Ledger Import: Ledger transactions are entered on to this worksheet before being uploaded in to SunSystems.
IMPORTANT: Columns on this worksheet that are not being used should be hidden but not deleted.
Ledger Report: This worksheet can be used to print a report of the ledger transactions being imported. The report can then be
used to get written approval for the ledger import or used to keep a record of ledger import journals. The header section of this
worksheet, including the headings for the transaction details, can be modified if need be. The transaction details are automatically
copied from the Ledger Import worksheet. Only data in visible columns is copied over.
Info: This worksheet contains information abut this workbook template and explains its various options and settings.
MPO: The MPO worksheet holds the Mandatory/Prohibited/Optional settings used to validate analysis codes for each account
being uploaded to SunSystems. The worksheet can be automatically or manually updated to ensure that analysis codes are
always checked against the current setting in Chart of Accounts.
<Paramters>
Business Unit: The business unit you want to post to.
Header Description: Short description that describes the transactions being imported. This description is also displayed in ledger
Import and helps identify the import batch.
Ledger: The ledger transactions are being posted to.
Year/Period: The default year/period used for the ledger transactions if none is specified against each transaction.
Journal Type: Default journal type used if none is specified against each transaction.
Journal Source: The Journal Source used if not specified against each transaction.
Suspense Account: The account code used for balancing adjustments if the base currency journal values do not balance.
Posting Type: Specifies the posting type option for the import batch. All transactions must be reviewed and posted from the
Ledger Import function regardless of this setting.
Post to Hold File: Specifies if the transactions are to be posted to the Hold file.
Post Provisional: Specifies if the transactions are to be provisionally posted.
Allow Bal. Trxns: This option allows the system to generate and post balancing transactions if there is an imbalance in the base
amount or in any of the currency values that require Amount Balancing. See Help for more information.
Report Errors Only: Set this option to only report on transactions that contain substitutions or rejections.
Suppress Subst. Msg.: Specifies if substitution lines for blank accounting periods and transaction dates, and certain other low
level substitutions, are excluded from the Ledger Import report.
<Actions>
Clear All: This action will clear all ledger transactions from the worksheet.
Prepare Worksheet: This action will prepare the worksheet for upload by setting Layout IDs, recalculate worksheet formulas,
round Base and Transaction amounts to 2 decimal places, update journal balances, and truncate description fields that are too
long. This function can be run as often as required.
Check Analysis: This action checks for Mandatory transaction analysis codes for each line account. If an analysis code is
required and not specified, the corresponding cell is highlighted. Note that this function does not check for valid analysis codes.
This will be done by the Data Send function when uploading to SunSystems.
Upload Transactions: This action runs the Data Send function and uploads journal transactions to SunSystems.
Show Errors: This action will show any error comments generated by Data Send.
Hide Errors: This action will hide any error comments generated by Data Send.
Clear Errors: This action will clear/delete any error comments generated by Data Send.
Create Report: This action will copy and paste the ledger transactions on to the Ledger Report worksheet.
<Balances>
This section shows the balance of the ledger transactions in both Base and Transaction Currency. Note, however, that if multiple
transaction currency values are specified then this total becomes meaningless as only one transaction value total is displayed.
Click the calculator icon to update the journal balance totals. If debit/credit markers are specified then the total of all credits will be
subtracted from the total of all debits. If positive and negative sign indicators are being used then the sum of the Base Amount
values is shown. Debit/Credit markers take precedence over positive/negative values.

<Options>
Check Analysis on Upload: If checked, analysis checking will be performed at the time of upload.
Show Errors if Upload Fails: If checked, Data Send errors will be automatically displayed if upload fails.
Auto-update MPO: If checked, MPO worksheet will be automatically refreshed when analysis checking is performed.

<Lookup Buttons (Data Selector)>

The Account Code and Analysis Codes have
lookup buttons that allow you to view the available
codes for each field. The codes displayed are
retrieved from the Business Unit specified in the
Criteria selection.

You can also use the lookup field to update

accounts and analysis codes on the spreadsheet.
Simply select the cell that you want to update and
then click the lookup button and select the value
you want to use.
