CIRCULAR

LEAVE POLICY:
An employee is eligible for 30 days leave in an appraisal year i.e. 01 July to 30 June. The leave will
be credited monthly @ 2.5 days at the end of the month. The employee has to compulsorily avail
15 days leave in a year. A maximum of 15 days leave can be accumulated in a year, upto a total
maximum accumulation of 30 days. Leave encashment can be availed by an employee having any
leave to his/her credit, upon application to HR Department and after retaining 15 days leave as
reserve to meet contingencies. Accumulated leave in excess of 30 days will automatically be
credited in the salary of July based on the salary of preceding June. Please note that leave is a
privilege, not an entitlement.

Leave may be either prefixed or suffixed to holidays without any effect. Intervening holidays shall
be included as part of the leave. In case an employee leaves the organisation, the leave encashment
shall be paid based on the salary of preceding June as part of full and final settlement.

LEAVE WITHOUT PAY & UNAUTHORIZED LEAVE:

Leave without Pay (LwP) may be granted in special cases solely at the discretion of Management
when no other leaves are due. No pay or allowances are admissible during the period of LwP.

For any unauthorized leave or LwP, salary for the period of absence will be deducted and Leave
credit to the extent of 1 day for every 12 days absence will be reduced on a pro-rata basis. The
bonus amount shall also stand proportionately reduced.

ATTENDANCE AND INTIMATION OF ABSENCE DUE TO EMERGENCY


SITUATIONS:

All employees are required to report for duty at the designated time and place, as communicated
from time to time.
On joining the Company every employee is required to have a biometric identity up to the
designation of Senior Manager, wherever the system is available. Attendance will be recorded
using the biometric system. In places, where biometric system is not available, the attendance will
be recorded in a register maintained for this purpose.
An employee who is unable to attend office due to emergency/sickness, must intimate the HR
Department and HOD within 11 AM of the day. He/she must also submit a leave application on the
next working day. In case of planned leave, employees should submit the approved leave
applications at least one week in advance to HR Department.

An employee who does not attend office by 10:15 AM, must intimate the HR Department and
HOD about his/her late coming. In case of more than two late comings (up to 11:00 AM) in a
month, half day leave shall be deducted for every additional late coming. Any employee who
attends office after 11 AM but within 1 PM, half-day day leave shall be deducted. For any
attendance after 1 PM, one day leave shall be deducted.

Habitual late coming, chronic absenteeism, late joining of duty after lunch etc. may invite
disciplinary action.

HOLIDAYS & HOLIDAY WORKING:

A list of 12 annual holidays shall be announced by the company every year. In addition to these, in
case the offices and establishments are closed on any other days if required by the circumstances,
the additional days shall be part of the leave days. Employees should not enter the offices and
establishments on designated holidays and closed days without proper authorization. The company
may at its discretion require any employee to work on holidays and Sundays in case of emergency
or essential work.

COMPENSATORY OFF:

Compensatory Off shall be granted (up to the designation of Assistant General Manager / Project in
Charge) to employees who are required to work (more than 5 hours) on holidays and Sundays. Site
employees who are required to work after midnight shall be allowed one Compensatory Off.

The requirement to work on holidays/Sundays and after midnight must be approved by the HOD
and one Director. The Compensatory Off must be availed within two months from the date of duty.

INTIMATION BEFORE GOING OUT OF OFFICE:

While going out of the office, intimation must to be given to the receptionist at the 204 A.J.C. Bose
Road office, or to Mr. Debajyoti Ghosh at the 207 A.J.C. Bose Road office. Please inform them on
whereabouts and likely time of availability in the office to enable any meetings to be scheduled.
You should also inform the head of your department, and all HODs should be aware about the
whereabouts of their team members.

INTIMATION ON GOING ON OFFICIAL WORK BEFORE JOINING OFFICE:

If someone is going on official work before joining office for the day, he/she should get an
approval from the HOD and inform the receptionist at the 204 A.J.C. Bose Road office or to Mr.
Debajyoti Ghosh at the 207 A.J.C. Bose Road office.

INTIMATION BEFORE GOING OUT OF SITE FOR SITE STAFF:

All site staff going out on official work must intimate and inform the Project in Charge about their
schedule and whereabouts.

PERSONAL EXIGENCIES:

In case of personal exigencies, any employee who joins work late (i.e. after 10:15 AM but before
1:00 PM) or leaves work early (after 3:00 PM) with approval from HOD and intimation to HR
Department, half-day leave shall be deducted. In case of joining work after 1:00 PM or leaving
work before 3:00 PM, one-day leave shall be deducted.

MAINTAINING COMPANY PROVIDED ASSETS & PROPERTIES:

Employees who are issued with and in possession of company property such as laptop, desktop,
calculators, mobile phones etc. are responsible to safeguard the same in the same spirit as his/her
own property. The loss of company property issued to any employee shall be compensated by the
employee.

This circular will supersede all previous circulars regarding leave and special benefits. The
circular will be effective from 01 July 2015.
