The Park at Southwood

HOA Meeting Minutes


September 5, 2019

President, Holden Barrett, called the meeting to order at 7:00. There were 17 residents in
attendance.

The first order of business was to nominate a new President. No one nominated anyone
or volunteered at that time. We decided to speak with two management companies and
compare what the cost would be for them to take over the association. Also, we would need to
determine if they would/could handle the enforcing of our covenants.

Later, Carol Dick asked Carla Miller if she would consider being President if someone
would volunteer as Secretary/Treasurer. The answer was “yes”. Cleota Smith, who goes by
“Shorty”, then volunteered for the Secretary/Treasurer position. Carla resigned as
Secretary/Treasurer and Shorty was voted in as the new Secretary/Treasurer. Carla Miller was
then voted in as the new President. Betsy Glad volunteered to work with Carol Dick on the
Welcome Committee replacing Nancy Peacock who moved away.

Open discussion was largely about the reservoir and southern common areas not being mowed
weekly and being unsightly. The walking path is still riddled with weeds and grass is growing
over it in many places. Water does not fully drain from the reservoir and days of rain have
caused overgrowth that requires brush hog equipment to be used. Ruts were formed and
overgrowth is still an issue as the normal mowing equipment keeps getting stuck.

Vandalism of signs, sign posts and playground equipment was also addressed. Other
complaints discussed were residents leaving their trash bins at the curb 24/7. This is possibly
against City Code, we will check and send a letter if confirmed. Trash bins should be moved
back up to the house the same day as trash pick-up. Also, many homes need maintenance,
garage doors painted and several have no grass in front areas. We will check City Code about
ground cover and address the issue with a letter.

Around 130 homeowners still have not paid their dues. Three paid dues at the meeting.
Dues must be received to keep the utilities paid and all areas maintained properly.

The meeting was adjourned at 8:10pm.
