Minutes of the General Body Meeting of Swastik Grand Flat Owners’ Welfare Committee,

held on 22.06.2019 at Swastik Grand Premises.

A meeting of the residents of Swastik Grand, Purwa Road, Jabalpur was convened by some members of the
Swastik Grand, Dr. Rajesh Jain, Shri Rajesh Rao, Shri Dipak Hazra, Shri Swapan Biswas and Shri Vijay Kr.
Agnihotri. Main agenda of the meeting was to-

1. Elect a Governing Body or Management Committee to monitor day to day maintenance of the complex
by the builder,
2. Negotiate with the builder for handing over the property to the committee following due process of law
and with all legal papers and
3. Register the association as per apartment law of M.P

The meeting was held on the evening of 22.06.2019 in Swastik Grand premises. Of the total 147 apartment
owners,62 owners or their representatives attended the meeting and the number was sufficient for the quorum.

At the outset, Dr. Rajesh Jain welcome all the flat owners and apprised them of the purpose of the meeting and
the important issues that need immediate attention of the members. However, he stressed the need for
formation of a managing committee of the owners of Swastik Grand at first.

Taking a cue from Dr Rajesh Jain, Shri Dipak Hazra proposed that association may be christened as "Swastik
Grand Flat Owners Welfare Committee" and proposed name of Shri Vijay Kr. Agnihotri as secretary of the
committee. Shri Swapan Biswas seconded the proposal and thereafter by voice vote Shri Vijay Kr. Agnihotri
has been elected as secretary of the welfare committee. Shri Dipak Hazra proposed name of Dr Rajesh Jain as
president of the committee which was seconded by Shri Chandan Karforma and thereafter by voice vote all
members elected Dr Rajesh Jain as the president of the welfare committee. For the post of treasurer, Shri
Sudipto Mukherjee proposed name of Shri Dipak Hazra and Shri Anand Tiwari seconded the proposal and
thereafter Shri Dipak Hazra elected as treasurer of the committee by voice vote. Thereafter, by consensus of
the members, the following nine owners have been coopted as members of the governing committee.

It has been decided that this committee will take necessary actions for registration of the committee; opening
of a bank account for the committee, if needed; taking over charge of the property from the builder with all legal
documents and proper maintenance of the property by the builder till handing over. It has also been decided
that the term of this committee will end on 31st March 2020 and this committee will call an AGM of the members
in April 2020 for election of a new committee and for taking decisions on other import matters of the Swastik
Grand.

During deliberation, a consensus among the members has been reached for depositing contribution of each
and every member of Swastik Grand to a corpus fund created by the builder. The fund has been created for all
future maintenance of the building. In addition, members have come to an agreement for making payment of
monthly maintenance charge to the builder or the agency appointed by the builder for day-to-day maintenance
of the society, however some members opined that monthly maintenance charge / flat may be negotiated with
the builder.

The meeting ended with vote of thanks proposed by the Dr Rajesh Jain, President of the committee.
