How To Start An “Oracle Beehive


Conferencing” Session With Oracle
Customers.
The following document explains in detail the steps to perform an “Oracle Beehive
Conferencing” session with the Oracle Customers.

1) First of all, the Oracle Support Engineer will need to start the “Beehive
Conferencing” application:

Start -> All Programs -> Oracle Beehive -> Beehive Conferencing

2) Connect to “Oracle Beehive Conferencing” using your “Oracle Single Sign-On”

3) Create a new “Oracle Beehive Conferencing”

File -> New Conference

4) At the “New Conference” window, populate the following fields:

Note: It is very important to define the “Conference Type” as “Public”, otherwise Oracle
Customers (“Guest”) will not be able to access this conference.

5) Then click on the [Start] button.

6) A new “Beehive Conference Session” will be created as the following window:

7) Then at the new “Beehive Conference Session”, click on “Conference ->

8) The “Conference Details” window will be displayed, then click on [Copy Conference
URL] button:

9) Paste the URL obtained from the previous step on any editor:

Example:

https://stbeehive.oracle.com:443/bconf/confDetails?confID=334B:3BF0:owch:DB4313D

Note: The previous URL is just an example and a new URL is always dynamically
generated when a new “Beehive Conference Session” is created.

10) An then click on the [Cancel] button to return back to the main “Beehive
Conference Session”:

11) Then provide the URL from the step # 9 to the customer, along with the following
instructions:

I would like to collaborate with you in a 20 minute “Beehive Conference Session” to


progress your issue. Therefore, please follow these steps:

a) Go to the following URL (using Internet Explorer Browser).

<Paste here the URL from step #9>

Example:

https://stbeehive.oracle.com:443/bconf/confDetails?confID=334B:3BF0:owch:DB4313D

Please join into this collaboration session as soon as possible.

b) At the “Oracle Beehive Conferencing” interface, please provide the following


information:

First Name: <Your First Name>


Last Name: <Your Last Name>
Email Address: <Your Email Address>

Select: “Java-based Oracle Beehive Conferencing Client (windows, Mac OS,


Linux)”

And click on the [Sign In] button to join into the “Oracle Beehive Conferencing”.

c) And finally click on the [Join] button:

d) The new “Oracle Beehive Conferencing” session will be displayed:

e) Then, in order to share the Customer’s desktop, customer needs to click on the [click
to request to present] icon:

f) Oracle Support Engineer will receive the next request (“Request to Present”) coming
from the Oracle Customer, therefore Oracle Support Engineer will click at [Grant] button
to allow the customer to share her/his desktop:

g) Then the Oracle Customer will see the following confirmation, indicating that the
Customer’s desktop can be shared, there please click on the “Begin Presenting Now
…” icon:

h) If by accident, Oracle Customer click on the “Do Not Present Now” icon (above),
then in order to share her/his desktop later, Oracle Customer needs to click on the
[Begin Presenting Now…] button (below) to start sharing her/his desktop:

i) Oracle Customer will select between sharing the entire desktop (“Application(s)”) or
one or several applications (“Primary Display”):

j) Then Oracle Customer will see the next window, which confirms her/his desktop is
being shared:

k) If it is required, Oracle Customer can allow to Oracle Support to access her/his


desktop (grant the control) to collect additional information and/or execute specific
actions as follows:

k1) At the “Shared Control” section, customer will select the “Oracle Support Engineer”
(e.g. “Esteban Bernal (Host)”) from the list and click on it:

k2) The customer will see the “Mouse Icon” highlighted in yellow, indicating that the
“Oracle Support Engineer” now can take the control of her/his desktop:

k3) To revoke the control from the Oracle Customer’s desktop, the customer needs to
click on the “Shared Control” section and select “No one” from the drop list as follows:

k4) To stop sharing the desktop, the Oracle customer needs to click on the “Stop” icon
as follows:

l) To exit from the “Oracle Beehive Conferencing” session, Oracle Support can
terminate it as follows:

Click on: Conference -> Exit.

Or

Press: Alt + F4

Note 1: Only steps “a” to “k” (except step “f”) are performed by the “Oracle
Customers” (“Guest”) and all the other steps are executed by the “Oracle Support
Engineer(s)”.

Note 2: Oracle Customers (outside the Oracle Network), are required to have ports
80/443/5224 opened to stbeehive.oracle.com and a current java install. Oracle
Support Engineer will need to contact the Oracle Customers to do the testing and follow-
up with them to ensure connectivity issues are resolved.
