Job Description

Hiring: Office Administrative/Leasing Assistant


ACCOUNTABILITIES
1. Process rental applications as efficiently and effectively as possible. For example, rental
application processing should take no longer than one week from receipt date. Providing
customer service in the completion of applications.
2. Enter and close work orders.
3. Maintain tenant and rental application files.
4. Send late rent letters and general notices to tenants as needed.
5. Answering phones, handling Property Management calls or transfer callers to appropriate
department. Taking down messages for employees, completing maintenance work orders,
responsible for front desk coverage to assist applicants who walk-in and may need assistance
completing rental applications, explaining AHEAD Inc. various properties (subsidized, non-
subsidized, elderly and disable vs. family properties) give/explain income guidelines if requested
and explain how rent is calculated for subsidized properties.
6. Sort mail, stamp with Property Management stamp, date and fax to PM remote offices as
needed.
7. Collect rent payments received by tenant walk-ins and payments received by mail.
8. Process rent payments in Classic; prepare deposits, photo copy checks and deposits for
Accounts Payable Dept. and bring deposits to the banks when needed.
9. Responsible for maintaining office supplies and paper products inventory for the PM office.
Qualifications/Skills
 The position requires a minimum of 1 year in office administration.
 College Graduate
 Must possess ability to understand and follow procedures.
 Self-motivated team player who is highly organized. Strong communication skills.
Understanding of family and elderly housing needs preferred.
 Knowledge of routine office procedures is required. Proficient in Microsoft Word and
Excel.
 Reporting skills, administrative writing skills, professionalism, analyzing Information,
written and verbal communication.
