1 bizhub FTP Scan

1.1 Application Description
The bizhub FTP Scan application permits the user to scan documents that will be stored in a certain folder
located on a FTP server. In order to browse the folders on the server and to perform a scan, the information
about the FTP connection must be set up.

1.2 Requirements
The bizhub FTP Scan application requires a bizhub A3 or A4 MFP with IWS 2.0.3 or later and firmware
equipped with an activated web browser.

1.3 How to install

Installation of the application will be done via the IWS Install Tool. Please refer to the manual of the IWS Install
Tool about the installation process.

1.4 Application Screens
1.4.1 Home Screen
This is the first screen you will see after starting the application. Within the screen you can either directly
browse the network location in order to scan a document into it or to go to the Settings screen in order to
setup the connection to the network location, setup proxy settings if are needed or change the default
document naming.

On this screen you can use the following buttons:

Folder Browsing Button: click to go to the Folder Browsing Screen

Settings Button: click to go to the Administrator Login Screen to access the Type of Settings
Screen

Home Button: click to go to Home Screen

1.4.2 Administrator Login Screen
The Administrator Login Screen enables the user to login to the applications backend in order to
- setup the connection to the desired folder,
- change the proxy settings or
- use an own prefix for scanned documents
In order to access the administrator backend, please insert the MFPs administrator password and press the
Checkmark Button.

On this screen you can use the following buttons:

Checkmark Button: click to login as Administrator

Home Button: click to go to Home Screen

1.4.3 Type of Settings Screen
The Type of Settings Screen contains the links to
- the FTP Settings Screen and
- the Other Settings Screen.
In the FTP Settings Screen you can set the connection to the FTP server. In the Other Settings Screen you
can set the prefix of the scanned document name and proxy data, if needed.

On this screen you can use the following buttons:

FTP Settings Button: click to go to FTP Settings Screen

Other Settings Button: click to go to Other Settings Screen

Home Button: click to go to Home Screen

1.4.4 Other Settings Screen
The Other Settings screen grants two possibilities, you can:
- change the prefix of the scanned document name and
- insert the used proxy data.

The following information can be changed in this screen:

Setting Description
Document Name The prefix of the scanned document name is by default "document_".
IP or Hostname Enter the proxy server address.
Use one of the following formats:
• example of host name entry: "host.example.com"
• example of IP address (IPv4) entry: "192.168.1.1"
Port If necessary, change the proxy server port number. Normally, you can use the original port
number.
[8080] is specified by default.
Username Enter the user name to log in to the proxy server.
Password Enter the password of the user name you entered into [Username]

Back Button: click to go back to Type of Settings Screen

Save Button: click to save the settings and go to Type of Settings Screen

Home Button: click to go to Home Screen

1.4.5 FTP Settings Screen
The FTP Settings Screen enables you to setup the connection to the FTP folder.

The following information are used to setup the connection to the FTP:

Setting Description
Server Address Enter the host name or IP address of the destination FTP server:
• example of IP address (IPv4) entry: "192.168.1.1"
Port If necessary, change the port number. Normally, you can use the original port number.
[80] is specified by default.
Domain\Username Enter the name of a user who is authorized to access the folder specified in [Directory Name].
Password Enter the password of the user you entered into [Domain\Username].
Directory Name Enter the name of a destination folder in the FTP server specified in [Server Address]:
• example of Directory Name: "Scan"
Use SSL? When TLS is used in your environment, click the checkbox.
By default, the Use TLS is not checked, so no TLS is used.

On this screen you can use the following buttons:

Back Button: click to go back to Type of Settings Screen

Save Button: click to save the settings and go to Type of Settings Screen

Home Button: click to go to Home Screen

1.4.6 Folder Browsing Screen
The Folder Browsing Screen displays the list of folders from the FTP root location.

Reminder
If the settings are not correct, an error message will be displayed.
When the list of folders is displayed you can choose one of the folders as the location for your scan by clicking
on the name of the folder.

Once you have selected the final folder, you can confirm your selection with the Checkmark Button in order
to go to the Scan Settings Screen where you can specify your preferred scan settings like resolution, file type
etc.

On this screen you can use the following buttons:

To go back to the parent folder, click on the Go Up Button

To go back to the root folder, click on the Go to Root Button

Settings Button: click to go to Administrator Login Screen to access the Type of Settings
Screen

Checkmark Button: click to go to Scan Settings Screen

Home Button: click to go to Home Screen

1.4.7 Scan Settings Screen
In this screen, the scan settings can be changed before starting the scan process.

Possible settings (default in bold italic):

- Colour/Black
- Resolution
– 200
– 300
– 400
– 600
- Filetype Choice
– PDF
– CompactPDF
– TIFF
– JPEG
– XPS
– Searchable PDF
– PDF/A-1a
– PDF/A-1b
– Word
– Excel
– PowerPoint
- 1-sided/2-sided/Cover & 2-sided
- Copied paper/Text
On this screen you can use the following buttons:

Home Button: click to go to Home Screen

1.4.8 Scan Screen
The Scan Screen shows that the scan job is processed:

After the scan is started, the application will display the Home Screen again.

1.4.9 Error Screen

The Error Screen appears if an error occurred while processing a job.

Click the OK Button to go to the Home Screen and start the scan job again.
Check the scan settings to see if everything is setup correctly.
