Working with Learnlight

The website that you will be using is www.learnlight.com. This is the platform we use to manage
everything. On this platform you will have your own profile. On your profile you will be able to
access your courses, learners, tracking notes, progress reports, online content, etc.

When you start working at Learnlight you will be sent information on how to access the platform
and create a private password.

Learnlight strictly complies with European data privacy laws.

Monthly Administration
As part of the team it is important not only to give dynamic interesting sessions which challenge
your learners, but also to follow the administrative duties associated with those same sessions:

• Learnlight Online Attendance. You must record your learners’ attendance on the
platform. This can be filled in during the month, but it must be completed by the last
working day of the month. We strongly recommend to do it on a daily/weekly basis. The
online attendance must always match any signature sheets if these are used.

Please check the Learnlight guide to learn how to use attendance codes

• Learner´s signature sheets (if required). Always to be handed in during the first two
working days of the following month. If you are not able to hand them in by this date, we
will need a scanned copy or alternatively a picture taken with your mobile and emailed
to your coordinator. We must have the originals by the first working Friday of the
following month.
The original signature sheets are sent to the company, so they should be kept in a
presentable state (Not dog-eared or folded).

If you´re based in Spain, please check page 12 on this document to find out about what
FUNDAE sheets are.

• Tracking Notes. You must fill in the Tracking Notes when your sessions are not blended,
i.e. when using a textbook or any other material. You don´t need to do this with blended
sessions as you´ll be registering in advance the material you´re going to use.

Additional Administration
• Progress Reports. To be completed when it shows on your Learnlight homepage. For
step-by-step instructions, please check on the Learnlight guide or ask your coordinator.
• Progress Tests. On blended programs, the Learnlight methodology involves continuous
assesment. As you progress through a course, you will encounter Progress Tests. These
should be assigned as you encounter them throughout the course.
• Learner Reflection Exam. Alternative End- of- Course Test. You will be informed about
when to assign it if needed.
• Paper exams. For traditional courses (not blended). You´ll receive instructions from your
coordinator as whether these are applicable will depend on the sessions you have.

Failure to complete these administrative tasks may result in a delay in the processing of payment.

The Golden Rules
What do we expect from our trainers?

• Punctuality. All sessions should start and finish on-time. Punctual starts reward those
learners that have made the effort to be on time and demonstrate the importance of
being punctual to those that are late.
• Prepare for your sessions and follow the Learnlight methodology.
• Dress appropriately. The rule of thumb is to dress as the client does, so if your learners
dress formally, you should too. If they are more casual, you can dress more casually; but
flip-flops, shorts, ripped jeans and beach wear are inappropriate.
• Remember to always carry photo identification, such as a passport or driving license
together with your NIE as many companies have very strict security control.

Cancelation policy and other FAQs

Cancellation vs. Absent

A cancellation is when your session is cancelled with more than 24 hours' notice (not including
weekend). The session can be cancelled by your coordinator, learner, etc. You need to recoup
this session with your learner in order to get paid for it.

An absence is when you are informed of a cancellation with less than 24 hours’ notice or when
your learners don´t show up to a session. In this case you should NOT recoup the session and it
will be added to your payment.

What do I do if I am ill and need to cancel a session? (or any other emergency)

Contact Learnlight office ASAP. If it is outside working hours, contact your learners directly and
send an email to your coordinator with all the information (i.e. reason for cancelling, what have
you told your learners, how you have informed them, etc.). You might be required to hand in a
medical certificate.

What if none of my learners show up to the session?

Wait for 5-10 minutes and then go to reception and see if they can locate any of your learners. If
they can’t, phone the Coordination Team in Learnlight and let them know. Then go back to the
classroom and wait for your coordinator to call you back to let you know what has happened. If
they don’t have any information, you can go home after half the duration of the session time has
passed. This session counts as an “Absent” for attendance purposes and you don’t have to recoup
it.

What if I need to take days off when I have sessions scheduled?

Please contact your coordinator before making bookings, reservations or plans, to discuss any
time off you may need. They will inform you if a substitute is required or if you can arrange
recoups with your learners directly.

In order to provide the best service to our learners and to minimize the effect on your payment,
it will be better to plan your holidays when you don´t have sessions scheduled.

What should I do if a learner/group asks to make a permanent schedule change?

Inform your coordinator so they can check with the client. If it is allowed by the client, your
coordinator will then change the schedule on your Learnlight calendar and confirm it with you.

What do we offer to our trainers?

• Personalized support from the Trainer Management Team. You have an assigned Team
Leader for any pedagogical questions, recommendations, etc.
• Up-to-date materials for all of your sessions on SharePoint.
• On-going training. We organize monthly workshops and will keep you at the cutting-edge
of EFL methodology.

Disciplinary issues

Non-compliance or failure to perform satisfactorily in the following areas could have an effect on
both your economic conditions and your collaboration with Learnlight.

• Misconduct: Lateness, failure to turn up for sessions, inappropriate behavior,


purposefully completing Attendance Sheets or other course documentation with wrong
data...

• Quality: Poor evaluations, negative feedback, complaints from learners…

• Administration: Failure to hand-in paperwork when specified (signature sheets, tracking


control sheets, online attendance, non-authorized changes in schedules.)

Learnlight F2F Methodology

Whether you are following a traditional text book or Blended courses, our methodology remains
the same and should be promoted in every session. At Learnlight we not only sell our products
but also our Methodology.

Communicative! Dynamic! Participative!


The template below is an
example for a 1 hour session. For a 1.5 hour session add another objective etc.

Our leading-edge methodology encourages participants to actively engage in a highly motivating,


energetic environment which centres on learning and then more importantly ‘doing’.

The learning goals are regularly referred to in order to keep participants on track, and customised
feedback and error correction enable participants to focus on their newly acquired techniques
and skills and to put them into practice.

Our courses contain a wide variety of activities which cover both professional skills, key phrases
and vocabulary followed by role-plays and business simulations. All trainers are certified to
ensure maximum quality for our clients.

Practical ‘flipped classroom’ methodological tips

Start by asking yourself: What do I want my learners to be able to DO by the end of a session?

Think about skills, not language learned: Can they order a coffee in Starbucks? Can they express
themselves logically (presentation language works in a number of contexts!)?

How am I going to have them show that they have achieved this?

What activities will help teach not just the language (grammar/ vocabulary/ pronunciation etc.)
but also the skills necessary to accomplish this language goal?

Think about teaching grammar inductively (learners work out the rule from examples) rather than
deductively (you give the rule first).

How you can have learners work together towards a common goal?

Clear convergent tasks that have to be performed are more effective in making language stick,
because they make communication necessary.

Remember that your role is more often that of a facilitator: you guide your learners towards the
language that they will need in real life.

Anex 1 - If You´re in Spain

What is the FUNDAE?


FUNDAE is a non-profit organisation that encourages companies to provide their employees with
skills and knowledge that will benefit the economy. The organisation provides subsidies to the
company for training which provides employees with such skills and knowledge.

FUNDAE documentation is government paperwork that allows companies to receive a subsidy for
their language sessions with Learnlight. To receive this subsidy, specific documentation must be
presented to FUNDAE.

Cancellations - FUNDAE:

▪ With Fundación FUNDAE courses, sessions must take place on the date and time
reflected on the signature sheets.
▪ Schedules cannot be cancelled or modified.
▪ But if the learners decide to cancel a session, you must recoup it. However, learners
must sign the signature sheet with the original date.
▪ If you, the trainer, have to cancel a session, you must inform Learnlight immediately to
allow us to find a substitute trainer on time.

Signature sheets - FUNDAE:

▪ Please follow the dates on the signature sheets and don´t change them. If you find any
discrepancies, please inform your coordinator.
▪ When the dates are not included on the sheets, please fill them in based on the
programmed session you have.
▪ Please sign the sheet where it says “formador”, if applicable.

Important:

▪ Please ensure that all learners attending the session sign the sheet on the correct date.
▪ Please keep the attendance sheets in good condition until the end of the month, or
until the end of the course.
▪ The attendance sheets should be returned to your coordinator unless you have been
given instructions to leave them in the company.
- Other documents which you can expect to have to administer include: Materials
receipt, Diploma receipt and Final questionnaires.

It is imperative this documentation is completed accurately and kept in good order throughout
the course. Your course may be inspected at any time, and all documentation needs to be correct.
This is an important part of your job. FUNDAE courses represent more than 80% of our courses.

Your coordinator will give you clear instructions. It is imperative that you follow these
instructions. Failure to meet these requirements will result in Learnlight not being paid for
providing the course or being penalised economically for not complying with legislative practices.

Sick Leave
It’s essential that you are aware of what you need to do in case of illness:

1. Go to the doctor and get the “baja por enfermedad” (medical leave/doctor´s note). This
document can be divided into two parts, “ejemplar para el trabajador” (worker´s copy)
and “ejemplar para la empresa” (company copy). The latter needs to be given to
Learnlight. If you work for more than one company, you need to ask your doctor to give
you more than one copy so you can give one to each employer.
2. You must take a photo of the “ejemplar para la empresa” (company copy) with your
smartphone and send it to your coordinator by e-mail within 3 working days (inclusive)
of the date of issue.
3. Or you, or someone acting on your behalf, will have to bring the original document to
your coordinator in the office.
4. You must follow the doctor’s instructions and go back to collect the “partes de
confirmación” (further medical notes), and then follow the same process previously
mentioned (send it by email to your coordinator and bring the original to the
office). Going back to the doctor doesn’t necessarily mean that you are “alta” (all-clear)
and can go back to work.
5. Once you are fit to work, you need to go back to the doctor and ask for the “alta.” You
must follow the same procedure as with the “baja”, the difference being that we need
the original document within 24 hours of you obtaining it. You cannot go back to work
without being “alta”.
6. If you have been “baja” but haven’t had any session with Learnlight on those days, you
must still give us the documentation.
7. Failure to follow this procedure correctly could result in your suspension.
8. According to Spanish Law, you´ll be paid a proportion of your salary from the 4th day of
your medical “baja”.

Anex 2 - If you collaborate with Learnlight UK

Status and Taxes


As you are delivering a course/courses with Learnlight on a freelance basis, Learnlight will not
deduct taxes nor social charges from your monthly payment. You are responsible for your own
tax affairs in your country of residence.

Payment
You will receive your payment via BACs (electronic bank transfers) between the 12th and the 18th
(or the next working day) of the following month.

Learnlight will ask you to provide your bank details for payment purposes and will continue to use
these details unless you provide new ones. Please contact documents@learnlight.com to request
a new “bank details form” to complete and sign if you wish to provide new bank details. This form
must be signed by you.
