ABSTRACT

Using a manual reservation system for hotel reservation might result into an

inconvenience. The hotel still uses a manual reservation system and the system causes

problems for the staffs and the guests. Double booking of rooms may occur when the

personnel fails to check the reserved rooms properly.

The study aims to show the disadvantages of using manual reservation system,

and how the usage of computerized reservation system will be overall better. The study

aims to answer the question “How can the computerized reservation system be better than

the manual reservation system?” The researchers made a program by experimenting,

trying ways to make the program accessible and make it work. The program’s aim is to

solve the problems that manual reservation system causes. To further improve the

program, the researchers conducted a survey with the respondents who have experienced

staying in a hotel before. The respondents’ remarks helped the researchers in improving

the program. The results that are gathered helped the researchers to build a computerized

reservation system to replace the manual reservation system that the hotel is currently

using.

CHAPTER 1- INTRODUCTION

For years, technology has been around. It came from the Greek “tekhnologia”,

meaning "science of craft". It is a form of art by humans which required a handful of

skills, creativity and intellectual. From a stone tools to a present computer, now it is well

known to be in a machine form that has a function which can be useful in any activities.

Technology has made people ever more productive. In the present times, technology has

been accepted and influenced schools, teachers, and students which can be life changing.

Indeed, computers have been performing a lot of tasks which were before just done by

men. In this technology-based world, people now rely on technology to be helpful and

versatile in everyday activities. Systems can also be linked to technology by taking an

input with accordance to change the system's function.

A computerized accounting system is a software program that is stored on a

company's computer. It is designed to track all of the company's transactions.

Computerized systems are used in place of manual systems. Computerized system can

help minimize errors. Computerized system is important because it saves time for

businesses and easy data access compared to manual system.

A hotel reservation is a system that allows customer or guest to reserve a room to

a specific hotel. It stores rates and inventory of hotel rooms as well as information of

clients. But in every system, perfection does not apply at certain moments. One of the

primary problems when it comes to reservation is double booking. Faulty booking

systems can be the cause of the problem when the system does not automatically update

and show when the room has been booked. It may be available but in reality, it already

booked by another customer.

Background of the Study

The implementation of manual system has been around for centuries, executed by

companies through ages. This system is shown in various works such as using pencil and

paper to list down important information and calculators to compute billings. Logbooks

are used for record keeping and file cabinets for storage. This is an efficient procedure

for small companies. However, as the world modernizes, this type of system cannot keep

up with how rapid changes in technology go. Hence, computerized system was

introduced.

A computerized system is a computer system with a purpose. It enhances various

processing when it comes to a business or a company operation. It is involved in the

manipulation of data such as analyzing, recording, and storing information. Since the

system is automated, calculations are handled by software, reduce possible errors and

saves time. It is efficient to the company for it is designed to be accurate even with the

smallest details. It also makes easier access for different assigned individuals even

outside the establishment.

An example is creating a Computerized Hotel Reservation System. This is an

automated system that is offered for Hotel Operators around the globe. This is to help

staffs and guests in reducing workload and fast bookings. This is to allow hotels with

multiple branches to operate and process information at the same time. It stores and

retrieve information, and even conduct an automated billing for the customer’s stay. The

system covers the processes from registration until the check out and billing of the guests.

This will also decrease the amount of work that the employee and will be able to submit

accurate reports for recording purposes.

Statement of the Problem

General Problem:

The general problem is the use on manual reservation system for the hotel’s

overall transaction.

Specific Problems:

1. The miscalculation of billing from manually computing the bills.

2. The mishandled bookings for the guests.

3. The inconsistency of information due to possibly, unreadable texts.

Hypotheses

Null Hypothesis:

The researchers may fail to make and improve the system to be better than the

manual reservation system.

Alternative Hypothesis:

The data gathered allowed the researchers to make and improve the system to be

better than the manual reservation system.

Significance of the Study

This study will enhance the efficiency and effectiveness of the hotel online

booking process. This will improve the booking system and make it more technologically

convenient.

The result of this study will benefit the following people:

 Costumers - The primary beneficiaries of the study are the costumers. The goal is

to have a better quality of services for the costumers for them to have a

comfortable stay in a hotel. And for the costumers who can stay in the hotel

without any issues and complications.

 Company - This study would have a benefit to the company. Since the company

is the secondary beneficiaries of this study, the more the researchers discover a

thing, and solve any issues and complications, the more the money will company

get.

 Future Researchers - This study would help future researchers to be aware and

knowledgeable of the process involved in the booking of the hotel. It would help

them to be a better analyst and it can be a help as a future reference for more

studies in the future.

 Developers – This study will give experience to the developers. This will enhance

their skills in terms of making systems for companies. This will also enhance their

judgment on what they should do to solve the problem.

Scope and Limitations

The system made will include the following modules:

 File Maintenance – The data will be frequently updated to avoid over lapping

information in terms of room reservations.

 Guest Information – It will include a login and registration to isolate a

guest’s information from another, therefore avoiding merging information.

 Check in/Check out – Registered guests will have to update their check ins

and check outs, to properly assign time of stay and in case it will be needed

for emergency.

 Archiving of Guests – Registered guests who stayed in the hotel will have

their data stored in the archives.

 Billing – The system has the capacity to compute the guests’ total cost.

The system made will not include the following:

 Online Reservation – The system will not support online services.

 Discount Calculation – Discount calculations are not included in the system.

CHAPTER 2 – RELATED LITERATURE


This chapter includes foreign and local literature and studies that support the

study.

Foreign Literature

"The Manual Reservation feature allows you to add, edit, and delete reservations"
The Manual Reservation has no limits when it comes to changing the guests’

decisions to reservations. A guest can define check-in and check-out dates and times

where they can decide when to arrive and leave. They can also define the source of the

reservation and can choose a listing of the hotel reservation. They can choose whether a

whole family or a group of friends they might include by defining a number of guest

option without a limitation. The guests can also settle their information to the system for

identification to avoid any misinformation. They can also choose a room that suited their

finances.

This modification about the system may interrupt the process of reserving the

rooms. By which can stop the continuous progress of an activity or process. And because

of the inconsistency of the process, it may cause double bookings, invalid check in and

out, inconsistent information and any other problems that may encounter. To prevent this

occurrence, we need a clean and uncomplicated layout of the system to prevent the

confusion of guest when it comes to booking their reservation.

According to Iliyana Asenova(2018), having a computerized reservation system

has its benefits. With computerized reservation system, booking mistakes are reduced.

The system does not allow multiple guests to book one room. By having computerized

system, bookings would not be lost. Reservations can easily be tracked, especially in

busy times.

Over booking and Double Booking can lead to loss of money and angry guests.

Accidental double room booking is one of a hotelier's problem. They can be caused by

faulty booking systems and systems which do not automatically update to show when a

room has been booked, meaning it may show as available and be booked by another

customer. Before you booked a room, you need to check first if someone booked on the

room you prefer, so there will be no problem when you check in. Other than double

booking, is the disadvantage of manual system. Time consuming processes that use paper

journal and ledgers or similar tools requires copious time to complete tasks.

Local Literature

According to ASEAN Journal on Hospitality and Tourism (2005), a group of

researchers found that Philippine hotels are adopting technology to their businesses

towards improving guest service but quite late on adoption. Although many hotels were

amazed by adding technology to improve their services and giving satisfaction to their

guest, some hotel provinces are still relying on manual reservation system. “Information

Technology (IT) has become an important part of the operation of the tourism industry. If

current trends continue, it is expected that Information Technology (IT) will be one of the

factors that will push tourism development in the future” (Singh, 2000). Systems that are

programmed to a certain task are more relevant and fully equipped when it comes to fast

calculations and data holder rather than manual system that are controlled by human.

“Manual systems put pressure on people to be correct in all details of their work

at all the times” (Breitmeyer,Linkedin, 2018). Humans are imperfect and can easily

switch details accidentally and end up with inconsistency in data entry or hand written. In

addition, Breitmeyer added that it takes more effort and physical space to keep track of

all the documents, to find information and to keep details secure.

“A wide variety of accommodation establishment exist in the Philippines. Hotels

are classified into deluxe, first class, standard and economy class” (Department of

tourism, 1987). This is why hotels are starting to rely on something that can improve the

quality of their service. But in order to achieve such improvement, they must eliminate or

lessen the use of manual reservation system. Manual system is time consuming and needs

enormous amount of focus and power to maintain the sequence of the business. In

manual system, lack of security is present. Lack of security to the controversial

information they get to the customer or guest. Lacking of security is decreasing the

amount of customer they get. Once information was leaked to the public, it is almost

impossible to recover the trust of the customers.

Foreign Studies

According to an unnamed researcher, the way of payment and booking through

manual reservation can cause inconsistent information because of the misunderstandings

and conflicts between the client and the management. To prevent this from happening,

the system needs to be properly configured to avoid misunderstandings, double bookings,

inconsistent information and invalid check-in and out.

Bemile et al (2014) conducted a study on the Online Hotel Reservation System

for Hansonic Hotel. The study tells that old and manual system does not serve the

customers right, rather it makes customer data vulnerable. The hotel created a new

developed computerized system that keeps proper records of the customers in an

organized method. The system was mainly created for privacy reasons and purposes. It

also stated that in that way, it helps to advertise the hotel.

A study was conducted by Agbanlog et al for Hotel Reservation Management

System for Tune Hotel. It states in the study that manual reservation systems are slow and

inefficient to the hotel. In order to improve and solve these, they developed a

computerized system for the betterment and improvement of the hotel.

Local Studies

A group of researchers from the Philippines made a research in 2018 about

making a computerized reservation system of Hotel and Pension houses. The researchers

found that the said houses use manual reservation system. With the increasing demand,

the houses were not able to keep up with the data they were receiving. Hotel and Pension

houses did admit that using manual reservation system brought problems `to their daily

transactions.

According to Bituin Abi (2010), the manual guest list record has disadvantages,

the manual reservation of guests; it takes a long time to accomplish for the manual

booking of rooms for the guest. According to the research, because of the job being

manually done, their office tends to be very messy and disorganized. Their desks are

loaded with papers and once in a while their important documents disappear. Through

past experience and research, the manual system had many problems such as making

reservations difficult, because of the papers being scattered everywhere and guestless

record is misplaced, it is difficult to retrieve past guests’ information, and is time

consuming putting guest list name to the log book manually.

According to Jurico Sucayre (2019), The computerized system gives advantage to

the owner of the hotel. By using manual system, the recording of the customers’ data will

take too long. The security of the data is also low. By using computerized system,

recording the data will be faster and effective. The data will not easily be breached.

CHAPTER 3 – METHODOLOGY

This chapter includes the research design, source of data and data gathering

procedure to further explain the way the researchers gathered the needed data.

Research Design

The study of the computerized reservation system has the experimental research

design as the study’s design. The testing of the system helped the researchers to find

answers and as well as problems or questions that they may encounter while making or in

the process of making their system. As the system is being established, the researchers

observe, knowing the possible problem that they may encounter in the near future and

taking down notes on how they will resolve the problem.

Experimental research design is a research design that allows the researchers to

carefully observe a certain group or their product. The primary method that the

researchers used is observing the system or product. There are times when the researchers

don’t have enough data to support their problem or idea. In that situation, the researchers

need to conduct an experiment to discover some data that the researchers missed out.

Experimental research can gather a lot of data that can help the researchers for their

research paper or thesis.

Source of Data

The source of data for this study of the computerized reservation system is the

personal data. The data directly came from the researchers themselves. The researchers

observed the program, errors may occur and the researchers will debug the program. The

researchers relied on themselves in programming the system. The testers’ remarls might

be useful for the improvement of the system, but the building of the system came entirely

from the researchers.

Personal data are data that are taken from one’s self. Personal data could be taken

from experience. The experience may come from the experiment that the researchers did

to gather data needed to build the system.

Data Gathering Procedure

The researchers, first, searched for an existing computerized system to get ideas.

Using Visual Studio, in which the language is C#, the researchers began to make the user

interface. The log in form was created which can be seen through the first page of the

system when first opened. After the log in form was made, the main form was created,

where the menu can be seen. The rooms were then created, including the “bookings” and

“book now” options.

After the front-end was programmed, the back-end was then made. An if-else

statement was used in the log in form, where if the user enters the correct input, the

program will proceed to the main form. The main form includes the rooms in which the

guest can pick which room they want. Then the programming of the computation begins.

When the reserve button was clicked the billing shows then the transaction will start. The

listing of the transaction will be provided if the confirmation button was clicked.
