ORGANISATION STUDY (OS)

Guidelines

Introduction: For the students of the Master of Business Administration (MBA)


programme, the knowledge relating to how an Organization functions is vital. It is
important to understand key issues in strategy deployment such as mission, vision, goals,
objectives and so on. It is equally important to understand how the different Functional
Areas of an Organization work together in realizing the common goal of the Organization.
Accordingly, the student is required to undertake an ORGANISATION STUDY for a period of
15 working days at the start of Second Semester of the MBA program.

A. Choice of the Organization: it is preferred for the student to select an Organization


from the Manufacturing Industry, which has all the core functions of management
actively being performed, i.e. Finance, Marketing, Production, Quality, R & D and Human
Resource Management. A large-scale Service Organization (Information Technology;
Information Technology Enabled Services; Financial Institutions; Insurance Companies;
Large Hospitals; and Luxury Hotels with Four stars and above) could also be selected by
the student, subject to the approval of the faculty/mentor. However, the study carried
out in the full-fledged Manufacturing Organization will carry higher weightage. Note that,
branch offices and franchisee outlets must be strictly avoided for the study.

B. Areas to be covered during the study:

1. Industry Profile: Origin of the industry in India; Growth and present status; Global
scenario; key players in the industry; Market analysis; PEST Analysis; and Porter’s five
forces analysis.
2. Company Profile: Background and history; Vision; Mission Goals; Objectives; SWOT
Analysis; Product Profile; Market share; Present status; Future plans; Analysis using
the Balanced Score Card Approach.
3. Design of the Organization: a review of choices of design, present Organization
structure, critical review of the structure.
4. Functions and Processes: Marketing; Finance; Production; Human Resources
Management; Operations; Supply Chain; Logistics; Quality; Initiatives like Six Sigma;
ERP; JIT; Shared Service Centers.

D. DURATION OF THE STUDY: This Organization Study is to be undertaken for the


duration of a minimum of 15 working days. The days available for the same are from
16.12.2019 to 05.01.2020.

E. METHODOLOGY:

1. Each student will be allotted a faculty mentor who will also be the guide for the same.
The student is expected to keep in regular touch with the mentor during the study.
2. The student is expected to send two progress reports to the faculty mentor without
fail and to keep in touch with the mentor regularly.
3. The student is required to choose an appropriate organisation for this study, obtain
the concurrence from your respective mentor and register the name of the
organisation, address, as well as the contact details of concerned executive of the
organization to whom the student reports in the company before 14th December
2019.
4. The student is required to submit details of the name of the organization and the
detailed address for communication, telephone number as well as the name of the
industry mentor with contact details.
5. A work dairy must be maintained during the study. The daily interactions, date and
day wise as well as notes must be entered in the dairy. This must be presented along
with the report to the faculty mentor.
6. The student must obtain the duly signed certificate from the organization clearly
stating the duration of the study (minimum 15 working days). Any appreciation letters
will add value to the student’s profile.
7. After the study, the student is expected to finalize the report of 50-60 pages in length
in consultation with the faculty mentor.
8. The last date for submission of the draft Organization Study report is 29th February
2020 and Final Report and Viva-voce is on 14th March 2020. Report will carry
50 marks and Viva Voce 50 marks.

F. Brief explanation about terminologies used in the areas to be covered in the


study:
1. Balanced Scorecard:
It is a performance management tool – a semi-standard structured report, supported
by design methods and automation tools that can be used by managers to keep track
of the execution of activities by the staff within their control and to monitor the
consequences arising from these actions.
The phrase 'balanced scorecard' is commonly used in two broad forms:
a) As individual scorecards that contain measures to manage performance, those
scorecards may be operational or have a more strategic intent; and
b) As a Strategic Management System, as originally defined by Kaplan & Norton.

The critical characteristics that define a balanced scorecard are:

 its focus on the strategic agenda of the Organization concerned


 the selection of a small number of data items to monitor
 a mix of financial and non-financial data items.

2. SWOT Analysis:

SWOT is an acronym for strengths, weaknesses, opportunities, and threats and is a


structured planning method that evaluates those four elements of a project or business
venture. A SWOT analysis can be carried out for a company, product, place, industry, or
person. It involves specifying the objective of the business venture or project and
identifying the internal and external factors that are favorable and unfavorable to
achieve that objective.

 Strengths: characteristics of the business or project that give it an advantage over


others
 Weaknesses: characteristics that place the business or project at a disadvantage
relative to others
 Opportunities: elements in the environment that the business or project could exploit
to its advantage
 Threats: elements in the environment that could cause trouble for the business or
project

3. PEST Analysis (Political, Economic, Social and Technological) describes a framework of


macro-environmental factors used in the environmental scanning component of
strategic management. It is part of an external analysis when conducting a strategic
analysis or doing market research, and gives an overview of the different macro-
environmental factors to be taken into consideration. It is a strategic tool for
understanding market growth or decline, business position, potential and direction for
operations.

4. Porter's Five Forces Analysis is a framework that attempts to analyze the level of
competition within an industry and business strategy development. It draws upon
industrial Organization (IO) economics to derive five forces that determine the
competitive intensity and therefore attractiveness of an Industry. Attractiveness in this
context refers to the overall industry profitability.
An "unattractive" industry is one in which the combination of these five forces acts to
drive down overall profitability. A very unattractive industry would be one approaching
"pure competition", in which available profits for all firms are driven to normal profit.
This analysis is associated with its principal innovator Michael E. Porter of Harvard
University.
Porter's Five Forces include – three forces from 'horizontal' competition: the threat of
substitute products or services, the threat of established rivals, and the threat of new
entrants; and two forces from 'vertical' competition: the bargaining power of suppliers
and the bargaining power of customers.

3. Viva Voce: Viva Voce will be conducted after the submission of the final Organization
Study Reports by the student and marks awarded.
