Introduction

Nowadays technology arrives in all aspects of human lives even in transportation,

medicine, education, and businesses. Computer based systems are more applicable than traditional
processes because its more efficient and consistent. Keeping of records are important in all variety
of organization. The Tangos United Methodist church in Navotas is one of the many churches that
manually storing all of their data that consumes a lot of time, and money, and it takes several days
to find the information that their members needed. According to Ajiboye et al. (2016) conducted
a study in Nigeria that examined records management practices in the Administration of the church
of Nigeria (Angelican Communion). The findings of the study indicated the various records
management practices that the church engaged in including creation, maintenance, access, use,
preservation and final disposal of records.

During 90’s Tangos United Methodist Church are started like a Sunday’s class Until it
grows in population and start to have their own church in the area of Navotas. And this past year’s
it became a problem for them to manage all their records because of the grow of their organization
and they have a lack of manpower therefore The pastor and the committee members of Tangos
United Methodist Church perceive the needs to acquire a computer-based system customized to
their requirement to replace the paper-based manual system to better their management. And we
are proposing to build a system, A record management system (RMS), and we thought a church is
will be a good idea to become beneficiary of our thesis project. Because not all of church are
computerized and this system will be helpful for the church. Having this kind of system is big help
for every organization in handling their important documents and certificates that is must to be
kept. A records management system (RMS) is a system that deals with the generation, collection,
organization, storage retrieval and dissemination of recorded knowledge.

The proponents are going to develop a record management system for the member of
United Methodist church to records and perform quick to find data and retrieval information. The
system can help and can be beneficial to the organization in solving a problem encountered in
using manual records process. this system that we are making is a web-based system that will
serves as a solution the problem that they are encounter for this past several years.

Statement of the problem

This study will solve the problem that Tangos United Methodist church encountered. the
main problem is the manually storing data all of their members. they face’s a problem like a long
queue’s in storing the data and they also experiencing loss of records. The man power is also a big
problem for them so if the member wants to see their information it will take a several days to find.
It especially if the data recorded long time ago. We the researchers are going to develop a system
for United Methodist Church that will help them to solve a problem for a years ago, and it will be
a benefit for the church and its members.

Objective of the Study

General objective

To design and develop a Record Management system for the Tangos United Methodist
Church that will help them to solve a problem that they are encounter for this past several years.

Specific Objectives of the study

 To create a comprehensive database that provides the information on the availability details
and the issue details along with the member details.
 To develop and implement of information retrieval system for the members and the
management of the church.
 To make a system that will lessen the papers does not permanently and can be damage due
to long time stack.
 To minimize space in keeping members record and utilize the personnel’s knowledge in
computer.
 To minimize the time and effort of pastor’s assistant in locating records.
 To Establish a database system that requires user’s log in password to avoid unauthorized
use and data manipulation.

