Proposed Student & Staff-tracking system using RFID

INTRODUCTION Academic institutions in the Philippines have

increased student population.With this the amount of security to

survey and oversee each student has always been a challenge. The

Institutions took measurement to keep students in check. Logging

forms were given to security guards and teachers to keep record

of student attendance & activities.Child custody cases are a

common reason courts want to see a child’s attendance records.

If parents share custody, and one parent accuses the other

parent of not taking the child to school, it’s pretty easy to

verify that.This method worked, but as student population grew,

the efficiency of keeping log books has decreased. Another

method institutions use to keep track of their students are

softwares. This method decreases the hassle of writing down

student attendance and activities in the campus.However this

method still has a drawback, as data are inputted manually,

human error is still a consideration. The only method that

increases efficiency and decreases error is automation.The

proposed system in this paper offers automation by means of

Radio-Frequency Identification (RFID) integrated into the


software. With this system the institution has the ability to

locate and keep track of each individual student or staff in the

campus. With this system big institutions may go on with their

work knowing that students and staff are monitored and recorded

at all times.This system works also as a security measurement,

student or staff entering restricted areas will notify security

personnel.

OBJECTIVE

The objectives of the proposed system are of the following:

● Keep track of students at all times.

● To have an accurate population count.

● Notify security personnel about students and staff entering

restricted areas.

● Keep logs of time of entry and exit from students and

staff.

● System also functions as a Daily time recorder for staff.


SCOPE AND LIMITATIONS

​The main scope of the proposed system is to develop a

student tracking system for big academic institutions. The

system would tally attendance. This is only limited to

Schools,universities and other academic institutions. The

proposed software is designed for academic activities only.

SIGNIFICANCE OF THE STUDY

The proposed system beneficial for the following users:

Academic institutions: The system will help universities and

other schools to track student activities and location, in so

will bolster school security and reliability. They will know the

location of every student who wears a unique RFID badge or ID.

Teachers​: will have an accurate record to assess each student's

attendance. The system may also give the teacher location of the

students whereabout inside the school premises.


Security personnel: Unauthorized students or staff who enter

restricted premises will automatically notify security

personnel. This will greatly benefit school security.

METHODOLOGY

This will show the system flow in steps.Please observe the

following steps which will be numberize in ascending order.

1. System will program RFID tags attached to school ID’s. They

will store the student or staff’s basic information. Data

will be Name,Age,Position & year.

2. Card exciter and readers will be attached to all school

entrances,doors and hallways with a 10 meter offset.

3. Security personnel and school administrators will serve as

system overseers. They will have access to the system

monitors.

4. Once a student has entered a room the RFID will trigger the

scanner and will send data instantly to the system. The

system will recognize the student and record its

whereabouts with time logs of entrance to the room.


5. If the student exits the room the process is repeated and

the system will record a time log inputting time of exit.

6. If a student or staff enters a restricted area the system

will notify security personnel with location,time and the

name of the offender.

7. The system may also serve as an automated door lock for

added security.
