Description & Rules for Hardware Hackathon

Round-1: Idea development 11th & 13th September, 2019

In this stage an expert panel will review your Idea and will suggest improvisations,
modifications and technology additions.

Instructions:

1. Every team should contain minimum 2 & maximum 4 members (can be B.Tech/ M.tech
student of any year)
2. You need to present your Idea in 3-5 slides before the panel
3. Team need to finalize the technology’s on which they are working on.
4. It does not involve any participation/registration fees.
5. Registration is mandatory for attending Pitch 1
6. Team should be present before 15 minute of their time slot
7. No elimination in this stage, all the teams allowed for Intra mural Project competition on
16th & 17th of September, 2019
8. Faculty mentor presence will be appreciated
9. If team could not identify mentor, faculty will be assigned based on relevance

Round-2: Intra mural boot camp cum project competition on 16th , 17th September,
2019

It’s an intra mural boot camp cum competition, in which the progress of the idea will
be monitored and supported with mentoring/training from mentors

Instructions:

1. The intramural boot-camp cum competition is open only for students, who attended pitch 1
on first serve basis
2. It does not involve any participation/registration fees.
3. The boot-camp teaches theme wise technology such as Internet of things, Python, Machine
learning, Robotics and Automation, Internet of Things, Mobile Technologies and
Augmented/Virtual Reality, CAD software, Battery technology, Embedded tools, solid works
etc which is closest to technology used in your idea
4. Students are required to bring their own laptop, at least one per team but preferably
individually.
5. Basic knowledge of technology using is recommended but not required.
6. In case needy students have to miss the session due to space limitations, the Faculty
Coordinators shall resolve the issue amicably for the greater good, allowing only 1–2
members per team in order to accommodate most of the registered teams.
7. Expert panel will evaluate the progress of the implementation of the idea and will announce
best teams
8. No elimination involved here, all the teams need to participate in Hardware hackathon of
Convergence 2K19 on 26th , 27th September
9. Components and parts required for the development of idea are in the scope of student
team
10. Advice from external resource during 2nd day of the event is discouraged

The Hardware hackathon on “Mezzanine Technologies” encompasses the Industry 4.0


skills (“Mezzanine Technologies”) and expects students to identify problems of their
choice and provide solutions within the themes specified, even in the of their interest.

Instructions:

1. The Evaluation Criteria shared with the Jury members will be shared with all participants at
the earliest, so that all Teams shall have an idea of how they would be evaluated. Evaluation
is done through continuous assessment by local coordinators as well as the jury members
and at the end of the Hardware hackathon also.
2. Participants are encouraged to create their own presentations before the Hackathon
commences, in order to pitch their ideas and seek suggestions from the Jury members,
before they work on the solution.
3. The 36-hour Hardware hackathon provides intermittent breaks for rest and rejuvenation.
The Teams may use the breaks scrupulously to ensure that they do not face time shortage
due to excessive breaks.
4. Efforts will be made to provide enough food, tea, coffee, and snacks at the venue. However,
participants may make their own arrangements for the same as may be feasible. All related
expenses are to be borne by students themselves.
5. Participants must make on their own any and all necessary arrangements to stay on campus
at the Host Institute (VNRVJIET) and work (with breaks) for 36 hours, including extra pairs
of clothes, bedding/blanket, etc.
6. Participants must bring their laptops. Wi-Fi may be provided, and participants may also use
their own data connectivity.
7. Participants must bring the necessary hardware and software to implement their idea. No
hardware components or software may be readily provided for use during the Hackathon.
Attempts will be made to procure them for the candidates at specific extra cost that is to be
borne by the participants themselves.
8. Participants may take up a problem that they have already been working on and continue it
as a part of the Hardware hackathon. However, such prior work must be clearly stated
and not be hidden from the knowledge of the Jury members.
9. Participants are expected to work fairly without any malpractices. Any malpractice, minor or
major, may lead to immediate termination from further participation. Participants may ask
the Coordinators or Volunteers in case of doubt about a certain practice being acceptable.
10. Participants are required to carry the Identity Document (ID) of their respective institutions
for participation in the Hardware hackathon. Carrying a government-issued ID card may
be necessary in case of ambiguous or questionable proof of identity through the Identity
Document issued by their institution.
11. Participant database will be used to share information about similar events in the future,
organised through any reliable organisation. If participants do not wish to receive such
information, they may explicitly mention the same and opt out of such information
dissemination either by e-mail, phone, or social networks such as WhatsApp.
12. Registration data including personal information and any information pertaining to the
students, the problems addressed in hackathons, or the solutions proposed thereof will not
be shared in any other way with any individual or organisation , except by explicit informed
consent of the students.
13. It is the responsibility of the participants to ensure that they informed all the concerned
individuals and organisations about their whereabouts. The Host Institute (VNRVJIET)
disclaims any responsibility if the participants have not sought the necessary permissions
from their institution and their parent(s)/guardian(s). Students are strongly encouraged to
get this document signed at the bottom of this page by their concerned family member (such
as a parent or guardian) and/or institution contact (such as Mentor, Class Coordinator,
Head of the Department, or Head of the Institution).
