Roles & Responsibilities of Each Section Heads

GENERAL MANAGER

a) Overall responsibility for management of Milk Plant operations of The Ferozepur


District Cooperative Milk Producers Union Ltd., Ferozepur

b) Defining the Milk Plant’s Quality Policy and Quality Objectives.

c) Presiding over the Management Review meetings.

d) Defining and monitoring the responsibilities, authorities and inter-relationships of all


personnel who manage, perform and verify activities affecting quality

e) Overview of General Administration and finance.

f) Procurement and Marketing goal setting and monitoring performance (both internal
and external).

g) Management of Men, Machine, Material, Methods and Resources for optimum


utilization and to ensure their availability for satisfactory Quality Management System.

h) Interact and interface with both internal and external environment to facilitate
implementation of growth plans apart from consolidation of ongoing operations.

i) Giving feedback to the management bodies such as Board of Directors and Milkfed and
implementing policies decided by such bodies.

DY.MANAGER (CC)

a) To ensure that all the required inspection and testing are carried out in accordance with
the laid down procedures and techniques.

b) To ensure that quality assurance personnel take necessary samples that they require
using the correct sampling procedures.

c) To ensure that test methods are strictly adhered to and test reports are forwarded to
the designated authority.

d) To identify and organize calibration of inspection, measuring and test equipment of


laboratory only to maintain their continued suitability.
e) To ensure proper quality of milk is received from the various Cooperative Societies as
per the norms of the agreement.

f) To ensure that the laboratory technician/scientific persons are appropriately qualified


and/or trained.

g) To ensure compliance to all statutory obligations for quality and food safety of products
under Prevention of Food Adulteration Act.

MECHANIC (GENERAL)

a) Monitoring, controlling, maintenance of machinery and equipment to ensure


availability of serviceable machines and equipment for producing quality products.

b) Responsible for identifying all machines, needing maintenance, preparing maintenance


schedule and executing maintenance throughout the plant including DG set.

c) Ensures proper supply of water wherever required in the plant.

d) Ensuring the availability of appropriate quality approved spares and relevant spare
material for timely execution of maintenance and servicing.

e) Coordinates with State Electricity Board for electricity supplies and maintains proper
supply of electricity in plant.

f) To monitor Pollution Control activities ensuring conformity to statutory requirements if


any. Also responsible for necessary interactions with statutory authorities.

g) To identify and organize calibration and control of inspection measuring and test
equipment with Plant coming under his preview.

MANAGER MILK PROCUREMENT

a) Monitor and develop milk procurement sources, finalize agreements, implement CMP
programme and ensure quality supply as per requirements throughout the year.

b) Ensuring technical inputs to Milk Procurement societies.

c) Maintaining /monitoring operation of MPCS /chilling centres.

d) Monitoring operation of transport system to ensure milk delivery from MPCS to chilling
centers and MPCS/Chilling Centre to the Milk Plant.
e) Collection and maintenance of data relating to Procurement of milk and supply to the
Milk Plant and control management information system.

FSR/SALES MAN

a) Enhancement of the company's image in the market.

b) Assessment, evaluation and appointment of suppliers for supply of material/

services.

c) Redressal of Customer complaints and getting feed back.

d) Ensuring that sufficient quantity of milk and milk products are available at the retail
outlets during vending/sale hours.

e) Recruiting retailers’ agencies and shopkeepers to sell milk and milk products as per the
norms of Milk Plant/Milkfed.

PURCHASE ASSISTANT

a) Responsible for overall supervision, day-to-day administration & function related to all
purchase activities (excluding procurement of milk).

b) Various functions related to purchase section are as under:

- Supplier (Vendor) development.

- Procurement of plants & machinery, spare parts, tools and other items including
imports and custom clearances. Finalization of various contracts for supply of items.

- Finalization of job orders, work orders and turn key jobs.

- Coordinator within the department and with other departments.

DEPUTY MANAGER (P & A)

a) Taking part in decision-making in respect of policies regarding industrial

relation.

b) Responsible for development of appropriate HRD policies in line with the organizations
objectives, values, vision and mission and also facilitation implementation of the same.
c) Interact and interface with all the sections and activities to develop faultless inter
personal, inter sectional co- ordination for harmonious and effective industrial
relations in the Milk Plant.

d) Identify the training needs of the employees with effective interactions with
department/section heads and arrange the trainings, monitor and record the same.

e) To liaison with Milkfed Head Office as well as external Government / other organization
on matter relating to Personnel and Administration.

f) Responsible for all statutory obligations under Factories Act 1948 for operation of Milk
Plant.

STORE KEEPER

a) Monitor Store activities to ensure availability of approved quality required spares,


machines, consumables and commodities.

b) Innovate & implement good and adequate inventory management practices to achieve
cost effectiveness.

c) Codify all items of store including accessories and spares.

d) Receive stores properly and keep records of all items.

e) Issue all items with proper documentation and update all stocks and issue of material.

f) To make available the items required by user departments.

g) Return all rejected material to suppliers.

h) Disposal of scrap and other items.

i) Coordinate with purchase and all other user departments for proper flow of

material.

j) Plan and maintain proper storage to prevent damage and deterioration, check receipts
for right quality and quantity. Plan and maintain storage of materials/products
segregating conforming/ nonconforming products.

k) To stock the required items of the user departments properly.
