EVENT MANAGEMENT SYSTEM
OBJECTIVE OF PROJECT ON EVENT MANAGEMENT SYSTEM

The main objective of the Project on Event Management System is to manage


the details of Event, Booking, Customer, Employee, Enquiry. It manages all the
information about Event, Package, Enquiry, Event. The project is totally built at
administrative end and thus only the administrator is guaranteed the access. The
purpose of the project is to build an application program to reduce the manual work
for managing the Event, Booking, Package, Customer. It tracks all the details about
the Customer, Employee, Enquiry.

Functionalities provided by Event Management System are as follows:

 Provides the searching facilities based on various factors. Such as Event,


Customer, Employee, Enquiry

 Event Management System also manage the Package details online for
Employee details, Enquiry details, Event.

 It tracks all the information of Booking, Package, Employee etc

 Manage the information of Booking

 Shows the information and description of the Event, Customer

 To increase efficiency of managing the Event, Booking

 It deals with monitoring the information and transactions of Employee.

 Manage the information of Event

 Editing, adding and updating of Records is improved which results in


proper
Resource management of Event data.

 Manage the information of Employee

 Integration of all records of Enquiry.


PROJECT DISCRIPTION

 Event Management Versus Event Planning:

While very closely related, event management and event planning are two very
different functions. The key difference lies in these two words: management and
planning. In straightforward terms, event managers manage the event and event
planners plan the event.

That being said, event managers may also plan aspects of events and event planners
may manage certain components of the event planning process. Event managers and
event planners work side by side, and their responsibilities may overlap.

To make matters even more confusing, individual event planners often provide
event management services, and event managers may also offer event planning
services. If all of this has you scratching your head, then let’s start by taking a close
look at event management.

 Event Management Involves Project Management

Event management involves creating and developing large-scale events which


might include conferences, conventions, concerts, trade shows, festivals, and
ceremonies. Event management involves identifying the target audience,
formulating the event concept, planning the overall logistics of the event and
conducting project management of the event as a whole. This might include
managing the teams of people responsible for each function, the budget, and
overseeing the execution of the event. Event managers also supervise the services of
all outside vendors and professionals, which includes event planners.

Specific responsibilities of an event manager might include:

 Selecting and reserving venues


 Coordinating outside vendors
 Engaging speakers or entertainment
 Arranging for transportation and parking
 Obtaining necessary permits and appropriate insurance
 Compliance with health and safety standards
 Developing emergency contingency plans
 Crisis and situation management at the event
 Designing a security plan
 Monitoring of the event

This list is by no means complete. Depending on the scope of the event and the
other hired professionals, the job responsibilities may vary.
 The Role of Event Management Services

Event management firms are frequently hired to plan and execute large-scale
company meetings and special events. While weddings and concerts are common
events for an event management professional, sporting events, reunions, and large
parties are also occasions that can benefit from event management.

Government entities, nonprofits, associations and corporations all utilize event


management companies to coordinate important events and meetings. The event
management function can often be found within a corporate marketing or public
relations department or as part of their special events staffing.

 Skills to Succeed

As with most event planning functions, event management requires


excellent organizational skills to succeed. The ability to multitask and juggle many
moving parts is essential and, along with that top-notch organization comes the need
for efficient time management skills.

Being able to prioritize and stay on task is what leads to a successful event. Event
management begins with the process of creating a vision for the event and then
seeing it through to execution, which calls for both creativity and flexibility.

Because project management is a key element and involves managing not only
functions but teams of people, interpersonal skills are also important. Interaction
with individuals at all levels of an organization is part of the job and having stellar
communication skills and being comfortable and personable will go a long way in
developing those relationships.
STUCTURE OF EVENT MANAGEMENT SYSTEM

 PLATEFORM

Processor: AMD Phenom (™) II X4 925 Processor 2.81 GHz.

AMD Processor provide better processing capabilities and better cooling


technology to our CPU. With an AMD processor, we can run our pc for long
time without need to switch off. Besides that, AMD processor can help us to
boost up the CPU processing power. By using this, we can keep developing the
Library Management System without need to worry that the pc cannot support.

Ram: 2 GB.

In order to support Visual Studio and SQL Server 2008, we use 2 GB Ram to
avoid any problem occurred during development phase. Besides that, SQL
Server can process faster when running SQL statement with 2Gb ram. It can
save a lot of time if total up the process time.

Operating system: Window 10 Professional.

Window 10 is selected as my developing operating system because it is more


stable then Window 8. The advantage of Window 10 over Window 8 is able to
run a lot of applications and hardware that is not compatible with Window 8. We
choose Window 10 professional to avoid this kind compatibility problem.
 FRONT END

and VB.NET

We would like to use Microsoft Visual Studio 2008 as our developing software.
Visual Studio 2008 is powerful and flexible developing software, it allows us to
build a good design application with an easy-use drag and drop controls on our
form. We can see the user-friendliness of our application once we finished drop
the control on form.

Visual Basic .NET (VB.NET) is an object-oriented computer programming


language implemented on the .NET Framework. Although it is an evolution of
classic Visual Basic language, it is not backwards-compatible with VB6, and
any code written in the old version does not compile under VB.NET.

VB.NET is implemented by Microsoft's .NET framework. Therefore, it has full


access to all the libraries in the .Net Framework. It's also possible to run
VB.NET programs on Mono, the open-source alternative to .NET, not only
under Windows, but even Linux or Mac OSX.
 BACK END

Microsoft SQL Server 2008 Microsoft SQL Server 2008 is the latest version of
SQL Server. Although there is one SQL Server 2008 V2 on the market, but I
found it was under Beta after survey on it. So I decide to use Microsoft SQL
Server 2008 as the database software for my system. In addition, SQL Server
2008 enables us to copy or move the database to another computer easily. This is
very useful when we developing the Library Management System.

MySQL is a database management system.

MySQL is based on SQL.

MySQL software is Open Source

The MySQL Database Server is very fast, reliable, and easy to use.

 Features of MySQL:

 Written in C and C++.


 Works on many different platforms.
 Uses multi-layered server design with independent modules.
 Provides transactional and non transactional storage engines.
 Uses a very fast thread-based memory allocation system.
 Executes very fast joins using an optimized nested-loop join
ADVANTAGES

 The Event Management System has a a high potential for growth in the
coming years.

 There is a wide scope of learning in the field of Event Management.

 It helps you build a strong professional network as you work with people

 across different domains.

 It helps you increase your confidence level and improve your interpersonal
and communication skills.

 If you are someone who loves communication and is a go-getter, a career in


the field of Event Management would bring to you immense satisfaction
DISADVANTAGES

 It is a very demanding and stressful job which requires you to be on your toes
24x7

 The deadlines and targets are too specific and difficult to catch up on with.

 It requires constant learning and keeping yourself up to date with the latest
tools and techniques in the market.

 The work schedule is not fixed in such job profiles and requires you to be
flexible in terms of timings.

 It requires you to be someone who is budget-friendly and can handle the


financial aspect very well.
FUTURE SCOPE OF EVENT MANAGEMENT SYSTEM

In a nutshell, it can be summarized that the future scope of the project circles
around maintaining information regarding:

 We can add printer in future.


 We can give more advance software for Event Management System
including more facilities
 We will host the platform on online servers to make it accessible worldwide
 Integrate multiple load balancers to distribute the loads of the system
 Create the master and slave database structure to reduce the overload of the
database queries
 Implement the backup mechanism for taking backup of codebase and
database on regular basis on different servers

The above mentioned points are the enhancements which can be done to
increase the applicability and usage of this project. Here we can maintain the
records of Event and Booking. Also, as it can be seen that now-a-days the players
are versatile, i.e. so there is a scope for introducing a method to maintain the Event
Management System. Enhancements can be done to maintain all the Event,
Booking, Customer, Employee, Enquiry.
We have left all the options open so that if there is any other future requirement in
the system by the user for the enhancement of the system then it is possible to
implement them.In the last we would like to thanks all the persons involved in the
development of the system directly or indirectly. We hope that the project will serve
its purpose for which it is develop there by underlining success of process.
LIMITATION

Although I have put my best efforts to make the software flexible, easy to
operate but limitations cannot be ruled out even by me. Though the software
presents a broad range of options to its users some intricate options could not be
covered into it; partly because of logistic and partly due to lack of sophistication.
Paucity of time was also major constraint, thus it was not possible to make the
software foolproof and dynamic. Lack of time also compelled me to ignore some
part such as storing old result of the candidate etc.

Considerable efforts have made the software easy to operate even for the
people not related to the field of computers but it is acknowledged that a layman
may find it a bit problematic at the first instance. The user is provided help at each
step for his convenience in working with the software.

List of limitations which is available in the Event Management System:

 Excel export has not been developed for Event, Booking due to some
criticality.

 The transactions are executed in off-line mode, hence on-line data for
Customer, Employee capture and modification is not possible.

 Off-line reports of Event, Enquiry, Customer cannot be generated due to


batch mode execution.
CONCLUTION

Our project is only a humble venture to satisfy the needs to manage their
project work. Several user friendly coding have also adopted. This package shall
prove to be a powerful package in satisfying all the requirements of the school.
The objective of software planning is to provide a frame work that enables the
manger to make reasonable estimates made within a limited time frame at the
beginning of the software project and should be updated regularly as the project
progresses.

At the end it is concluded that we have made effort on following points…

 A description of the background and context of the project and its relation to
work already done in the area.
 Made statement of the aims and objectives of the project.
 The description of Purpose, Scope, and applicability.
 We define the problem on which we are working in the project.
 We describe the requirement Specifications of the system and the actions
that can be done on these things.
 We understand the problem domain and produce a model of the system,
which describes operations that can be performed on the system.
 We included features and operations in detail, including screen layouts.
 We designed user interface and security issues related to system.
 Finally the system is implemented and tested according to test cases.
