CHAPTER 1
PROBLEM AND BACKGROUND OF THE STUDY
INTRODUCTION
Technology is derived from discoveries of man; therefore, it includes the use of both
primitive and highly advanced tools and methods of works. The inventions and the
development of technology permitted people to expand their work at the shortest possible
time. With the assistance of technology, people are now using the most important and
most highly developed machine man has ever invented: The computer.
Computer has changed the way people work specially in the field of industry and
commerce. Most business have used this in carrying out different business transactions.
Computer has been greatly valued for its skill to execute tasks more hastily and more
accurately than any human being had. These task include solving numerical calculations,
storing necessary information, and organizing files that can be used by management and
other departments in the company in making economic decisions.
However, even with the existence of these highly developed technologies, some
business firms still prefer the manual system which requires more effort, time, cost, and
resources, because of its simplicity. Yes it is apparent that as the business gets larger, its
process becomes complicated and thus requires a more convenient tool, which will help
attain the company’s goals and objectives. Organizations have to consider, acquire,
allocate and control certain factors which are necessary to achieve the goals and
objectives. Inventory management, being one of these factors, has always been a major
preoccupation for the company’s survival and growth. The advancement of technology in
society makes life easy;
The Point of Sale System is used to make it easy to the other business to manage. It
calculates the sales for the day, month and year, and inventory system programs now on
the market lets you track the usage, monitor changes in unit costs, calculate it when
you need to reorder, and analyze inventory levels in item by
item basis. It can even control inventory right at the cash register with a point of sales.
Point of Sale System records each sale when it happens, and the inventory
records are update automatically. In the world of business, sales and
inventory report has one of the biggest roles in the field of business industry.
Recording data from past to present will calculate every statement and will help in
monitoring the status of the business. Manual data recording of sales and inventory data
are now a thing of the past. Indeed, the world is now inconceivable without
computers, billion o f i m p o r t a n t d a t a c a n n o w b e s t o r e d a n d h a n d i l y
r e t r i e v e d b e c a u s e o f that exists today.

For business owners, like Kenwei keeping track parts of their products inventory might
be the most important task they should know how to do. Knowledge of how to take parts
inventory is the first line of defense against waste and employee theft.
The important of studying in inventory system is to keep track of the flow of goods.
Inventory system are designed to tell you where each product is going how much is being
sold when you need to order more and which products the greatest profit. All business
rely on inventory.
System play this vital role by accounting for all goods or products. They also show where
a particular items is in the flow of sales whether it is in a warehouse or on a store shelf.
The main purpose of inventory system is simple to enable a business take stock and
appropriately manage their goods and products. Inventory System is a process done by a
business that sells product in order to help analyze how the business is performing.
One example of an organization that has a wide range of inventories and still employs a
manual system is Kenwei E-Bike was formally established to take part in the Philippine
Economy’s growth as it envisioned for making the road in the circle of newly
industrialized countries.
Point on Sale System an effective way for monitoring and tracking different products and
materials that are transferred in and out of a company’s establishment, store or market
place usually for accounting purposes Using computerized sales and inventory system
allows for much greater accuracy in stocking product management. They encourage ease
of interaction between employees and shoppers as transactions are processed and items
move from the business to the consumer. Computerized sales help provide better insight
into which products are most popular. It also allows for enhanced marketing, stocking
and oversight of critical sales objectives. Computerized sales and inventory systems save
time for business by speeding up transactions while raising accuracy. This allows for
confidence in accounting and accountability among employees as it easy to verify how
much money and what time transactions took place.

BACKGROUND OF THE STUDY
Kenwei E-Bike is originated from china. Mr. Ken Wu established E-Bike company in the
Philippines he research the environment and the capacity of the Philippines to cater an E-
Bike vehicles. He met Mr. Joseph Galban who’s interested in investing on a business has
potential and competitive environment, they decided to name the company as J&K
Resource Marketing Kenwei E-Bike. J&K Kenwei E- Bike established on year 2005 and
now has their already have 10 branches here in the Philippines, The 1st branch they
establish are in Mindanao Ave. Quezon City.

One of their branch is located in Zabarte Road Camarin, Caloocan City (Camarin
Branch). Camarin branch is headed by Mr. Jason Wang together his sales staff namely;
Ms. Joan Azada, Ms. Jona Lei Tagarino and Mr. Arwin Rolosa.
They offer a newly invention of motorcycle that what we called E-Bike or Electronic bike
from the word electronic bike this motorcycle is different in motorcycle that used in a
long years that need a gasoline before you to have used this. Unlike this electronic bike,
E- bike is a chargeable motorcycle and this motorcycle has 3 types this are; Bike type,
Scooter type and Triwheels..
The existing transaction of Kenwei E- bike is traditional method where the walk in
customer will go to the store and then buy product, Kenwei E – Bike allow calls from the
customer for inquires and ordering product and they also allow the customer to pay an
installment but they have a requirements to those customer who like to grab this type of
their payment like, proof of income, valid id’s, 2pcs 2x2 photo,NBI clearance.
STAMENT OF THE PROBLEM

This study aims to know how point of sale system helps Kenwei E-Bike gives solution to
their problem on how can they easy to transact they records. The researcher decided to
give an easy convenient and easy way for this company, after the collected details that
gathered for the interview that they using an old manual transaction or processing and
that is messenger application did. The Kenwei E-Bike company has also a waste of time
regarding to their manual transaction .
GENERAL PROBLEM
How to create a system that can avoid the lessen time of each transaction for processing
each client application up to its approval and difficulties in transaction or process sales
transaction that can help for Kenwei E-Bike?
SPECIFIC PROBLEM
 How to create develop a system that will be used for keeping and storing the entire
item’s information?
 How to create and develop a system to generates or produce a sales report of the sold
item?
 How to create and develop a system that they can easily and faster their transaction
with their costumer?

 How to create and develop a system that will show all the products, price, and its
quantity?
STATEMENT OF THE OBJECTIVE
This study aims to create and develop an Point of Sale System for Kenwei E-Bike to an
easier and more modern alternative in doing their sales.

GENERAL OBJECTIVE
To generate an Point of Sale System for the Kenwei E-Bike to eliminate the difficulties in
sales transaction and monitoring of sales.
SPECIFIC OBJECTIVE
 To create and develop a system that will be used for keeping and storing the entire
item’s information.
 To create and develop a system to generates or produce a sales report of the sold
item’s.
 To create and develop a system that they can easily and faster their transaction with
their costumer?
 To create and develop a system that will show all the products, price, and its quantity?

On the first stage, the proponents conduct an interview to gather data to give an idea or to
understand what things are needed to use for this system. For software requirements the
researchers used Visual Basic.Net for encoding the system MS Access is for Database
and for hardware requirement the researchers used desktop or laptop and Flashdrive
PROCESS
After the interview the next step is to gather a data and analyze the problem, decide what
is going to be done and design the system based on the problem to be follow by
constructing the designed system and lastly checking errors, optimize capabilities.
OUTPUT
For overall progress the proponents create & develop the Point of Sale System for
Kenwei E-Bike.
SIGNIFICANCE OF THE STUDY

This study was initiated in order to develop a new system to their business, called Point
of Sale System for Kenwei E-Bike that will really fit to their business.
 KENWEI E-BIKE
The developed system could lessen the difficulties in managing the inventory count
which is a key activity of business. This would also minimize their time in doing a
physical count because of the computerized system that can search and update
records quickly.
 CUSTOMER
The system could lessen inconvenience to customers when they make purchase. It
would be easily known if the certain item they want is still available or how many
stocks are still available.

 PROPONENTS
This study shall enhance their skills and knowledge in advance technology by
developing a system, and become more aware of the existence and benefits of new
technology.
 ACCESS COMPUTER COLLEGE
This study establishes a contribution to the school name.
 FUTURE RESEARCHERS
This study will serve as their baseline data for their research in related topic.
SCOPE AND DELIMINATIONS OF THE STUDY
SCOPES
 The system provides user friendly interface resulting in knowing each every usability
features of the system.

 The system helps tracking records so that past records can be verified through them
and one can make decisions based on the past records.

 This system completes the work in every less time resulting in less time consumption
and high level of efficiency.

 The calculations are made very quickly and the records are directly saved into
databases and databases can be maintained for a longer period of time.

 Each record can be retrieved and can be verified for the future transactions.
 The purpose of the system can void the receipt.

Also this system provides high level of security for data leaking as only admin people can
access the databases no changes can be made.

 Human error sometimes makes this information inaccurate.

best pick of POS for retailers because it is a cloud based service meaning applications,
services or resources made available to users on demand via the

internet from a cloud computing provider’s servers.
This POS system for retailers comes with a ton of useful features. Offers plenty of tools
to help the retailers to save time and boost sales, spend time growing the business and
less time worrying back-end processes. It can be easily to manage inventories, gather
information, boost sales, manage employees and reports can be generated straight from
the point of sale system.

FOREIGN LITERATURE
According to Hold (2010) inventory refers to stocks anything necessary to do
business. The US small business administration publication describe what constitute

successfully inventory management balancing versus benefits of the inventory including:
maintaining a wide assortment without sacrificing services keeping stock law without
sacrificing performance: obtaining lower prices by making volume purchases: and
maintaining an adequate inventory without excess of absolute items.
LOCAL STUDIES
According to Distors (2007), in her study Point of Sale System the accelerated
work structure of the company proper monitoring it essential in order to keep track of the
company’s sales activities. Her system aims to come up with an efficient, and accurate
mechanize system of preparing invoices that will track the daily transaction and generate
reports. Important information will be provided by the studying order to prove that the
computerization of the company’s operation and achieve a more reliable and efficient
means of monitoring day to day activities. Her system focuses on the analysis and design
of the sales monitoring system which will monitor the stack inventory of the sales
departments.
FOREIGN STUDY
In the study of Ferrer 2001, under the Koread Red Ginseng Enterprise Point of
Sale System, the proponent came up with a computerized Point of Sale System. The
proponent used data base to easy access of files and for easier and faster processing and
inventory transaction the program was designated to generate report such as monthly
reports, inventory reports sales invoice.

In connection with propose system, the proponent propose a new and faster way
of processing business transaction the system also helped the user to know the
availability of the products. It also helped the manager to monitor the stocks and
immediate notice for acquisition of additional products.

Internet, Interview and observation to gain more information about the
company.
DATA ANALIZING – after the Data gathering , the proponent analyze all major
and minor problems and the factors that may influence their study.
DESIGN - the proponent focuses on the design of the program and its function
and to use a user friendly system.

CODING – in this phase , the proponent chooses what programming language
is to be used for the architectural construction of the program and start coding
the system.
TESTING – In this phase, the system is tested to ensure that interfaces between
modules (integration testing) the system work on the intended platform and
with the expected volume of data and that the system does what user requires.
IMPLEMENTATION - after the testing and debugging of the system, the
proponents are going to implement the system.

MAINTENANCE – Lastly, the proponents is continues conducting research and
study to continuously develop the system.

The actors in the system are the user and the manager.
USE The user is an employee whose job is to administer sales transaction
towards costumer’s representatives. As the main person to conduct sales, he or
she given authority to enter sales data into the system.
ADMIN
The admin monitors the financial status and the business activities of the
company. Thus he or she have the right to access the database and extract
information from it through reports. He has also the authority to update, change,
or delete any data and/or information regarding the products.
