The Smart PIMS is a web-based procurement and inventory management which aims to automate, simplify and
manage all the processes involved in procurement and inventory management. The system is multi-user and multi-
company. The system enables and automates the following processes:

 Purchase Budget setting

 Allows one to budget purchases on monthly or annual basis
 Budget account is updated every time a purchase is approve
 Can query funds availability before approval
 Supplier approval
 New suppliers can be introduced and can be approved before ordering
 Capturing of purchase requests
 Requests for item purchases can be triggered when requested items are out-of-stock or are
below re-order level.

 Email generation and approvals
 Emails are generated when one request for an item or items and will be send for initial approval
 Throughout the approval process, emails can be send to alert the relevant authorizer.

 Supplier Quotation Entry

 Limited number of quotations can be entered into the system for use during purchase request
approvals.

 Purchaser Order generation
 A purchase order is automatically generated after the final approval
 Stock Item Issue requests
 Stock items can be issued from stores after a request has been made and approved by the
relevant person
 Stock issues will update stock item quantities appropriately
 A number of reports can be printed
 Stock item receipts
 Stock items can be receipted into stock from supplier invoices or delivery notes
 The system generates a Goods received voucher for the received items
 Relevant General ledger accounts are affected at this stage
 Stock quantities are automatically updated

 Non-stock item receipts
 Non-stock items can be received and appropriate General ledger transactions are generated

  Fixed assets can be identified and relevant information is captured at receipt
 Supplier payments selection
 After a GRV is generated , supplier invoice information is captured
 The system allows for selection of supplier invoices to be paid
 Various reports are available showing outstanding invoices, paid-up invoices, supplier age
analysis, etc.
