event. Further to your requirement of meeting package in Aston Denpasar Hotel & Convention Center, we

Check-in and Check-out Time:

 Check-out Time at 12.00pm
 Guest arriving earlier will be checked-in as soon as rooms became available, and will be follow
hotel room availability on the arrival date
 In the event that hotel is running full occupancy, hotel will not be able to guarantee early arrivals
 Check-out extensions later than 12.00 noon, can only be confirmed on the date of departure.
 Late check-out charge are as follows:
- Until 18.00 pm : 50% of confirmed group room rate
- After 18.00 pm : Full of group room rate

Booking Details, Cancellation and No Show Rooms Policies:


 In order us to prepare the best handling, a preliminary guest name list will be required at least
seven (7) days before arrival date and we will appreciate to be up-dated on any changes and
alterations at due to course within ample lead-time.
 Any cancellation within 21 days prior to the arrival date, will be subject to one night room rate
charge
 Any cancellation within 14 days prior to the arrival date, will be subject to 50% from total group
room night blocked
 Any cancellation within 7 days prior to the arrival date, will be subject to full charge
Any No Show rooms, will be subject to full charge

Note: Above mentioned prices are inclusive to 21% of service charge and government tax and non-commissionable
CATERING:
 The Organizer will provide a program outline to the Banquet Services Manager; finalize all menu
selections, attendance and other special arrangement at least seven (7) days prior to the event
 No changes to the menu can be made within 7 days prior to the function date
 We are not served any kind of alcoholic beverage
 No changes to the table set up arrangement can be made within 3 days prior to the function date
 The final guaranteed number of persons attending each function will be the minimum number of
guests you will be charged for, with any increase in number being charged accordingly
 Should the number of guest attending the function be less than the guaranteed number, we will
charge according to the guaranteed number
 Should the number of guest attending the function be more than the guaranteed number, we will
charge according to the number attending the event and additional charges should be paid when
function is finished
 A 25 % of Food & Beverage charges will apply for cancellation of any food & beverage function if
cancelled 14 days prior to the venue dates
 A 50% of Food & Beverage charges will apply for cancellation for any planed food & beverage
function if cancelled 7 days prior to the venue dates
 Less than 48 hours in advance, 100% cancellation charges will apply
 It is noted that the Hotel does not allow any type of food and beverage to be brought into the
Hotel by the Organizer or Organizer’s guests. Should you/ the group wish to consume your own
food and beverage, the corkage fee will be applied accordingly (the amount based on the Hotel
price)
 Any request to take away the leftover Food and Beverage are allowed if number of attendance
less than number of guaranteed “head count”. Management are not responsible to provide
wrapping, boxes for take away purposes and hotel will not responsible to any spoil of Food and
Beverage after taking out from Hotel property
 Hotel provided the electrical power 10.000 watt for Ballroom and 5.000 watt for meeting room,
any additional necessary power requirement needed will be charge based on hotel rate. Power
requirement must be handle by our engineering team
OTHER CONDITION:
 Hotel is not responsible for any damage or lost of any guests and organizer belonging that
occurred before, after or during the function

 Any hotel property damages will be charged to the person in whose name the event is booked.
An additional cleaning charge will be applied for assessed of rice, glitter and/or wax from candles,
nailing and tape.
 Any display, signs, streamers, nailing, electrical connections shall be asked with hotel supervision.
Any fixtures, damages or loss of hotel equipment/property will be charged to the client following
hotel policies
 Any additional meeting equipment witch not include in our meeting facilities will charged
accordingly
 All rates mention in this proposal valid for this group only and will be valid when the signed copy
is returned to us by stipulated cut-off date. Otherwise, the rates will not be valid
 No smoking will be permitted inside the convention facility location, such as the function room,
meeting room and grand Ballroom. Smoking is permissible only in the pre function and
designated outside area
Note :
 As per request from the organizer, minibar and telp line will be locked during the event
 Please be informed that Hotel will not responsible any lost belonging during the event
PAYMENT PROCEDURE & DEPOSIT POLICY
 The deposit is non-refundable or transferable if you postponed or cancel the event
 In case of non-payment of the deposit before event, the hotel has right to not provide the service
requested and ordered by the guest
 All bookings will be considered tentative until a 50% deposit is received
 Payment will be settled by LS
 All balance payment to be settled by the latest 3 days before group arrival date.
 Any additional charge during event will be settled before departure of the guest from hotel
 Rates confirmed in USD may be converted to local currency by the hotel at your time of stay,
based on the exchange rate used by the hotel and are subject to exchange rate fluctuations.
Credit card charges are subject to additional currency conversions by banks or credit card
companies, which are not within the hotel’s control and may impact the amount charged to your
credit card. Please contact the hotel if you have any questions

FUNCTION SPACE
Aston Denpasar Hotel & Convention Center reserves the right to reassign public space. Final approval must
be received from your Convention Manager before publishing meeting room names. Rental charges are
based upon the meeting outline, attendance, and sleeping room block established. Any change in current
requirements could result in additional changes.
SECURITY
Organizer acknowledges that The Aston Denpasar Hotel & Convention Center cannot be responsible for the
safe keeping of equipment, supplies, written material or other valuable items left in the function rooms.

Accordingly, Organizer acknowledges that it will be responsible provide security of any such
aforementioned items and hereby assumes the responsibility for loss thereof.
TAX FLUCTUATION
In the event the Indonesian Government and/or local authority impose such taxes and/or levies at any time
in the future during the term of this agreement and requires the Venue to pay such taxes and/or collect the
same from the Organizer/its guests on behalf of the Indonesian Government/local authority, the Venue
reserves right to recover the same from the Organizer or to collect the same from the individual guests with
prior notification.
It is specifically agreed that merely by reason of having entered into this agreement with the Hotel at this
date, no exemption is deemed to have been granted to the Organizer towards the payment of any future
taxes and/or levies imposed by the Indonesian Government or any local authority.
IMPOSSIBILITIES OF PERFORMANCE
This agreement will terminate without liability to either party if substantial performance of either party's
obligations is delayed, impeded or prevented by any cause reasonably beyond that party’s control. Such
causes include, but are not limited to, acts of God, regulations or orders or governmental authorities, fire,
flood or explosion, global war, disaster, civil disorder, curtailment of transportation facilities, regional health
warning or epidemics, high risks of regional terrorist attacks or other emergencies making it inadvisable,
illegal or otherwise impossible to provide the facilities or the services as to hold any function; sale of the
hotel, any delay in necessary and essential construction or renovation of the hotel, arrest or seizure under
legal process, strike, lockout, work stoppage, other restraints of labor, either partial or general, from
whatever cause.
DEFAULT
If the Organizer fails to pay any moneys due under this agreement or otherwise does not comply with its
terms, the Hotel may terminate this agreement.
SIGNATURES
The terms of this agreement shall be binding upon the hotel only if this agreement is duly signed by the
Organizer and returned to the hotel on or before 14 March 2020 Additional specifications, supplemental
charges and/or requirements may be added from time to time and will act as an addendum to this
agreement not withstanding that certain specifications, supplemental charges and/or requirements may not
be finalized or agreed upon group check in.
