Official request to obtain the Experience letter and requesting for the salary for my work
time through reporting its essentiality

I have worked as a Trainee Engineer with your renowned company from 04th of November 2019
to the 24th of January 2020, for 82 working days. I have always been performing my duties with
utmost sincerity and dedication for the entire duration of my working term. It has been so
delightful to work with such an ambitious company. This company has provided me a great
platform to learn various skills related to Civil Engineering in the fields of Construction,
Designing, Material management, Technical Analysis and the extensive usage of resources from
the Consultant side, Client side and the Subcontractors (i.e. Plans from AutoCAD, Design
outputs from SAP2000 and various Method of Statements). Therefore, I would be very thankful
if you could provide me an experience letter from the employer side with the certification from
higher designations in order to validate my training experience from the employer side.

This opportunity to work for the Access Projects (Pvt) Ltd has been obtained for me through
making a request to the site manager at the location of the Horizon Knowledge city project. I
would like to bring it to your notice that there were no any official contract letters were signed
between me and Mr. Malaka Bandara (former site manager of Horizon Knowledge city project),
who was recruited me for the training. A contract letter consists the information related to the
terms and conditions associated with the Company’s rules and regulations, Salary negotiations
and the duties and responsibilities of a trainee. If a contract letter has been signed at the
beginning of my work then I would be more aware about the details regarding the salary for my
position and I would have expressed my acceptance or refusal to work for 3 months without
obtaining salary. But there were no any contract clauses were mentioned stating the salary
details. Therefore, after the end of my first month of training I have asked to Mr. Malaka
regarding my Salary provision. He has replied me that there were no any salary schemes existing
for the trainees. But, he said that he would definitely arrange a decent amount of money for me
for salary throughout my training months due my work ethics and commitments.
But at the end of the 7th week of my training, Mr. Malaka has been replaced by Mr. K. Ilankeeran
as the Project Manager. Therefore, I could not pursue my salary negotiations for the next stage as
Mr. Malaka was the officer who recruited me. So, I have decided to focus purely on my works
until the end of my training period on 24.01.2020 and to negotiate my salary with the Human
Resources officer at head office. I have successfully conducted a discussion with the Assistant
Manager of Human Resources for 45 minutes, we have discussed regarding the obtaining of the
experience letter and about my salary. I have received a positive response from the Assistant
Manager and I have been writing this email to take my salary negotiation for next step.

I would like to present below the facts for why I believe that I deserve a good salary:

1. I have done the daily projects allocated for me by my training supervisors (the Site
Engineers) in a very systematic way through perceiving the instructions of the site
engineers clearly and making a simultaneous reference with the Method Statements and
Bill of Quantities (BOQ) related to the corresponding projects. Therefore, even if there
were any information missed by the site engineers related to the work accidentally due to
by mistake while instructing me, I was able to cover up them through the reference to the
Method Statements. So, I have done most of my assigned construction works completely
in a neat and qualitative passion, without any necessity of corrections.

2. I have always shown a special attention on cost effectiveness by having proper


discussions with my supervisors and associated labors. I have never missed to gather the
required labors before starting a construction work to instruct them the assigned works
very clearly in local languages (i.e. Sinhala and Tamil). Therefore, I have successfully
installed in the minds of labors the clear picture of the final output what the officers are
expecting from them through their vocational skills. Due to my fluent Communication
skill, I have managed to complete most of the works without the necessity of any
unwanted Overhead costs.

3. I have compiled a very good summary of project details with a reliable classification
chart based on the Horizon Knowledge city project and I have complimented a research
project associated with Dr. Shiromi Karunaratne from SLIIT on developing a software to
accelerate the construction Project management system.

4. The most ethical work that I have been constantly performing was I have selflessly
accepted the responsibilities of some of the site engineers when they were having long
vacations due to their personal vacations, although my actual responsibility that has been
assigned was to work under Mr. Sri Gajan Ravi at the 3rd and 4th floors. I strongly
believe that due to my selfless behavior, it was successful to attain a good project stage,
even though there are only 2 technical officers and 1 site engineer are working upto day.
I would like to present some of the notable works that I have done in the absence of
other site engineers.
a. Have taken the duties of Mr. Damith Dissanayaka during his medical leave due
to his finger injury, to fix the trusses of 7th floor through the collaboration with
the subcontractor Mr. Prasanna’s team.

b. I have entirely supervised the crack reparation of slab using the low viscous
Epoxy Resin in 7th floor part 2 region in place of Mr. Damith Dissanayaka during
his medical leave. I have collaborated with the representatives from the Deming
Engineering (Pvt) Ltd.

c. Have supervised the installation of Fire Alarm Control Panel (FACP) system and
lift frame construction at 1st and 2nd floors in place of Mr. Ruwan, who has been
transferred to the Kirankulam project.

d. I have did majority of setting out works and the works to check the vertical
alignment of columns, beams and walls of the project building in place of Mr.
Dilan Rangana Aleckman during his wedding vacation. I have reported the
results to Mr. Malaka and I have soon implemented the necessary actions that
were instructed by him and Mr. Damith Dissanayake by recruiting the required
labors to the particular workspace.

e. I have solely supervised the preparation of tile bed of 3rd floor part -1 corridors
and the installation of chip concrete floor at the washroom region of the 3rd floor
and 4th floor during in place of Mr. Sri Gajan Ravi, who has been absent due to
his wedding vacations.

f. I have implemented the instructions of my project manager Mr. Ilankeeran and


conducted and successfully completed the waterproofing of washrooms in 6th, 7th
floors and the finishing of gutters in 7th floor during the absence of Mr. Damith
Dissanayake, due to his Medical surgery.

Furthermore, I have attached the documentations of my works with this email which have been
certified by the Site Engineers and the Project Manager. I always like to work with such an
ambitious company like Access Project (pvt) Ltd after my graduations. I hope that I could
achieve more heights in future if I could work in this company. Based on the research I have
conducted through my counterpart trainees working for various companies, I have found that the
SLIIT students are getting paid about 15,000 – 38,000 Sri Lankan rupees per month as trainees,
based on the economic stability of company, work ethics and the overtime hours. Therefore, I
would be more comfortable If I gets paid a Grand total of 60,000 Sri Lankan rupees as a salary
for my entire period of training. As we are on the same page, I hope that we can make this work
as you are aware of my potentials and how much I can help you in the future if you could hire
me as a permanent employee after my graduations.

I am assuring that if I get paid a good salary that I deserve, it could really motivate me to take a
big leap towards approaching the company soon after the graduations. Because in terms of
functioning, I hope that the philosophy of Access Projects (Pvt) Ltd actually suits to my working
style as an Engineer. I hope your appreciation for my work will create a dynamic young engineer
