some other labor work. The number of the daily employees working in the company is not
big the main reason for that is they are only hired in days of higher demand as compared to
the normal working days. That’s why daily employees working in the ICEE ranges from 70-
90.

Temporary Employees:

Temporary employees are the type of employees working on a temporary contract with the
company which ranges from months to the years. Temporary employees of ICEE Age
Company have a contract of either a short or slightly longer period of the time. These types
of employees have a permanent salary and also get social benefit from the company in terms
of health care, holidays along with the other social benefit but these benefits have a limited

range, means they cannot enjoy benefits as the social employees enjoy the benefits.
Temporary employees are usually freshly hired employees of the company; some of the
temporary employees get the permanent contract with the company and enjoy the status of
the social employees of the company. The number of temporary employees is bigger than the
daily employees but still it is less than the number of social employees of the company.
Temporary employees do not face work restriction as faced by the daily employees and so
they work the whole year. The number of temporary employees ranges from 180-200.

Social Employees:

Social employees are the permanent type of the employees of the company. These types of
the employees have a permanent contract with the company and also enjoy the full fledge
social benefits from the company which includes health care, holidays and some other
benefits from the company in return of their service. After working as the temporary
employee of the company some of the employees gain the status of the social employees of
the company. The number of the social employees in the company ranges from 220-240 and
is bigger than the other two types of the employees. Unlike the daily employees of the
company which work only in the production line the social employees are working in every
department of the company ranging from guards, gardeners, including production line
workers and the lower management to the higher management of the ICEE-age company.

2.1.3 Introduction of Departments:


ICEE Age Company has many departments among which all of the organizational work is
distributed to run the company smoothly; the introduction of all the departments is as follow:

 Production Department.
 Commercial Department.
1. Marketing Department.
2. Sales Department.
3. Customer Service Department.
 Finance Department.
 Human Resource& Admin Department.
 Dispatch Department.

Production Department:

Production department is one of the main departments of the ICEE age Company. It’s main
purpose is to manage the production according to the demand of the market. Every company

has a limited stock of its products likewise ICEE age company also maintain the stock of the
products which helps to manage the supply of the products in the high demand. The
production department takes every necessary step to ensure the smooth working of the
production line and makes every necessary decision which is need of the time. Production
department continuously check the stock of the raw material and the finished products and
makes daily report about it which is supervised by the production manager, and maintain the
speed of the production line according to the statistics given by the report.

Commercial Department:

Commercial department of the ICEE Company is further divided into three different
departments. The reason for this is commercially a company has to fulfill three purposes
which are marketing, sales and the customer service and to fulfill these three purposes ICEE
has divided its commercial department into the above named departments and the
introduction of these departments is as follow:

1. Marketing Department:

The main purpose of the marketing department is to introduce and endorse the company and
its products in the market. For this purpose the marketing department employs different
means like the electronic media and the print or paper media. It is very important for a
company to first introduce itself and its new products in the market before launching the
products to gain the response of the consumer about the product. All this helps a lot a
company to rethink about its mistakes in previously launched products. This also serves the
purpose of attracting the new customers. Marketing department manages all this activity and
for this reason the marketing department has significant importance in the company.

2. Sales Department:

Sales department of the ICEE manages the sale of the products of the company in the
different regions of Pakistan and also in different countries. Sales department has different
distributers in different regions of Pakistan and in different countries and is continuously in
contact with these distributers to make sure the constant supply of the products. Sales
department of ICEE also makes monthly and annual reports on the sale of different products
in different regions in different period of time throughout the year.

3. Customer Service Department:

Customer service department deals with the different service which ICEE offers to its
customers, it includes the dealing with the complaints of the customers and warranty of
different products.ICEE offers warranty of different durations on different parts of the
products and the customer service department deals with these warranty issues.

Finance Department:

Finance department of ICEEdeals with the finance issues of the company. It plays major role
in the company because without proper finance a company cannot run its basic functions
properly. Before launching any new product proper financing is necessary and without the
proper financing the product can be flopped. It also provides a base to determine the long-
term objective of the company. Finance department has a further section as accounts
department.

Human Resource and Admin Department:

H.R Department of ICEE as the name suggests manages the human resources of the
company. It plays an important role in the company and makes a strong relationship between
the employees and the upper management and the lower management of the company,
because a good relation between employees and the management is necessary to achieve the
objective of the company. It performs the following functions.

 Hiring of new employees


 Training and development

Hiring of the employees according to the need of the company is necessary to achieve the
objective of the company. ICEE’s H.R department uses HRIS (human resource information
system) in the hiring of the new employees. ICEE also uses third party organizations in the
hiring of the new and skilled employees. After hiring the training and the development of
skills of newly hired employees is the main objective of the H.R department of ICEE because
it play important role in smooth running of the work.

Dispatch Department:

Dispatch department of ICEE manages the departure of the finished products from storage
area to the different consumers and the market. Therefore dispatch department also manages
the storage area or the warehouse of the company. Dispatch department of ICEE makes sure
that the products make their departure on time to arrive the destination on time.

2.2.2 Number of Employees:


ICEE is a local based electronic company. It is a small or mid-level company and moreover it
has only one production plant which is in Okara. Therefore the H.R department is not a big
department as compared to the other departments of the other companies. The total number of
employees in the H.R department of ICEE is three (3). The H.R manager is Mr. Nawaz Butt,
who is the social employee of the company. The other two employees of the H.R department
are not the social employees but are temporary employees of the company. The H.R manager
does the recruitment of the new employees and look after the other employees. One H.R
officer look after and manages the compensation, benefits and performance appraisalof the

employees and the other H.R employee manages and look after the attendance and the salary
of the employees.

2.2.3 H.R Operations:


H.R department of ICEECompany performs different H.R functions to control and efficiently
use the human resource of the company. These human resource operations include:

Although the H.R department of the ICEECompany is not as big but it is managing all the
above mentioned human resource operations very efficiently and managing all the human
resource of the company very well.

STRENGTH

Distribution Channel:

Distribution channel of ICEE Company is very strong. Distribution channel of the company
is divided into two channels, direct and indirect. The direct distribution channel consists of
the factory outlet from which consumers can directly buy the products. While on the other
hand the indirect distribution channel consists of the retailer network which company has.
The retailer network of the company consists of 250-300 retailers and the relationship with
the retailors is very strong.

Low cost:

The most important strength of the company is producing low cost products. Quality products
at low prices are the main strength and main objective of their policy. The major customer
bracket lies in the middle class so ICEE focus on maintaining the low prices of their products
while achieving the quality standards of the company. They produce high quality products on
low prices and this is the main strength of the company in the market and in the eyes of the
consumers.

Strong Customer Relationship:

ICEE has a very strong relationship with the customers. The main reason for this is the
quality products of the company. ICEE makes quality products within the low prICEE range.
This is the main plus point for the relationship with the customers and therefore their
relationship with the customers is very strong and the customers are very loyal to the
company.

Customization:

ICEE also offers the customization to their customers. Customization means making the
product according to the need of the specific customers. As the company is locally based
company and the customization is not done on the large scale but still ICEE has managed to
give different types of the customization to the different products according to the need of the
customer. For example if a customer needs extra finishing on different types of the glass
finishing of the different products, the company offers it and make it according to the
customers. All this increase the customer loyalty and customer satisfaction.

WEAKNESSES

Lack of Advertisement:

The main weakness of ICEE is the lack of the advertisement. This company lacks in the
advertising itself in other regions and other cities of the country. The main way to advertise
anything throughout the country is the digital media but ICEE only advertises itself in a small
region and through local t.v channels and newspaper. But ICEE is now paying attention to
this weakness and will improve itself in this regard soon.

Lack of Brand Awareness:

As mentioned above the company lacks in the advertisement and this weakness has direct
impact on the brand awareness and as a result the brand awareness of the company is very
low. Brand Awareness means people have very low knowledge and information about the
company and its products. For any company to be successful it is very important that the
people know about it and its products.

Financial Issue:

ICEEhas no affiliation and collaboration with the international brands and other vast
profitable companies and they manage the finance on their own and have a low share market.
This leads to sometimes financial issues which ICEE has to face and manage itself.

Multiple owners:

ICEE is a multiple owner company and has three owners. In this case all the decisions are
made by these three owners and conflict of interests usually happen and result in delay in
decisions which is harmful for the company.

Improve working environment:

Working environment has a lot impact on the working speed of the employees, better the
working environment better the performance of the employees. Therefore ICEE is paying
attention to continuously improve the working environment.

New Technology:

Technology is getting better day by day and new technologies continuously get to introduce
to the market. It expands the electronic market and also increases the opportunities of the
companies like ICEE. That’s why new technology brings new and better opportunities for the
company and also expands the market for the company.

New technology also brings the opportunity to improve the production line which will
increase the production speed and the production quality. ICEE is taking full advantage of the
new technology and is continuously improving its production line.

Expand the exports:

ICEE is already exporting its products to the Middle East countries which indicate that the
products of ICEE are of high quality. ICEE has very vast opportunity to expand its number of
exports in terms of items means exporting all of its products not only few and exporting to
other countries as well.

E-Commerce:

ICEE is exporting its products to different countries but not by using the E-Commerce. E-
Commerce is a digital platform to do business and at present day it has a lot of scope in
European countries therefore ICEE can expand its exports to the other countries by using the
E-Commerce, and can compete in the international market. It can also increase the number of
buyers or consumers in Pakistan and the other different countries of the world.

THREAT

Competitors:

The main threat to ICEE Company is their competitors. The names of the competitors are
Haier, Pell, Dawlance and Orient. These companies are doing business on larger scale than
ICEE that’s why these companies are the main threat to the existence of ICEE and ICEE has
to compete with these brands in the market.

Taxes:

Another threat that ICEE faces is the amount of taxes or the duties. ICEE imports all of the
items used in the production of different products. As the taxes increases, the cost of the
product directly increases and it affects the sale of the company. Taxes are usually increased
to compensate and stabilize the dying economy of the country due to in- efficient policies of
the government and therefore it is a external threat to the company.

Lack of Recovery:

ICEE manufactures the products and deliver to their distributers as per the demand of the
products but the method of payment is not advance payment and company has to wait for
some time to get the payment. Therefore ICEE has a threat of the lack of the recovery.
Therefore ICEE has to pay special attention to do payment recovery on time to avoid this
threat.

Localization:

ICEE is a local based company and has only one production plant which is located in a small
town and is not enough to compete with the other companies who has multiple (or huge)
production plants as compared to ICEE which is a major threat to the company.

Economical Threat:

Pakistan has an unstable economy and it affect the businesses directly, mostly the duties on
imports are not predictable and the prICEEs do not remain constant. There ore it is an
external threat to the company.

2.4 H.R Functions

2.4.1 Function of H.R Department:


H.R department does the orientation of the new employees of the company, it introduces new
employees to their relevant departments and their fellow employees. H.R department is
responsible for the hiring and training of the new employees, as any vacancy gets empty the
relevant department tells H.R department and it hires new employees and train them
according to their job. H.R department also perform selection, recruitment, compensation and
benefit and maintain the attendance records.

H.R department of ICEE mainly focus on all the above mentioned functions of the H.R
department. H.R department of ICEE is less focused on career development, performance
appraisal and motivation of the employees.

2.4.2 H.R Planning and Forecasting:

Forecasting:

H.R forecasting means to predict or to give a guess when the company will need new
employees and how many employees will it need in the coming time in different
departments.All the information is given to the H.R department of ICEE by all the other
departments whether they need more employees or they have empty vacancies in the
departments. As a result the H.R department of ICEE forecast the number of workers or
employees the company will need to hire to run the processes smoothly. For example ICEE
has a number of daily wage workers which are hired for the season of high demand and every
year new employees are hired according to the need of the production and the other
departments.

Planning:

Planning is the next step after forecasting the human resource requirement of the company.
The most important thing in the planning is making the budget required to do all the process
for hiring. H.R manager makes a budget according to the need and takes approval from the
G.M then he takes approval from the CEO of ICEE. After approval the H.R manager makes a
schedule for the interviews of the candidates and post advertisement in different local
newspapers and also post ads on the local t.v channel about the interview and other selection
process.

2.4.3 Recruitment
Policy:

ICEE has very strict recruitment policy. ICEE does not accept any reference. For the
department of production recruitment is generally done on the basis of the previous
experience of the candidate and for the other departments like accounts and marketing
department mostly candidates with better academic backgrounds are preferred. All the
candidates are passed through strict interview process in which their skills are determined and
all the recruitment I done under the supervision of the H.R manager.

Advertisement:

ICEE place advertisement whenever they need new employees. ICEE for advertisement uses
two main sources which are newspaper, local T.V channels and the website of the company.
ICEE place advertisement in which ICEE specify the job description, specification and any
information which the candidate may require for applying for the job.

 Referral base hiring

Selection process:

After advertisement of the jobs, the selection process begins which comprises of the steps
which are shown as follow:

 Gathering Application
 Shortlisting
 Interview
 Final interview
 Call

ICEE has adoptedthe above mentioned process recently and is still making it better to make
the right choice in the selection of the right employees.

Methodology:

ICEE adopts simple methodology in the recruitment or the selection process by only
interviewing the candidates. Interview is done by the H.R manager only and is based on the
simple guidelines by the CEO and the managing director the company. The candidates for the
production department are selected on the basis of the experience and the candidates of other
departments are selected on the basis of the academic backgrounds.

ICEE has limited sources for the recruitment of the candidates. As ICEE has recently adopted
this method so still sometimes ICEE does selection on the reference base. Reference based
recruitment is done when candidates are suddenly required.

2.4.4 Training and development:


Training and development of the employees include training of the employees improving
their technical skills and other skills which improve the work quality of employees. These
skills can be divided into two types technical and the soft skills.

Technical training:

ICEE has strict quality policy therefore ICEE arranges different training sessions for their
employees. These training sessions are on-job training sessions. Newly hired employees are
first trained according to the requirement of the company. These sessions are mainly arranged
for the employees of the production department. Already working employees are also given
training sessions which are mainly focused on the newly employed technology and workers
are introduced to it and it helps better their performance and enhance quality of the
production. Employees of other departments are also given training sessions time to time.

Soft skill Training:

Employees of the departments other than production department are also given training
sessions which mainly focus on the soft skills of the employees. Soft skills generally include
the communication skills and marketing skills. It helps in improving their convincing skills.
These sessions are important because employees have to interact with the people and these
help them in their work and in achieving their goals.

2.4.5 Employee career path:


ICEE is a small company and it is not force on develop the career path individually. So the
ICEE AGE industry gave promotion to their employees according to the experience and
performance. Through promotion develop yourself and keep intrinsic motivate to their work
hard and develop their career.

2.4.6 Performance Management:


ICEE strictly overlooks the performance of each employee of the company. The H.R
department regularly gathers data about the performance of the employees. Each department
has a supervisor or manager which overlooks the performance of employees working under
him and regularly report about it to the H.R department. Performance assessment is made on
the group tasks as well as individual tasks assigned to the employees and the performance

report is submitted by the supervisor of the subjected department. ICEE has manual
performance management system which comprises of the hard written format. After
gathering the data about the performance of the employees the evaluation for the increment
percentage and promotion is done by the H.R manager.

After evaluation by the H.R manager the report is submitted to the general manager and CEO
of the ICEE. Suggestions are given by the H.R manager and the final decision is made by the
CEO for the following things:

 Special increment
 Promotion
 Bonuses
 Lucky draw

2.4.7 Attendance and Leave Management:


ICEE has very strict rules and policy about report timing of the employees and has very strict
check and balance about it. ICEE ha manual attendance system and attendance is marked by
the employee himself. ICEE has security room alongside the main gate in which employees
mark their attendance and a person note the coming and leaving time of each employee.
Attendance performance has a major role in the performance assessment of the employees.
Social employees can have 3 leaves in a month but temporary employees can have only 2
leaves in a month

Now ICEE is improving its attendance management system and introducing biometric
attendance system in the company. These biometric machines will be installed in
everydepartment of the company. H.R department has installed the relevant data of the
employees in the biometric machines and now this system is in testing process. In the
coming days after successful testing the biometric attendance system will be fully employed.

2.4.8 Organization’s Grievance policy:


ICEE has well-structured grievance management system. There are the two types of the
grievance. First one is technical grievances and second one is the working environment and
grievance about employee disputes. The technical grievances are submitted to the production
department and other grievances are submitted to the HR department. The grievances about
disputes of employees are directly handled department and HR manager discuss them with
the general manager and CEO and resolve the grievances.

2.4.9 Employee Compensation and Benefit:


ICEE compensates the employees in the salary according to the working performance of the
employees. Daily wage employees and temporary employees generally work overtime and
they are compensated according to their work. Compensation is also given to the social
employees if they work extra.

ICEE also gives different benefits to the employees. These benefits are given based on the
performance assessment of the employees and their rank in the company and their status of
employment in the company. These benefits include:

year. At the end of the year assessment of the employees is done on the basis of performance,
behavior and the attendance of the employees and benefits are given according to it.

which has special prizes for the lucky employees.

2.4.10 Employee job change policy:


Transfer:

Employees are not transferred from one department to the other department for job rotation
but focus on their current job.

Promotion:

ICEE gives promotions to the employees on the basis of their work experience and their job
performance throughout the year. Technical employees are given promotion on the basis of
their experience or work performance. And office line workers are given promotions on the
basis of performance.

Demotion:

Demotion is not in the policy of ICEE Company.

Resignation:

ICEE does not force employees to work and employees can give resignation if they want to
leave the company. The only condition they have to fulfill is to submit their resignation 15
days before they want to leave.

2.4.11 Layoff:
ICEE Age Company generally does layoff during downsizing of the company which is
generally done once a year when daily wage employees are terminated from the Company.
Daily wages employees are hired during high demand seasons and they are terminated at the
end of the season.

Termination:

ICEEage Company has very strict behavioral policy for the employees and the company
believes that good environment is necessary for good work and does not compromises on this

policy. Also company has good employee performance management system and if any
employee does violate the policy or does not meet the performance requirement the company
terminates him/her.

Retirement:

ICEE- AGE industry retire their employees at the age of 60 years. There is no such early
retirement as per current policy. The social employees enjoy the benefit of retirement and
they get monthly pension after retirement from the company. As the company small
percentage of the salary of every social employee during their service so they also get a
retirement fund from the company along with the monthly pension.

ICEE-Age Company is private company. It is a home appliance based electronic company. It
has two production units one in Gujranwala and the main unit is in Okara. It produces
refrigerator, freezers, air-conditioners, microwave ovens, washing machines, water dispenser,
iron. It also exports its products to different countries mainly U.A.E.

I have worked in different departments of the company. I have worked in H.R department,
marketing department and finance department. As per my specialization, I worked 4 weeks in
H.R department after that I worked for one week in finance department and 2 weeks in the
marketing department.

2.5.3 Description of the task/Project:


Employee management system:

During my internship in the H.R department of ICEE Age Company I observed and learned
how they managed the entire department of human resource. They were introducing
biometric system to improve their employee attendance management system and I was
assigned the task to put related information of the employees of the whole company into the
system which I done in 2 weeks.

Making pay slips of employees:

At the end of 1 month of my internship I was assigned the task to make the pay slips of the
employees which I did with my team members which were assigned by the H.R manager. For
making pay slips of the employees I managed there leave record in the Excel sheets from
manual leave forms.

2.5.4. H.R Department SWOT Analysis:


STRENGTH

Staff Behavior:

Behavior of staff is one of the strength of ICEE. ICEE focuses making the behavior of the
staff good so that staff can work properly. Behavior of the staff is very friendly and can share
their thoughts and issues about work and other stuff with their other staff members and their
superiors.

Employees Loyalty:

Employee’s loyalty is the main strength of the H.R department of ICEE Age Company.
Employees are loyal because ICEE Age Company gave promotion to their employees.

WEAKNESSES

Less Educated Workers:

Employees of H.R department of ICEE Age Company are less educated as per their
workload. Therefore sometimes the employees cannot manage or do the work assigned to
them which can have severe consequences. This is the weakness of H.R department of ICEE

Age Company. As per the size of the company the number of employees of the H.R
department is less than the requirement.

No off the Job training:

ICEE Age company has no arrange for employees off the job training. They just conduct on
the job training. So that’s why the ICEE employees can’t giver innovative ideas or no any
technical worker gave any idea about technology.

OPPORTUNITY

Increase speed of work:

All the H.R processes done in H.R department are done manually/handwritten. Making all the
processes computerized can increase the speed of work the chances of the mistakes will be
for less as compare to the manually system. Therefore H.R department has opportunities in
this regard.

Recruitment:

ICEE’s recruitment policy is based on the reference based hiring instead of that ICEE should
Conductan attractive pool for candidate because it is beneficial for the ICEE Age.

THREAT

H.R Process

Main threat to the H.R department of ICEE Age Company is that their H.R processes are
manual and have less number of employees than the required numbers. However on the other
hand the Competitors have computerized H.R processes and they also offer higher salary
packages to the employees.

Budget Constraints:

ICEE is a small companyand they have a very small scale budget to operate and same is the
case with the H.R department which havea small budget to develop their employees while
their competitors have a very large scale budget to develop their employees and this situation
is a great threat for the company.

Conclusion:

H.R department of ICEE Age Company is working on an outdated system and doesn’t have
clear cut instructions for an employee. Therefore ICEEhasopportunity in the betterment of the
Company and the human resource department especially and ICEE needs to improve its
system of management and production. Otherwise the fate of ICEE Company will be in
danger in coming time.

Recommendation:

My recommendation to the ICEE Age Company the specially to the H.R departments of the
Company is to trained the employees according to the requirement or replace less educated
employees with the educated one and increase the number of employees in the department to
manage the work easily and update the manual systems to the computerized systems.

3. Learning As a Student Intern

3.1 Duties:
My duties that I performed in different departments over different period of time were:

 Arranging files of ICEE employees.


ICEE maintains record of the employees regarding leave, bonuses, etc. in manual
format and I helped my supervisor doing that.
 Counting stock
Once in a month ICEE counts the stock of raw material and finished product and I
helped making the report.

I worked with factory outlet staff and observed their dealings with the customers.
 Check daily customer mails

One of the duties assigned to me was to observe the HR functions of the company

Internship was my first experienced to learn practical work in my life. During my internship I
have learned that how’s large organizations working regarding their structures, follow of
information within organization, decisions making and implementation, recruitment process
of organizations, training and developing their employees.

I have also learned that how organization resolve their conflicts and technical issues.
Performance appraisals and rewarding their employee’s on the basis of their performance.
How companies is change their polICEE’s and technologies to overcome their competitors.
Also know about that how ERP system is impacts on the organizations efficiencies.

3.4 Skills recommended by the Organization:


ICEE is a small Company and encourages its employees to work and also conduct workshops
and training sessions to improve their skills but unfortunately ICEE does not recommend any
skills to their potential employees.

3.5Problems Encountered:
I faced a few problems besides of adjusting in the new environment and the organizational
atmosphere. There was no proper place for internees. I had difficulties in learning the H.R
software. The workload was high. Lack of proper attention.

3.6 Experience impact on career:


Practical work in ICEE enhances my vision and confidence. During my internship session I
have learned that how practical work provide you a strong back bone to face and deal with
future task in any organization. I have also learned that how to survive within organization
and how to face difficulties regarding accomplishments of different projects. I have also
learned that how to achieved organization goals through continuous hard work. All these
experiences provide me strong foundation regarding my care.
