PURPOSE
This document outlines the guidelines for reserving rooms in Learners Guild Rooms
https://learnersguildrooms.yarooms.com.

SCOPE
The room reservation application is maintained by the Learning and Development – Room Reservation team
(RR). All questions and concerns must be directed through LearningandDevelopment-
RoomReservation@alorica.com.

1 RESERVATION PROCESS
1.1 Reserving a Room
Reservations must be requested through the YArooms web service at Learners Guild Rooms
http://learnersguildrooms.yarooms.com.

1.2 Reaching out to your POC


Reservations can only be submitted by a designated point-of-contact (POC) from each site and
program/department.
 Requesters should reach out to their program/department POCs to submit reservations.
 In the absence of a POC, reservations may be requested through LearningandDevelopment-
RoomReservation@alorica.com.
 Your program or department can request to have a POC assigned by reaching out to RR.
 The Room Reservation team has weekends off.

1.2 Scheduling a Request


Reservations must be made at least 24-72 hours prior to the class/meeting.
 EARLY RESERVATIONS may only be submitted as early as the 45-days before the reservation date. For
example, a reservation on February 14 can only be submitted on/after January 1.
 As an exception, New Hire QuEST and New Hire Product Specific Training reservations may be
submitted as early as, but no more than, 90 days before the class start date. For example, a class in
April may be reserved as early as January of the same year.
 LAST-MINUTE RESERVATIONS. In the event of an immediate need for a room, users may use a room
provided there are no conflicting approved reservations. POCs must still submit the request in
Learners Guild Rooms for documentation.
o Read-only credentials for YArooms are posted on venue doors. All are encouraged to log in
and check availability before using a room.
 Rooms can only be reserved for a maximum of 9 hours per day. Reservations that exceed the 9-hour
hoop will be approved on a case-to-case basis.

2 FAIR USE
2.1 Prioritizing Reservations
Reservation requests in queue are evaluated according to priority levels. Requests of equal priority levels will
be evaluated on a first come, first served basis.

a. Reservations for New Hire Product Specific Training (PST) and New Hire QuEST (QuEST) require
that they be included in the ALORICA Recruitment Ramp Plan prior to approval. You can reach
out to Odette Dequito Odessa.Dequito@alorica.com if you have questions or concerns regarding
the ALORICA Recruitment Ramp Plan. Including the Taleo Requisition number in the description
would help facilitate the process.
b. Client and Executive visits override all affected conference room reservations. This provision is
limited to accommodating activities related to a client or executive visit. In-house clients (i.e.,
clients working within Alorica facilities) may not use conference rooms as offices. This is for strict
compliance.
c. BOARDROOMS: A minimum number of 6 participants are required for the approval of
reservations. Please include the number of participants when making requests. Reservations that
do not meet the minimum number will be approved on a case-to-case basis.

2.2 Recurring Reservations


Recurring reservations follow the same guidelines as indicated in 1.2. Only a maximum of one month would be
permitted to ensure fair use.
a. EXTENSIONS: extensions can be made 15 days before the end of the recurrence.
b. Requests for Training Rooms to be converted to Production spaces have to be validated by
Workforce first. Please secure validation by emailing Robbie Quitoriano
RobertJoseph.Quitoriano@alorica.com and/or Troy Angeles PatrickTroy.Angeles@alorica.com.
After securing validation from WF, please secure approvals from your program’s VP and Irene
Tan Irene.Tan@alorica.com.
c. As an exception, recurrences for New Hire Product Specific Training may reserve the entire
duration of product training (e.g. product training to ABAY).

2.3 Negotiating Conflicts
In the event of a schedule conflict with an existing reservation, it is the responsibility of the requesting POC to
negotiate with the affected POC. Any adjustment of schedules must be facilitated through Learners Guild
Rooms or through LearningandDevelopment-RoomReservation@alorica.com.
a. Switching of approved reservations must be facilitated online through Learners Guild Rooms.
Accountability of rooms will be based on the approved reservations reflected in Learners Guild
Rooms, not on actual room usage.
b. Please loop in the Room Reservations distro for any internal discussions or agreements that you
may have regarding room reservations. While we encourage offline conversations and working
together, we'd appreciate an early heads up so that we may have context on how to mediate,
should a need arise.

2.4 Limiting Factors


Certain conditions affect the availability of rooms. Consider the following limitations prior to submitting a
request
A. OWNED ROOMS (OR)
a. Rooms exclusive to a program/department in compliance to a Statement of Work (SoW)
requirement. Before a room a can be locked, please provide Learning and Development with a
copy/screenshot of the details where it is indicated that a training room is contractually locked.
b. Rooms converted to a production space. (Please see 2.2.b.)
c. Rooms to be locked but do not fall under “a” or “b”: approval must be obtained from Dan
Nacarato and Irene Tan
B. EXECUTIVE ROOMS (ER)
Conference rooms primarily allocated for client and executive visits. Reservations may still be made,
but are subject for approval by the following owners. The Room Reservation team will take care of
securing approvals.

2.5 Cancelling Reservations


Cancellations of approved reservations must be facilitated in Learners Guild Rooms to open the room(s) for
other reservations. For the cancellation of pending requests, please email LearningandDevelopment-
RoomReservation@alorica.com.
 Any reservation request that do not meet the above guidelines will be declined outright.

3 RESOURCES AND OTHER APPROVALS
It is the responsibility of the requester to secure resources and other approvals related to the use of the
reserved room(s).
A. IT configuration changes (e.g., VLAN) are requested from the site IT department.
a. Requester must reach out to IT to identify the current configuration of the desired room(s)
before submitting a request.
b. Requester must confirm system compatibility with IT. As a reference, a compatibility guide is
provided below.
c. If changes are required, requester must submit a change request in ServiceNow two weeks
before the start date of the class.
B. Projectors and other multimedia equipment (e.g., speakers, microphones) are requested from the site IT
department.
C. Additional tables and/or chairs are requested from the site Facilities department.
D. Bringing in of food and drinks require the approval of the site Facilities department

HOUSE RULES
These guidelines ensure proper monitoring and use of Alorica shared resources.

TRAINING ROOM & CONFERENCE ROOM HOUSE RULES


1. Rooms must be properly reserved through your program’s or department’s room reservation POC, or through the
Learning and Development - Room Reservation team. Room occupants will be asked to arrive and vacate the rooms
promptly and as reserved. Walk-in occupants will be asked to vacate the room if it is reserved by others.

2. Requester must log in to the TR/conference room log book located at the guard’s podiums. If a requester borrows a
projector, projector screen, or remote control, this must be logged into the borrower’s log book. Log books are
kept for tracking purposes.

3. Employees and visitors should wear their ID/proximity card at all times.

4. Professionalism and proper decorum should be demonstrated at all times.

5. Employees are not allowed to remove/transfer any item/property from the room.

6. The occupants of the room are responsible for the equipment, furniture, and physical space during the assigned
time.

7. Food and Drink:


 Food is not allowed inside training rooms, only drinks in transparent spill-proof containers.
 Food and drinks are allowed in conference rooms but would need prior approval from the Facilities team.

8. Clean as you go.


 All confidential documents, training materials, or garbage that the users brought in should be properly
disposed.
 If food is consumed in the conference room, it must be removed from the room and properly disposed.

9. Furniture and equipment must be returned to its original set-up.

10. Quit all programs and applications, log off the computer before leaving the room.

11. Turn off the television, projector, amplifier, and lights before leaving the room (this includes lunch time).

12. Only the following materials are allowed when temporarily sticking paper or decorations to the walls: masking tape,
Magic Tape, or any other adhesive that doesn’t leave any residue.

modifications must have approval from Irene Tan. This policy must be reviewed annually for relevance,
however, as our business plan evolves so must this document to reflect all changes that may place. All policy
changes will reflect compliance with all government and industry regulations, as well as agreeable client
safeguards.
