LOGISTIC PLANNING

For work to be done at site, all materials required shall be recorded and tabulated
accordingly into their different area. We shall liase closely with the Consultant and seek
their advice on the different on site storage area, for example, our timber materials for
wall paneling and machineries and equipments for site use. This will reduce
inconvenience to site work progress and prevent obstruction.

Other materials like broadloom carpets, wallpaper, glass panels and ironmongeries shall
be ordered and keep with the respective suppliers/installers until they are required at
site or factory prior to installation. Our work schedule shall be followed closely under
the advice and guidance of the E.R / Consultant in conjunction with Work Program.

Customized and loose furniture will be logistically dealt with in a different manner.
We will need to set up a proper co-ordination team to ensure that the furniture are well
quality controlled during production, storage and prior delivery to site as per Employer’s
requirement. Logistic data of the different stages as mentioned above are carefully
recorded as follows:-

1. Storage and Warehousing of completed loose furniture

Due to production lead-time, the furniture will have to be manufactured and

completed in phases to meet the final completion date. This is further
complicated by having to coordinate final delivery in accordance with their hand
over of the building to the employer.

The contractor for the loose furniture will therefore require suitable warehousing
space for the completed furniture.

The facilities available at this warehouse include the following:

 Guardhouse with 24-hour security

 Adequate lorry/container yard
 Adequate loading/unloading area
 Modern, secure and well ventilated building
 Warehousing staff with experienced with the handling, storage, inventory
recording, loading, unloading, and dispatch of furniture.

This modern warehouse facility will act as storage and holding area to facilitate
the final delivery logistics for the loose furniture.

2. Packing, Tagging and Labeling

To avoid damage during transportation to site and during the handling over
process, and also to avoid double handling at the site, we maintain strict
Packing, Tagging and Labeling procedure.

a) Legs of chair and table will be protected with cling wrap to avoid scratch
marks.
b) Ends of legs will be wrapped in corrugated cardboard.
c) All corners will be protected using P.E foam or corrugated cardboard.
d) All finished surface will generally be protected using industrial wrapping
paper.

After proper packing, each individual piece of furniture will have a large external
label affixed to it for identification purposes.

The said label will have the complete information as follows:

 Furniture code. ( including Area, Level and Item number)

 Furniture name as per contract drawing.
 For furniture in multiple number, its sequence (e.g. 1 of 6)
 Colour coding that indicates the location as per furniture layout plan.

In addition to external label, each piece of furniture will also be tagged. The tag
will show exactly the same information as the external label, but will still be
attached to the furniture even after the outer packing has been removed during
final inspection as part of our checklist procedure.

3. Delivery to Site, Distribution and Placing into Position.

From our previous experience in executing loose furniture contracts involving

delivering and placing into position of large quantities of loose furniture (e.g. The
Administration Office at Parcel C, Putrajaya), the logistic of delivery, distribution

and placing into position of the loose furniture can be planned to allow for a
smooth, orderly, systematic and efficient hand-over to the Employer.

The basic starting point is the adequate warehouse facility, and the proper packing,
tagging and labeling procedure as described in paragraph 1 and 2.

A Master Inventory of all the completed loose furniture for the contract is maintained at
the warehouse.

Next, the final logistic can then organized as follows:

i. The Furniture Layout Plan is divided into various zones and colour coded
to facilities easy identification by all project staff laborers during the
delivery and placement process.
ii. The furniture is arranged in our warehouse grouped into the respective
zone.
iii. Zone Inventory List is drawn up for each zone in accordance to furniture
layout plan
iv. The Master Inventory is the sum total of all separate Zone Inventory List

At a date nearer to the hand over period, our Project Manager will liaise with the
Consultant to plan the sequencing of delivery of the various zone in accordance to the
schedule.

Our Site Manager will have the duplicate Zone Inventory List, and he will able to
coordinate deliveries with our warehouse and check off each item as they arrive at the
site. The receiving crews at site possess the furniture layout plan (colour coded into
zones) and will be able to place into position the sequentially delivered furniture with
the minimum amount of double handling, thus reducing chances of damage.

Upon full delivery and placing into position, we will liaise with the Consultant to secure
the respective zones to avoid pilferage and tempering with the delivered furniture. After
security at zones is confirmed, we will proceed with unwrapping of the furniture. At this
stage, the individual tags will still be left attached to the furniture.

Finally, we will undertake final joint site inspection of the placed-in position loose
furniture together with Consultant, Employer’s Representative and relevant project

team members. The individual tag can then removed and kept for reference and record
