ORGANIZER’S RULES & REGULATIONS
OFFICIAL CONTRACTORS
The Organizers have appointed official and approved contractors for various services so as to
ensure a more efficient and regulated set up and tear down.
> Exhibitors booking raw space are to provide their own carpet and backing. They
may also order the carpet from the Official Booth Contractor, CENTREX at their
own expense.
> The services of official and approved contractors are for the convenience of
Exhibitors. The Organizers shall accept no liability with respect to any contract
between the Exhibitor and such contractors for the negligence, default or non-
delivery of any such persons, their servants and agents.

NON-OFFICIAL CONTRACTORS
The Organizers also permit transactions between Exhibitors and other contractors. However,
in such cases, problems beyond our control may arise, inconveniencing both exhibitors and
Organizers. It is therefore necessary to regulate other/non-official contractors as follows:
> All non-official contractors require approval from the Organizers before any
construction activity.
> Should an Exhibitor choose to appoint their own contractor, a letter indicating such
appointment must be forwarded to the Organizers as soon as possible and no
later than 30 days prior to the official event date. Approval or rejection shall be
forwarded to both the Exhibitor and their contractor within ten (10) working days
from receipt of the name. This is to allow time for the Organizer to clear with the
Venue the records and standing of said non-official contractors.

RULES & REGULATIONS FOR NON-OFFICIAL CONTRACTORS


> Such contractors must never have been suspended from previous exhibitions.
> Exhibitors will be held responsible for any damage caused by their appointed/non-
official contractors. It is the Exhibitors’ duty to supervise construction workers to
ensure their compliance with the rules set by the Organizers.
> On-site non-official contractors are required to report to the official contractors
before starting any activity.

INSTALLATION OF EXHIBITS
> All exhibits must be free standing. The venue’s floor surface must be protected
where necessary.
> EXHIBITORS ARE NOT ALLOWED TO AIR-BRUSH, SPRAY PAINT NOR WELD
METALS WITHIN THE EXHIBITION HALL. CARPENTRY WORK IS NOT ALLOWED
I.E. SAWING WOOD AND OTHER ACTION THAT MAY CAUSE DUST OR
DISTURBANCE TO NEARBY EXHIBITORS AND VISITORS.
> All unwanted packing materials and empty cases must be removed from the
exhibition hall prior to the official opening of the exhibit. It must be understood that
the exhibitor shall hold the Organizers indemnified against any claims for damage
to structure, fixtures, fittings of the exhibition areas caused by the exhibitor or his
employees.

COMPANY IDENTIFICATION
All Exhibitors availing of the booth scheme / standard shell package shall be provided with a
uniform fascia board for their company ID in uniform letters. Company logos, therefore,
are not allowed on the fascia board. All signages, other than the company ID
provided, are to be installed elsewhere inside the Exhibitors’ respective booths.

INFRINGEMENT OF COMMON AREA


All equipment, promotional materials, furniture or exhibits, etc., are to be placed within the
perimeter of the Exhibitors’ designated booth / space. Exhibitors shall not at any
time obstruct any passage space or open area of the exhibition hall WITH
their exhibits .
Exhibitors shall not arrange any of their stands or place signboards in such a manner that
will obstruct the flow of light or air-conditioning, inconvenience or disadvantageously affect
the display of any other exhibitor.

BOOTH BOUNDARIES AND DESIGN RESTRICTION


Exhibitors may not place any display materials and exhibit, nor extend their stand structures
and fittings, beyond their contracted boundary.

HEIGHT LIMITATIONS
All booths have a standard height of eight (8) feet (2.4m). Exhibitors whose designs exceed
this height are required to submit their booth design to the Organizers for approval.

CORNER BOOTHS
Exhibitors taking corner booths are required to keep open those sides facing aisles.

ALTERATIONS TO THE EXHIBITION


Exhibitors may not add to, or remove, any part of their exhibits during the official hours of the
exhibition without prior approval of the Organizers. Exhibitors are not allowed to dismantle
any part of their exhibits before the official closing time on the final day of the exhibition.
The Organizer reserves the right to make decisions on the assignment of booth(s) or in
exceptional cases, to alter the allocation of any booth for reasons of aesthetic, practical, or
technical considerations.

DAMAGE TO STRUCTURES AND EXHIBITION PREMISES


No person under any circumstances shall cut into or through any floor covering or wall nor
alter any structure except when authorized in writing by the Organizers. Any such damage
to structures will be invoiced to the Exhibitor.

LIGHTING / ELECTRICALS
For safety reasons, WORLD EXPOS & CONCEPTS, INC. requires exhibitors to use the services of
the official booth contractor for electrical installation. Exhibitors are prohibited from installing their
own lighting and from diverting electricity designated for other machinery to lighting purposes.
There are 220V convenience outlets at the exhibit hall for this purpose. Additional electrical power
connections and services other than those specified in the Contract shall be for the Exhibitor’s
account and shall be billed accordingly.

SAFETY MEASURES

In adherence to safety requirements, ONLY THE OFFICIAL BOOTH CONTRACTOR’S


ELECTRICIAN(S) MAY CARRY OUT ELECTRICAL INSTALLATION. ABSOLUTELY NO
TAPPING OF ELECTRICITY MAY BE DONE WITHOUT PRIOR ARRANGEMENTS WITH
THE OFFICIAL BOOTH CONTRACTOR. Exhibitors are also REQUIRED to submit their
electrical requirements to serve as the Booth Contractor’s basis for electrical instructions.
Exhibitors are responsible and liable for their appointed contractors in that the latter observe
all rules and regulations of the Organizer, Venue and Official Contractor.

Dangerous Materials

> No naked light or open flame, sparks, or temporary gas may be used in the building
of exhibits and at any time. This includes continuous welding work and the use of
neon lights.

> No device or equipment that emits fire, smoke, loud sounds and lighting effects shall
be used inside the exhibit hall without prior approval.

> Balloons/decor containing helium or any combustible gas are prohibited in the exhibit
area.

SECURITY
> General security shall be provided by the Organizers from the first hour of set-up to the
last hour of dismantling. Exhibitors and their staff will not be allowed in
the exhibition hall after official hours.
> All exhibitors and their employees must wear their exhibitor’s
Badges at all times When they are in the exhibit hall. These badges will
be distributed by the organizers during set up. These badges are for Exhibitors’
use only. All contractors’ workers must wear an identification sticker while on-
site. These stickers must be obtained from the Organizers’ on-site office in the day of
set up. Please instruct your contractors to check-in at the Organizers’ office before
their workers start construction of your stand. Note that these stickers are valid only
during INGRESS/EGRESS. Your contractors may obtain new badges for tear down.
> For security and safety reasons, exhibit movement in or out of the hall during the show
hours will not be permitted.
> On days of the Exhibition, lock up all valuables including souvenirs at the end of the day
before you leave your area. Display these valuables only while your booth is manned.
> On the last day of the exhibition, when the show closes, remove all valuables for
immediate packing. DO NOT leave your area unattended. DO NOT leave exhibits,
souvenir items, consumables, etc., not even in locked cupboards as all hired furniture
will be retrieved by suppliers once the show is closed.

Please note that it is the responsibility of the exhibitors to safeguard their exhibits AND
any other items brought into the exhibition hall by themselves, their agents or Contractors.

The Organizers shall not be held responsible for any claims, demands and expenses resulting
from damage, loss or theft of exhibits at the exhibition area DURING build-up, actual exhibition
and tear down.

INSURANCE
> Exhibitor(s) shall insure at their own expense exhibit materials against damage by fire,
accidents, theft, loss or liability of any kind. In no case shall the Organizers be held liable
for any loss incurred or injury suffered by any individual how so ever caused while the
said individual is, upon passing by or examining the exhibition booth(s) during the tenancy
of the exhibition. The exhibitors shall have full responsibility of the liability or risks of the
employees, members of the public, agents or exhibits.

> The Organizers shall not in any event be held responsible for any restriction or condition
which the construction, erection, completion, alteration or dismantling of booth(s); or for
the entry or removal of exhibits; or for the failure of any services or amenities provided
by the exhibit hall landlord; for the cancellation or part time opening of the exhibition
either as a whole or in part; or for amendments or alterations to all or any of the rules
and regulations caused by circumstances not under their control.

CANCELLATION POLICY
> Should the Organizers cancel the project due to unavoidable circumstances, the
Organizers shall refund the full amount already paid by the exhibitor.

> Should the exhibition be cancelled as a result of force majeure, the Organizers shall
refund 50% of the Exhibitor’s participation fee.

> Should the Exhibition be postponed indefinitely, the Organizers shall apply payments
already made by the Exhibitor to the new date.

> Should the Exhibitor decide to cancel his reservation as a result of the postponement,
he shall be refunded 50% of the participation fee.

> Should the Exhibitor decide to cancel anytime up to three months prior to the official
opening of the Exhibition, the Organizers shall be entitled to forfeit fifty percent (50%)
of the money paid to cover administrative costs.

> However, any Exhibitor cancelling one month prior to the show shall be liable for the
forfeiture of the full amount under the original commitment.

SMX HALL 4 SET UP PROCEDURES
BUILD / SET UP PROCEDURE

A. Arrival / Entry of Exhibitors


> Basement Parking opens from 7:00 am to 10:00 pm. Entrance is at the South wing or Church
side.
> The Delivery Bay Area is located at the back of the SMX building and shall be open within the
official set up and tear down schedule.
> During the event proper, early entrance of organizers and exhibitors will be allowed thru the
back door of the halls. This is also the access for replenishment of items for the event duration.
> The regular operating hours of the building will follow the official event hours.
> No early entry shall be allowed thru the main lobby entrance. The main lobby serves as entrance
to visitors during official event hours.

B. Delivery of Materials
> Delivery is strictly thru the Delivery Bay Area at the back of the SMX building (facing Manila Bay).
No delivery shall be allowed using the main entrance at the pre-function lobby.
> Each hall has its dedicated delivery entrance. It is advisable to determine location of the
exhibitor’s booth and position delivery trucks at the loading bay per hall.
> The Basement Parking may be used for vehicles/trucks who need to park BEFORE or AFTER
delivery of exhibit goods, subject to carpark fee. Carpark vertical clearance is 2.4 meters. Open
parking areas near the SMX Convention Center are also available.

VENUE GUIDELINES
> Wear your event ID at all times. Strictly NO ID, NO ENTRY shall be enforced to the organizers,
official contractor, exhibitors and sub-contractors from set up to tear down.
> For safety reasons, organizers, exhibitors and contractors should wear closed shoes during
set up. Personnel wearing open-toed footwear will not be allowed entry.
> Personnel wearing shorts and sando during set up and tear down will not be allowed entry to
the building.
> Please deliver the exhibit items straight to the hall inside your booths. Leaving items in the
loading bay is prohibited. SMX and the organizers will not be held liable for any loss or damage
to your items.
> Items should not be dragged to avoid damage on the floor. If you are using delivery carts, make
sure that they have rubber rollers.
> Pushcarts and other heavy objects are not allowed in the passenger elevators and escalators.
> No carpentry other than assembly of pre-fabricated booths should be done inside the hall.
> There should be no attachments to the sprinklers, water pipes and electrical conduits inside
the hall.
> Major painting and varnishing inside the hall is not allowed. Re-touching may be allowed using
water-based paint.
> Use of strong adhesives like packaging tape, glue gun, etc. is not allowed on any surfaces of
the hall.
Coordinate with the organizer if you have any equipment which will require 24-hrs. power supply
so that the official contractor will be advised accordingly. Only the official contractor will be
allowed to tap directly to SMX main power source.
> Bringing of food and drinks purchased outside the building is not allowed. Meals should be
taken outside or in designated dining areas provided by the organizer.

> Form 5 - Property Pass In / Out may be acquired from World Expos & Concepts, Inc.
> Exhibit items/materials should be covered by a Property Pass signed by the authorized
representative of World Expos & Concepts, Inc. to be presented to the Security Guards prior
to entry. A delivery receipt may also be attached to the Property Pass.
> Your Property Pass should be accomplished in two copies: Copy 1 – Organizers/ Security
Guard to be submitted before set up. Copy 2 - Exhibitor’s copy to be submitted to
Security Guard before exiting the hall during tear down.

Each Exhibitor is alloted four (4) FREE badges per booth. Additional Badges may be ordered at
P50.00 per extra badge.
Only official IDs/Badges will be allowed inside the Exhibit Hall. Transfer of badges to other parties to
