INSTRUCTIONS AND INFORMATION FOR GRADUANDS

The School of Building & Development (SBD) extends its heartiest congratulations to
all graduands.

For graduands of the above mentioned diplomas, we cordially invite you to attend the
BCA Academy Graduation Ceremony 2019.

BEFORE GRADUATION DAY
REGISTRATION OF ATTENDANCE AT GRADUATION

1 All graduands will receive an invitation to the Graduation Ceremony via email.
Graduands are to complete the Graduation Survey and register their
attendance for the Graduation Ceremony by 23rd September 2019.

2 Upon receipt of the invitation email, each graduand is to ensure that his/her
name in the email is accurately spelt as per NRIC / Student Pass / Work Pass
as this will be the name that appears on the certificate. Please inform us by
replying to the invitation email if there is any discrepancy.

3 There are three parts to the registration of attendance:


a) Part 1: Read Graduation Ceremony 2019 Information Kit
b) Part 2: Participate in the Graduation Survey
c) Part 3: Register attendance for the Graduation Ceremony

4 Graduands are to complete all three parts above for successful registration to
the graduation ceremony.

5 If a graduand fails to respond by the deadline, it will be assumed that he/she


will not be attending the ceremony and no arrangement will be made for
his/her attendance at the Graduation Ceremony.

OUTSTANDING LOANS/FEES

6 Graduands must settle any outstanding loan of BCAA property (e.g. library
books or library fines) and fees with the Academy before they are allowed to
attend the Graduation Ceremony.

7 Only the names of those who settle their outstanding items/fees on or before
13th September 2019 will be published in the Graduation booklet.

CONFIRMATION OF PARTICIPATION

8 Students who have not received their final result slips at time of registration
should receive their confirmation of participation by end-September 2019.

9 It is the responsibility of the student to ensure that he/she fulfils the graduation
requirements before registering for the Graduation Ceremony. Please note
that successful registration DOES NOT serve as a confirmation for the
fulfilment of graduation requirements.

10 In the event that a student fails to fulfil graduation requirements, his/her
registration for the Graduation Ceremony, collection of gown and request for
guest admission tickets will automatically be void. There will be no refund for
payment of the services and/or tickets.

COLLECTION OF GOWN

11 The official gown vendor for this year’s graduation ceremony is Joyous Asia
Events.

12 The scheduled gown collection period is 18 October to 22 October 2019.


The detailed venue and dates are as follows:

Date: 18 and 19 October 2019 (Friday and Saturday)


Time: 10:00am to 6:00pm
Venue: Student Lounge, BCA Academy

Date: 20 to 22 October 2019 (Sunday to Tuesday)


Time: 10:30am to 6:30pm

13 Please collect your graduation gown on the date and time you have indicated
in your online registration.

14 Graduands who are unable to collect the gown on the scheduled dates, may
wish to contact the vendor directly.

15 A rental fee of S$15 will be charged by Joyous Asia Events. Graduands are
to make payment directly to the vendor upon collection of gown. Payment
must be made by cash or NETS.

16 An additional S$80 will be collected by the gown vendor as deposit for the
graduation gown and hood. This amount will be refunded upon prompt return
of graduation gown and hood (in good condition) to the vendor.

ADMISSION TICKETS

17 The gown vendor, Joyous Asia Events, will be issuing the admission tickets to
the graduands during the collection of graduation gown and hood.

18 Every graduand will be given one complimentary guest admission ticket.


Additional tickets will be charged at S$40.00 (incl. GST) per ticket, subject to
availability. Payment must be made by cash or NETS directly to the gown
vendor.

19 Additional guest admission tickets are subject to availability and balloting.

20 Guests without valid admission ticket will not be allowed entry to witness the
ceremony proceedings. Misplaced admission tickets WILL NOT be replaced
nor re-issued.

21 Children below the age of six years WILL NOT be admitted.

22 Graduands who require accessible seating for their guest are to inform us by
replying to the invitation email.

ON GRADUATION DAY

REGISTRATION

23 Things to bring along for the Graduation Ceremony:


a) Graduation gown and hood
b) Identification card or any other form of photographed identification

24 Upon arrival, graduands are to register at University Cultural Centre, National


University of Singapore, on 26th November 2019 (Tuesday) at 12:45pm.

25 Upon registration, every graduand will be given a Name Slip which will be
read out on stage during the proceedings. Graduands are to ensure that the
name is correct and retain it until going up stage. Please refer to the section
“ORDER OF PROCEEDINGS” for details.

26 Graduands should be registered by 1:30pm. Please be punctual as


LATECOMERS WILL NOT BE ALLOWED ON STAGE.

ATTIRE

27 All graduands are required to put on the graduation gown and hood when
attending the Graduation Ceremony. Graduands who are inappropriately
attired will not be allowed on stage.

28 The recommended dress code is as follows:

For Ladies For Gentlemen


Light coloured long sleeve collared Light coloured long sleeve collared

Traditional costumes are permitted.
*Please note that slippers and sandals are not permitted on stage.

The gown vendor will be on-site to assist graduands with their gowns and
hoods on that day.

ORDER OF PROCEEDINGS

29 Upon the cue from marshals, graduands are to quietly leave their seats row
by row to queue for stage presentation with their Name Slip in hand.

30 Pass the Name Slip to the Name Reader on stage. As soon as your name is
announced, please walk briskly across the stage to receive your scroll/folder
with both hands and thank the presenter. Face the photographers and
audience to have your photograph taken. Then proceed to walk to the other
side of the stage and exit from the backstage. There will be marshals at the
exit to guide you back to your seat in the Hall.

COLLECTION OF CERTIFICATES

31 To ensure that all certificates are correctly issued, the scroll received by
graduands on stage WILL NOT contain any document.

32 Graduands will collect their certificates after exiting from the stage, along the
way back to the Hall.

33 Graduands are to return to their seats after collecting the certificate and
remain seated for the rest of the ceremony.

PHOTOGRAPHY

34 Each graduand will have two photograph shots taken on stage


a) A full length view – portrait orientation
b) A close up frontal shot of the graduand receiving his/her scroll –
half body, landscape orientation

35 Graduands may place their orders for copies of the photographs with the
official photographer, Joyous Asia Events.

36 The official photographer will be setting up an on-site mobile studio on


Graduation Day at the University Cultural Centre to provide photography
services for graudands and families.

37 Due to the large number of graduands at the venue, prior arrangement with
the photographer for the family portraits is recommended.

38 Graduands are under no obligation to purchase from the vendor. All purchases
are voluntary.

ADMISSION INTO THE HALL

39 Admission to the Hall will be strictly controlled and permitted only with valid
guest admission tickets. One admission ticket admits one guest only.

40 Children below the age of six years WILL NOT be admitted.

41 All guests should arrive at the University Cultural Centre by 1.15pm.

42 Guests are to be seated within the designated sections for guests. Ushers will
be on site to guide the guests. Guests are not permitted to enter the seating
sections for graduands.

43 Guests must remain seated throughout the Graduation Ceremony, and refrain
from standing up to avoid obstructing other audience and the proceedings.

[GENERAL INFORMATION]

TRANSPORT

44 Graduands and guests are advised to take public transport on the event day
due to limited parking spaces at the University Cultural Centre.

45 For guests and graduands who are driving to the venue, the nearest carpark
will be Car Park 3.

46 Please refer to Annex B for the location map.

REFRESHMENTS

47 All graduands and guests are invited for a reception at the foyer AFTER the
Graduation Ceremony.

GRADUATION CEREMONY MERCHANDISES

48 There will be merchandise vendors setting up booths at the University Cultural


Centre, NUS on the graduation day. The merchandises on sale include:
a) Graduate Bear
b) Plaque and Certificate folder
c) Fresh flowers bouquets
d) Graduation balloons

49 Please refer to Annex A for samples of the merchandises.

50 The vendors will also be setting up booths at BCA Academy during the gown
collection period, 18th and 19th October 2019, to facilitate pre-ordering of
certain merchandises for collection on Graduation Day at the University
Cultural Centre, NUS.

52 Graduands are under no obligation to purchase from the vendors. All


purchases are voluntary.

AFTER GRADUATION CEREMONY
COLLECTION OF CERTIFICATES

53 Graduates who are unable to attend the Graduation Ceremony may collect
their certificates from 29th November 2019 at BCA Academy Library,
Academic Tower Level 7.

Opening Hours: Mondays to Fridays


9:30am to 12:30pm; 1:30pm to 4:30pm
(Closed on weekends and Public Holidays)

54 Certificates should be collected within one month from the graduation


ceremony.

55 In the event that you are unable to collect your certificate in person, you may
authorise a proxy to collect the certificate on your behalf. To do so, you will
need to submit an online authorisation form via the useful link for student
services e-forms in the student portal (lms.bcaa.edu.sg).

Your proxy’s NRIC/FIN number must be clearly stated in the authorisation


form and he/she must bring along his/her identity card when collecting the
certificate.

RETURN OF GRADUATION GOWN

56 Graduation gowns and hoods are to be returned to the gown vendor, Joyous
Asia Events, from 28th November to 2nd December 2019 at the following
venues:

57 In the event that the graduation gown could not be returned on time and/or in
good condition, the following penalty applies:
