COMMON INFORMATION
2. From 4 to 7 December 2019, students in Grade 10 will participate in
Jogja Batch Trip at Greenhost Hotel, Jl. Prawirotaman 2 No.629,
Brontokusuman, Kec. Mergangsan, Kota Yogyakarta, Daerah Istimewa
Yogyakarta 55153

3. For your child to participate in an ​overnight stay outside of school​, the


following criteria should be met:

● Your child is ready to do so without your supervision or involvement


● You acknowledge that there is a fee for the program
● You agree to pay the fee by the published due dates
● You complete and sign the required forms

4. There is a​ Lead Supervisor​ and ​First-Aid Supervisor​ for the Jogja


Batch Trip, although all teachers are trained in first-aid and CPR.

5. Each First Aid Supervisor also has a ​Backup ​trained in first aid and
CPR. A sufficient number of student supervisors are assigned for each
program to allow the First-Aid Supervisor to be called away in the case
that a child or supervisor needs medical attention. The First-Aid

Supervisor will immediately inform a child’s parent should medical

6. To enable supervisors to carry out their duties vigilantly, the Committees,


both teachers and students have assigned a separate task. The
Committees:

● Administers all travel, transport, hotel, and meal arrangements


● Has knowledge of the hospitals closest to activity locations
● Coordinates with the hospital and drivers in cases of hospital visits

7. The Fees Schedule shows the cost per student for the provider,
accommodation, Jogja Batch Trip Programme, transportation, and meal
cost.

8. Supervisors are expected to practice the duty of care. Depending on the


program, this duty may extend well into the night, which is beyond
teachers’ contracted hours. We are very grateful to our teachers
because they are ​volunteering​ to work beyond their regular hours.

If the number of supervisors is insufficient, we will need to ask for parent


volunteers who will commit their full time during the trip. To ensure
fairness, a parent will not be assigned in the same group as his/her child.

9. Travel, transportation, hotel and meal costs for one supervisor are
shared equally among students, and any remaining costs are subsidized
by the school. The Fees Schedules show the shared cost per student.

10. Duty of Care means that ​supervisors must take reasonable care to
avoid foreseeable risks by:

● Making sure that the activities are safe and appropriate

● Ensuring students are properly instructed and prepared for


activities
● Ensuring the environment and facilities are safe to use
● Providing adequate supervision further duration of the event
● Confiscating any belongings that may lead to risk or distraction
● Reporting immediately of any threats, dangers or student breaches
● Taking action on behaviors that is not according to school policies

11. Duty of Care means that ​parents​ must take reasonable care to:

● Accurately and thoroughly complete all forms


● Alert supervisors beforehand of a child’s health concerns, if any
● Ensure that required medications and only necessary items are
packed
● Refrain from contacting your child outside of allowed times
● Educate your child about safe handling and safekeeping of phones
● Submit a completed official form for any variation to schedule
● Arrange for your child to be returned home due to repeated
offenses
12. Completion and submission of medical and compliance forms are due
15​th​ November 2019​.

13. For the off-school overnight trip, there is a minimum number of students,
based on:
● Location and type of activities
● Appropriate ratios of supervisor to students
● Availability of suitable supervisors from 4 to 7 December 2019

14. Supervisors, in addition to those shown below, will be assigned based

15. BINUS Simprug has a ​Class Head​, whose main duties are to:

● Receive and file all the necessary forms for each participating
student
● Administer to supervisors and the Principal each student’s data
● Set up contact lists of parents for each overnight stay
● Send official daily updates to parents throughout each overnight
stay
● Be on standby throughout the duration of the overnight stay for
alerts
● Channel necessary information between supervisors and parents

16. During 4 – 7 December 2019 times for communication regarding the Trip
during and outside regular school hours are as follows on Thursday and
Friday from 9-10 pm.

Trip Supervisors are designated to supervise all student activities at


rostered times and therefore are not available to respond to parent
communication.

18. The use of smartphones by students has both advantages and disadvantages.
The main advantage is that students are able to document their learning
experiences through photos, video and sound recording. The main
disadvantages are the risks of distraction during instructions, schedules, and
activities as well as the risk of loss.

Should you allow your child to carry a smartphone for documentation purposes, the school’s
duty of care does not extend to the safe handling and safekeeping of phones. It is part of a
supervisor’s duty of care to confiscate any item from a child should there be a risk of harm or
distraction.

Students must bear the duty of care with respect to phones and parents bear this same duty of
care should they give permission and trust for their children to carry phones for documentation
purposes.

19. Both programs present your child with learning challenges that aim to enhance
