Program Assistant

Job Description

The Westside Justice Center is a community-centered organization that promotes a holistic


approach to justice by: 1) Facilitating legal literacy to reduce recidivism; 2) Providing legal and
quasi- legal assistance to individuals; and 3) Establishing and nurturing community trust
through participatory deliberations and restorative justice practices, to collaboratively mitigate
the consequences of incarceration on criminalized communities.

This is a full time position, combining direct services duties and program duties to support grant
administration. This position requires concentration and accuracy on many levels as well as the
ability to respond to interruptions and requests for assistance with graciousness. This position
will help with maintaining systems, processing personnel information and state vouchering.

Reports to: Deputy Director

DUTIES/RESPONSIBILITIES

● Direct Services Support:


○ Greets all guests and walk-ins, and direct to the proper entity
○ Answers client questions and refer them to adequate attorney or agency
○ Manages client calls, answer phones and route calls appropriately
○ Coordinates client appointments with volunteer attorneys and WJC staff.
○ Manages shared Westside Justice Center master calendar
○ Collect intake information (including documentation) from clients and intake
person and report in clients database

● Office Support:
○ Maintains general office files and space
○ Maintains an inventory of supplies
○ Receives and distributes mail;

● Program Support:
○ Employee expense reports reconciling, processing and posting
○ Record cash receipts in the accounting system during the month end process
○ Log checks received
○ General invoice and vendor payment: processing, coding and posting
○ Works with vendors as necessary on billing issues

○ Prepares bank deposits for all funds
○ Manage petty cash and reconcile monthly
○ Subrecipient Monitoring: Assists with report reviews, Maintains all relevant data
for use in tracking, analyzing, including data collection, input, and reporting.

● Other Duties:
○ Provides assistance to each department as needed
○ Performs other duties as assigned

Skills​:
● A bachelor’s degree or equivalent work experience;
● Two years’ experience in office administration, preferably in a nonprofit organization or
accounting.
● Three or more years working with community-based organizations
● QuickBooks or similar system experience
● Experience with database management.
● Ability to work independently and take initiative on areas of responsibility and
successful implementer.
● Excellent interpersonal, public speaking and organizational skills.
● Proficient in Microsoft Office, Word, Access and Excel,
