Foreword

Proper Use of VoiceCollect


You use VoiceCollect family recording devices to record speech signals digitally and
by case. The signals are received via analog or digital lines. Incoming signals can
optionally be recorded on removable media.

If you would like to use your VoiceCollect for another purpose besides the one men-
tioned above, we would be happy to support you in making the required configu-
rations. Please contact our customer service.

The operating steps, conditions for use and safety instructions specified in the tech-
nical documentation must be properly observed when using the VoiceCollect.

Proper Use of the Manual


The figures and screen shots shown in this manual may differ lightly from your sys-
tem. The contents, however, will always be the same in every instance.

These operating instructions apply to all types of recording devices within the prod-
uct group of VoiceCollect. The manual is valid for devices with analog and digital
input lines. The area of application encompasses direct operation of the VoiceCol-
lect, and the remote control with the Workstation software.

This manual is intended for both operators and administrators.


■ The introductory section gives all readers an insight into the subject with an
overview of products and basic information, and makes it easier to understand
the following sections.
■ As an operator, you can concentrate on the section named after the software
component you are using (Recorder or Workstation). It contains all the infor-
mation you need for your everyday work.
■ As an administrator, you will find the Administration section containing all
the essential information required for configuring and administrating the sys-
tem. However, in order to be able to optimize the system for your use, you
should also make yourself familiar with the contents of the other sections,
which explain how the specific components are used.

These operating instructions are not intended to replace customer service. Please
refer to our customer service for questions of a technical nature which go beyond
the contents of this manual.

We guarantee that this product is free from errors as defined in our advertising, the
product information and technical information published by us. No additional prod-
uct features are guaranteed. We accept no responsibility for the suitability or proper
functioning if used for a purpose other than those defined in the Proper Use sec-
tion. In general, claims for damages are excluded, except in the event of wilful gross
negligence on the part of the manufacturer or for any feature not covered by the
guarantee. We are not responsible for the consequences if the product is used by
insufficiently trained users or in an environment for which it is not suited or which
does not meet the current technological standards.

Furthermore, we do not accept responsibility for damage to systems in the product


environment attributable to faulty functioning of the product or to errors in the op-

The customer is responsible for any modifications he or she may make to the
VoiceCollect. In other instances of this kind, the manufacturer warranty becomes
void. We do not accept liability for damages resulting from the use of accessories
which are not ATIS products or ATIS-approved products.

We reserve the right to make modifications without previous written notification. In


no case does the firm ATIS systems GmbH accept liability for unintended, special,
indirect or subsequent damage, including (but not limited to) loss of profits, which
can be attributed to the use of this manual or to the information contained within,
particularly in cases where ATIS referred the possibility of such damage or such a
possibility is generally known within this sphere.

We are not responsible for the violation of patents and/or other rights of third par-
ties outside the Federal Republic of Germany.

Customer Service and Warranty


Equipment made by ATIS is designed for long service life. It corresponds to the cur-
rent level of science and technology and is individually tested for all promised func-
tions. The electrical design conforms to the appropriate standards and regulations,
and meets DIN 5713/VDE 0113.

ATIS carries out an ongoing product and market analysis for further development
and constant improvement. Should incorrect functioning or faults occur despite all
the preventative measures, please inform ATIS customer service. We guarantee
that suitable measures for correcting the problem will be initiated without delay.
The ATIS warranty provisions apply to this product and we will be happy to supply
any further information upon request.

Kinds of Safety Instructions


Important information and instructions for the safety of personnel and equipment
are outlined below:
DANGER
Indicates an hazardous situation which, if not avoided, could or will result in
death or serious injury.

CAUTION
Indicates a potentially hazardous situation which, if not avoided, may result
in minor or moderate injury.
CAUTION
Property-damage-only warning or warning against security leaks, data loss and environ-
mental damages. In difference to warnings for persons, this kind of warnings is without
the safety alert symbol.

Notices are placed in boxes like the one in which this text is placed. Tips may save
you time, but no damage occurs if they are not followed.

DANGER
Dangerous electrical voltage is latent within this device. Unplug the power
supply before opening the housing, to avoid severe injuries.

DANGER
Repair and maintenance duties may only be performed by experienced staff
(qualified electrical employee according to IEC 364 and DIN VDE 105 part 1).
Operation of this device may only be performed by a fully trained person who
has read and understood this manual completely.
CAUTION
Risk of destruction! Before connecting the power supply, please check whether the
available and the required mains voltage are the same.
CAUTION
Maintenance and repair work may only be performed by the ATIS customer service or
authorized companies. In all other cases, the manufacturer warranty becomes void.
The customer is responsible for any modifications that he makes to the device. In such
a case, manufacturer warranty will have impaired validity.

Preliminary Remarks

System Description
The VoiceCollect Recorder is a multi-channel recording device for recording speech
and data. Due to its open architecture and multiple possibilities of adjustment and
configuration, it is adapted to connect to nearly every private branch exchange
(PBX).

The system is set to record specific channels according to specific criteria such as
signal activity and telephone number.

The system allows evaluation either directly at the Recorder or by so-called Work-
stations via a network. Recordings archived on removable data media may be
played back on the Workstations, even without a connection to the recorder.

The intelligent software of the VoiceCollect enables a large number of recorders to


be networked to a uniform, large documentation and recording system.

You use the VoiceCollect for important tasks, such as:

Analog and digital input signals are recorded by the interface


Interface adaptation cards integrated in VoiceCollect, which can be parameterized
according to input lines.

The audio recording is made digitally in ring memory mode in

Administration data for channels, recordings, labelings are held

You use the playback function with the software components of

nels on page RE-51.

Storage Principles in the VoiceCollect


All recordings are written to the hard disk buffer, from where they are copied to the
removable data carriers if archiving is intended.

The data is stored in ring memory mode, that is in the normal case the oldest re-
cordings are overwritten by new ones as soon as the hard disk buffer is full. You
should protect a recording to prevent it from being overwritten. It is then available
beyond the normal ring memory period.

Protection exists until it is removed or when the set period of write protection has
expired.

Access Hierarchy
An access hierarchy ensures that recordings can only be viewed by authorized us-
ers. This applies both to recordings in the hard disk buffer and to data archived on
removable data carriers.

Archiving can take place parallel to recording or at certain pre-configurable ar-
chiving times. The recorders use DVD-RAM drives for archiving.

Initial Start-up

Do not activate the Windows screensaver on any account, as this may interfere with
functions.

Step 1: Installing
In most cases, installation and commissioning are handled by our customer service.
Should this for some exceptional reason not be possible, please perform the instal-
lation in close consultation with our customer service so as to avoid damages to the
system.

> To unpack VoiceCollect


■ Please unpack carefully. Inspect the device for any transportation damage. We
only accept warranty for any damage which is claimed before putting the
device into operation.

> To install VoiceCollect


■ Select a location that meets the following requirements:
– enough space when installed in a cabinet
– strong and safe foundations (table)
– room temperature (5 … 40° C)
– dry room (humidity max. 75%, not condensing)
– adequate air flow around the device (at least 10 cm distance all around)
– preview the installation of additional fans in the rack, if required
– enough distance to windows and plants

CAUTION
Risk of destruction! Before connecting the power supply, please check whether the
available and the required mains voltage are the same.
■ Connect the recorder and the monitor to the power mains.
■ Connect the keyboard, mouse and network.
■ In the event that a foot switch was included in the delivery, connect the foot
switch to a serial port or midi-port (joystick).

Step 2: Configuring via »Configurator«


CAUTION
Danger of data loss and loss of all system settings! The »Configurator« service program
is intended exclusively for the use of experienced system administrators.

In most cases, our customer service handles configuration of the parameters using
the Configurator service program, meaning that you do not need to make any set-
tings using the Configurator.

If you are an experienced systems administrator, you can use the Configurator ser-
vice program for the following purposes:
■ Parameterizing Hard Disk Buffer
■ Pre-configuring Input Cards
■ Making Global Settings

See Using »Configurator« Service Program on page AD-47 in the Administration


section of this manual.

Step 3: Switching on and Starting the Recorder


1 For desktop models, switch on the power adapter on the rear of the recorder.
2 Switch on the VoiceCollect recorder’s key switch.
3 Switch on the monitor.
4 If the recorder does not automatically start, then follow the description Start-
ing and Exiting the Recorder (starting from Page RE-6).

the Recorder

Starting
You can use the recorder to make recordings in the hard disk buffer (IR buffer) and
evaluate them later. Recording is carried out either as a continuous recording or on
a signal recognition basis, such as through an external control signal. As desired,
the channels can be set to be always active or to switch between active and inactive
on the basis of a control time interval for recording.

Calls are shown in the record list. A filter function can be used to find recordings.
Use various playback modes and options for the evaluation.

Archiving – copying from the IR buffer onto interchangeable media - takes place
either parallel to recording or based on a time control.

Always start the Recorder software on the recorder first before accessing the
recorder from other computers using the Administrator or Workstation software.

> To start the "Recorder" software on the recorder


In the event that the Recorder software does not automatically start when the re-
corder is turned on:

1 Double click the VC-MDX recorder icon.

The log on window appears.


2 Select the operation language, then enter the access parameters.

The access data differentiates between upper and lower case letters.

You obtain all the data needed from the administrator.

3 Click OK.
The Recorder window opens.

1 Stop all channels.
2 Click Lock > Soft switch off.

Depending on the settings, the record list contains all recordings from the IR buffer
or the drive. At start up, a call list appears for the IR buffer. The latest recording is
in the top position. The meaning of the columns is displayed below:

Switching between Record Lists


VoiceCollect always shows the record list of the recorder after starting. To play back
from a removable storage medium, you must display the record list for the remov-
able storage medium.

> To display the record list of removable data medium


1 Click IR Buffer and Decks.

2 Click Playback under the pie chart of the respective remov-


able storage medium.
Example:

3 Click All Records .
The record list of the removable data medium appears.

Filtering
Filters help you sort through the mass of calls to display only those that meet spe-
cific criteria.

Managing Filters
> To activate filters from the database bar
1 Click Filter in the Database bar.
2 The filter dialog appears.

3 The defining of filters is described later in this chapter.


4 Click Search in the filter dialog.
The current record list appears in a filtered view.

> To activate filters from the »IR Buffer and Decks« area

This method allows you to switch the record list between IR buffer and removable
storage medium while filtering at the same time.

1 Click IR Buffer and Decks.

2 Click Playback under the pie chart of the IR buffer or a re-


movable storage medium.

Jumping in Intervals
> To jump in intervals
■ Click one of the two jump buttons during the playback .
The playback jumps forward or back based on the skip interval.

> To set the skip interval


■ Set the desired skip interval in seconds in the Skip field.

Using Markings
The markings are lost when another recording is selected. They are not stored with
the recordings.

> To set markings


■ Right click in the playback bar to mark sections of interest.

Red triangles appear on the spots that have been clicked.

> To delete markings


■ Click Delete all markers .

Using DSE (pause reconstruction)


The DSE specifies how pauses are to be played back.

> To use DSE


■ Click DSE .
Activates/deactivates DSE. In doing so, the symbol changes color:

Using Time Speech


> To use the time speech
■ Click Time speech .
Activates/deactivates the time announcement. In doing so, the symbol chang-
es color:

Playing Back a Loop


A loop can be used to mark a certain section of a recording to be played back as
often as desired. On reaching the end of the loop interval, the playback automati-
cally continues at the beginning of the loop interval again.

> To start loop playback


1 During playback of sections of interest, right clicking on the playback bar
marks either the start or end of the intended loop interval (recommendation).

2 Activate .
3 Set the start and end of the loop interval using the move handles above the
playback bar.

4 Click Play .
The contents between the start and end of the loop interval are played back.

> To stop loop playback


■ Deactivate Loop .

Protecting and Deleting Records in the IR Buffer

Managing Default Settings


You need Configuration administrator rights to configure the recorder.

> To set the duration of write protection of the IR buffer


■ Input the number of days under Settings > Options > Global Options > Pro-
tect period.
Starting with the time of recording, VoiceCollect protects each call in the IR
buffer until the Protect period has passed.
If the IR buffer is full, VoiceCollect overwrites the oldest recordings whose
write protection has expired. Calls can be manually protected to prevent this,
as described in the section Managing Manual Deletion Protection
(Page RE-24).

> To set the duration of manual write protection


■ Input the number of days under Settings > Options > Global Options > Keep
marked calls.
Starting from the application of the manual overwrite protection, VoiceCollect
protects each call until the time frame defined under Keep marked calls has
expired. As a practical matter, select a manual write protect period that is
longer than the IR buffer’s write protect period.

> To automatically delete recordings after their life span (Time to Live)
■ Input the number of days under Settings > Options > Global Options > Time
To Live.
VoiceCollect automatically deletes calls that have reached their life span.

Managing Manual Deletion Protection


> To protect recordings

You need the Protect user right to execute this function.

1 Select one or more recordings in the record list.


2 Select Protect Record from the context menu.
The deletion protection is activated.
The Protected column indicates: Yes = protected / No = not protected.

Exporting Audio

The protection continues until you remove it manually or the duration of man-
ual overwrite protection has expired. The time is counted starting from the ac-
tivation of the protection.

> To remove the manual write protection

You need the Protect user right to execute this function.

1 Select one or more protected recordings in the call list.


2 Select Unprotect Record from the context menu.
The deletion protection is deactivated.
The Protected column indicates: Yes = protected / No = not protected.

> To delete records

You need Delete Record user rights to execute this function.

The Delete function is only available when the recorder allows the delete function.
Check the setting under View > Setup information (Page RE-73).

1 Select one or more recordings in the record list.


2 Select Delete from the context menu.
3 Acknowledge the confirmation dialog.
The recordings are irrevocably deleted from the IR buffer.

Exporting Audio

In the event that calls were recorded with the DSE option turned on, then pauses
coded with DSE are lost during export.

You need the Export/Archive user right to execute this function.

3 Select the Export format.

Creating Labelings

You need the Add/Edit Comments user right to execute these functions.

> To edit short comments


1 Play back the recording.
2 Place the cursor into the Short Comment box.

3 Write a text into the Short Comment box.


In order to paste, copy, insert or delete short comments, right click the Short
Comment box, then select the desired entry from the context menu.
4 Click Save Comment .
The text appears in the Short Comment column of the record list.

> To edit long comments


The Delete function is only available when the recorder allows the delete function.
Check the setting under View > Setup information (Page RE-73).

1 Click the Long Comment column of a recording in the record list.


The Default button appears above the column.

2 Click Default.
The editor appears.

3 Enter the comment.


The labelling icon appears in the Long Comment column.
4 Alternatively, you can click the Word or Excel icons to open MS Word or MS

Using Parallel Playback

You need the user right to Playback to execute these functions.

During the parallel playback, you specify a time period, then select a maximum of
8 channels for playback out of the channels active during this time period.

For example, you can use parallel playback if you want to edit separately recorded
radio channels that belong together.

In order to play back several calls which belong together, use the description in sec-
tion Evaluating Call Scenario on page RE-32.

Opening the »Parallel Play« Window


> To open the »Parallel Play« window
1 Click Parallel play/Call Scenario , then activate Parallel play.

Select Records > Parallel play.
2 Select the time interval and a maximum of eight (8) channels.

> To parallel play back multiple calls
1 Start with one of these options:
(a) Click in the playback area in order to start playback at a specific position.
(b) Click Play to start the playback at the beginning of the time inter-
val.
2 Check the playback bar:

Each bar represents a channel. The played-back part of the recording is dark
blue, the not yet played-back part of the recording is light blue. Areas without
an audio signal are shown in white.
In the background is a dark gray bar ahead of the playback. This bar displays
the already loaded call segments.

You can increase the resolution of the call section shown in the playback area by
zooming, for example, in order to evaluate particularly interesting positions with
greater precision.

1 Set the start and end of the zoom interval using the move handles below the
playback bar.

2 Click Zoom + .
The zoom interval fills the playback area completely.

You need the user right to Playback to execute these functions.

A call scenario summarizes multiple calls from diverse or identical channels into one
group. These calls can then be edited simultaneously.

All parallel playback functions are available.

After making a save, you can also reload call scenarios and switch between channel
activities.

In order to play back multiple channels simultaneously apply the description in sec-
tion Using Parallel Playback on page RE-29.

Opening the »Call Scenario« Window

1 To open an empty call scenario:
Click Parallel play/Call scenario , then activate Call Scenario.

Safety Instructions

DVD-RAMs contain elements that are hazardous to the health. When it comes
to disposal, observe the currently valid hazardous materials regulations.

Please note:
■ The drive interior features a class 1 LASER product corresponding to EN
60825-1. Do not look inside the deck. Do not insert your fingers.
■ Do not insert metal or inflammable objects inside the DVD-RAM drive.
■ Do not operate the drive where it is extremely dusty or where the level of mois-
ture is high.
■ Do not use cracked or warped disks.
■ Do not force the drive open. In an emergency, open with the emergency ejec-
tion pin enclosed.

(Page RE-42).

Creating a Buffer after Formatting


Each storage medium must have a VoiceCollect buffer before it can be used as an
archive buffer.

Loading Data Media


You need the Deck Operation administrator right to execute these functions.

> To load data media


1 Insert a removable storage medium without closing the drive tray.
2 Click IR Buffer and Decks.

3 Click Load under the pie chart of the deck.

4 The drive tray closes.


If the drive is configured to Play, a window for selecting the operating mode
appears for the storage medium.
5 Find the window for the storage medium on the upper left on the edge of the
image, then select from the Operation menu what is supposed to happen with
the storage medium.
Example:

CAUTION
Danger of data loss. The »Erase all data« option removes all data from the storage
medium.

4 Remove the storage medium.

Prerequisite: The deck window is open. If the drive window is open, then the stor-

Deleting Complete Data Media (Initializing)

3 Find the drive window on the upper left on the edge of the image:

5 Enter the new label for the storage medium into the Label field.

The data medium is initialized and with that all data is deleted.

Evaluating Messages
Errors and warning messages appear in the messages window, accompanied by an
option acoustic warning signal.

■ Monitor the Messages button.

You are shown the number of messages and how many of them are errors
and/or warnings. The corresponding symbols will blink in the event that new
messages are available.

The recorder’s interface cards receive the input signals. A recorder generally has at
least one AI8K card with 8 analog inputs. The AI8K card is the most frequently
used interface card. The interface cards are used according to the customer speci-
fication.

Setting CSTA
The CSTA option enables the recording to be started and stopped through the
PABX or a telephone data server (CSTA or CTI server control). In this operating
mode, both the telephone number and the user ID are provided by the telephone
data server via the CSTA protocol.

The recording mode will not be affected by this operation. If communication with
the telephone data server is interrupted, the recorder switches to internal control
and the channels will be started after 30 seconds with the recording modes set ac-
cording to their original parameters.

Setting Vox Level, Prolog and Epilog


If the recording timer (Page RE-66) is active, the channels set to Vox are perma-
nently ready for recording.

Fundamentals for Vox level


Vox monitors the signal strength of the input signal. Recording begins as soon as
the input signal rises above the Vox level.

Vox level is too high


Weak signals are not recognized.
(e. g. -3)

Vox level is too low Recording may already be initiated by crackling in the line or
(e. g. -48) atmospheric rustling in radio communications.

Vox level with ISDN


Only used for DSE recognition.

Fundamentals for Vox epilog


The Vox epilog is the admissible pause period during a recording. If the pause ex-
ceeds the Vox epilog, the recording is stopped.
■ A correctly configured Vox epilog prevents brief pauses from leading to the
end of the recording.
■ If the defined Vox epilog period is too short, a recording with a pause in the
speech may be broken off.
■ If the Vox epilog is too long, two recordings following each other closely will
be treated as a single recording.

> To set the level, prolog, and epilog for Vox


1 Select the desired channels in the Channel Settings window.
2 Click the VOX column header, then change the settings for Vox level (in dB) in
the dialog.
3 Click the Prolog column header, then change the settings for Vox prolog (in s)
in the dialog.
4 Click the Epilog column header, then change the settings for Vox epilog (in s)
in the dialog.

> To check that the Vox level is properly set


Telephone lines with interference (loud noise without a call) may disrupt the VOX
operation, that is the channel no longer stops. This is not a malfunction of the sys-
tem. Check the input lines.

1 Click the Start All button.


The color of the channel icon changes from red to yellow (ready for opera-
tion).
2 Place an input signal on one or more VOX channels.
The color changes to green (recording running) as soon as the signal level is
higher than the VOX level.
3 Test whether the respective channel starts and stops reliably by lowering and
raising the input level.
4 Change the Vox level until start/stop functions reliably.

Setting the Warning Tone


Only with analog cards (AI8K). Separate hardware option required.

The warning tone shows the other end of a telephone call that the call is being re-
corded.

User configuration of VoiceCollect takes place centrally in the recorder. Users apply
uniformly for the Recorder, Workstation and Administrator programs.

Users do not apply for the Configurator, Buffer Recovery and Eraser service pro-
grams.

Changing Start Password

Security-related setting. Create a new user with administrator rights as soon as possible
following the initial installation.

Configuring Global Options


> To configure global options
1 Click Global Options.

This option allows you to exclusively record calls from one or more numbers or to
exclude them from being recorded.
Telephone number evaluation is possible:
■ for systems with ISDN cards (S0, S2M)
■ for systems with AI8K cards, whereas the analog signal input lines must sup-
port CLIP (transmission of telephone numbers)
■ if the telephone network supports caller identification.

1 Click Included/Excluded Numbers.

2 Activate Included or Excluded.

Configuring Errors & Warnings


> To configure errors & warnings
1 Click Error & Warnings.

2 Activate the warnings that VoiceCollect should provide in the Messages win-
dow.
3 Activate the field at the lower left to set an audio tone to accompany the an-
nouncement of new messages.

Configuring Channel Inactivity


This option allows you to set a time frame after which VoiceCollect triggers an in-
activity warning. The warning appears if a channel is not active during this time
frame.

> To configure channel inactivity


1 Click Channel Inactivity.

2 In the dialog, select the one or several channels.


3 Click the Hour(s) header.

4 Set the desired value.

Configuring Recording Timer


This option sets the time interval during which the individual recorder channels au-
tomatically switch themselves to ready for recording.

VoiceCollect records all channels, presuming that all condi-

1 Click Log Settings.

2 Select the report to which the setting is to apply under Log Service.
3 Define the log’s Time To Live after the start of logging.
4 Define the Length of the log.
If this length is exceeded, VoiceCollect automatically overwrites the oldest en-
try as per the ring buffer method.

Configuring the Foot Switch

2 If you have connected a foot switch to the recorder, activate A footswitch is


connected.
3 Set the parameters.

Configuring Deck Mode


Systems with two drives can possess the following drive modes:

The recording is made on one recording drive and is contin-


ued on the second drive when the first drive is full, when an
error occurs or when the data medium in the first drive is
Relief operation manually ejected.
During the switchover when a data medium is full, the current
recordings are written in full length on the data medium of the
drive taking over.

The same data are written simultaneously on both decks dur-


ing the recording. The master deck records whereas the sec-
ond deck writes a copy.

Parallel operation After a change of data medium in the master deck, the new
recordings made in the intervening time are copied over from
the other drive. This copying process does not take place if a
new data medium is inserted into the deck which is not the
master deck.

Deck A/B A/W mixed operation: One of the recording devices is avail-
Play/Record able for recording, the other for playback.

Playback mode: Both drives are available for playback.

The recorder’s setup information appears.

The displayed information is set using the Configurator service program or by


the manufacturer. See the Administrator section of the manual for more in-
formation.

> To show the system statistics


■ Click Statistics , then select System statistics.

Select View > System statistics.
The recorder’s system statistics appears.

You can recognize the time slice during which the recorder was recording.
The statistics always reference the event listed under Comment.

in the Administrator section for additional information.

Workstation

Playback Sources
You can play back the recordings with the Workstation PC software from the fol-
lowing sources:
■ Hard disk buffers (IR buffers) of one or more recorders in the network
All that is needed for this task is a network connection (LAN) between work-
station and recorder. Type VoiceCollect recorders are supported. If you have
another recorder made by ATIS, please check with us whether you can use
the workstation.
■ Local archive data media on your PC
Possible data media include DVD-RAMs.
■ As many ATIS buffers of the VoiceCollect type on your PC or over the network
The ATIS buffer is a memory area on your PC or in the network which holds
recordings in the proof safe ATIS audio format.

Starting and Exiting the Workstation

The channels within the VoiceCollect software must be started on the recorder. A
connection cannot be made until this has been done.

> To start the workstation


1 Double click the Workstation icon.

The log on window appears.


If the dialog for selecting the operating language appears, select the operating
language, then click OK.
2 The Workstation window opens.

> To quickly start the playback from a recorder


1 Right-click the recorder, then select Connect.
The log on window appears.
2 Enter the access parameters.

The access data differentiates between upper and lower case letters.

You obtain all the data needed from the administrator.

3 Click OK.
4 If the calls do not automatically appear, click Query database .
The recordings of the recorder appear in the record list.
5 To start the playback, select an entry in the record list, then click Play .

> To exit the workstation


■ Click on the closer in the top right-hand window.

Depending on the settings, the record list contains all recordings from the IR buffer
or the drive. At start up, a call list appears for the IR buffer. The latest recording is
in the top position. The meaning of the columns is displayed below:

Status of communication: Active (green), Closed (red) or

Before Playback
The following conditions must be fulfilled before playback:
■ You define recorders or buffers to which you wish to establish a connection.
■ You are connected to the recorder or the buffer.
■ The channels on the recorder are started.
■ You have user rights for your desired functions.

Jumping in Intervals
> To jump in intervals
■ Click one of the two jump buttons during the playback .
The playback jumps forward or back based on the skip interval.

■ Set the desired skip interval in seconds in the Skip field.

Using Markings
The markings are lost when another recording is selected. They are not stored with
the recordings.

■ Right click in the playback bar to mark sections of interest.

Red triangles appear on the spots that have been clicked.

Using DSE (Pause Reconstruction)


The DSE specifies how pauses are to be played back.

Using Time Speech


> To use the time speech
■ Click Time speech .
Activates/deactivates the time announcement. In doing so, the symbol chang-

Playing Back a Loop


A loop can be used to mark a certain section of a recording to be played back as
often as desired. On reaching the end of the loop interval, the playback automati-
cally continues at the beginning of the loop interval again.

1 During playback of sections of interest, right clicking on the playback bar
marks either the start or end of the intended loop interval (recommendation).

2 Activate .
3 Set the start and end of the loop interval using the move handles above the
playback bar.

4 Click Play .
The contents between the start and end of the loop interval are played back.

Protecting and Deleting Records in the IR Buffer


The data is stored in ring memory mode in the hard disk buffer (IR buffer), that is
VoiceCollect overwrites the oldest recordings as soon as the hard disk buffer is full.
You should protect a recording to prevent it from being overwritten.

> To protect recordings


You need the Protect user right to execute this function.

1 Select one or more recordings in the record list.


2 Select Protect Record from the context menu.
The deletion protection is activated.
The Protected column indicates: Yes = protected / No = not protected.
The protection continues until you remove it manually or the duration of man-
ual overwrite protection set by the administration has expired. The time is
counted starting from the activation of the protection.

> To remove the manual write protection


You need the Protect user right to execute this function.

1 Select one or more protected recordings in the call list.


2 Select Unprotect Record from the context menu.
The deletion protection disappears.
The Protected column indicates: Yes = protected / No = not protected.

> To delete records


You need the user right to Delete recording to execute this function.

The Delete function is only available when the recorder allows the delete function.

1 Select one or more recordings in the record list.


2 Select Delete from the context menu.
3 Acknowledge the confirmation dialog.
The recordings are irrevocably deleted from the IR buffer.

In the event that calls were recorded with the DSE option turned on, then pauses
coded with DSE are lost during export.

Creating Labelings
You need the Add/Edit Comments user right to execute these functions.

> To edit short comments


1 Play back the recording.
2 Place the cursor into the Short Comment box.

3 Write a text into the Short Comment box.


In order to paste, copy, insert or delete short comments, right click the Short
Comment box, then select the desired entry from the context menu.
4 Click Save Comment .
The text appears in the Short Comment column of the record list.

> To edit long comments


The Delete function is only available when the recorder allows the delete function.

1 Click the Long Comment column of a recording in the record list.


The Default button appears above the column.

2 Click Default.
The editor appears.

3 Enter the comment.


The labelling icon appears in the Long Comment column.
4 Alternatively, you can click the Word or Excel icons to open MS Word or MS
Excel.
5 Where desired, delete the long comment using Context menu > Delete Long

Using Parallel Playback

You need the user right to Playback to execute these functions.

During the parallel playback, you specify a time period, then select a maximum of
8 channels for playback out of the channels active during this time period.

For example, you can use parallel playback if you want to edit separately recorded
radio channels that belong together.

In order to play back several calls which belong together, use the description in sec-
tion Evaluating Call Scenario on page WS-32.

Opening the »Parallel Play« Window

1 Click Parallel play/Call Scenario , then activate Parallel play.

1 Start with one of these options:
(a) Click in the playback area in order to start playback at a specific position.
(b) Click Play to start the playback at the beginning of the time inter-
val.
2 Check the playback bar:

Each bar represents a channel. The played-back part of the recording is dark
blue, the not yet played-back part of the recording is light blue. Areas without
an audio signal are shown in white.
In the background is a dark gray bar ahead of the playback. This bar displays
the already loaded call segments.

You can increase the resolution of the call section shown in the playback area by

The zoom interval fills the playback area completely.

A call scenario summarizes multiple calls from diverse or identical channels into one
group. These calls can then be edited simultaneously.

All parallel playback functions are available.

After making a save, you can also reload call scenarios and switch between channel
activities.

In order to play back multiple channels simultaneously apply the description in


section Using Parallel Playback on page WS-29.

Using Logs

Within the Workstation software, you have access only to the logs from the Work-
station software. No access to the recorder logs is possible.

You need the Log Management administrator right to execute these functions.

Logs are files that enable trained users to understand specific system states and rec-
tify errors or report them to customer service.

1 Click Logs .

Starting
Use the Administrator software to administer networked recorders centrally.

Starting and Exiting the Administrator


First start the Recorder software on the recorder before accessing the recorder with
the Administrator software.

> To start the Administrator


1 Double click the Administrator icon.

The log on window appears.


2 If the dialog for selecting the operating language appears, select an operating
language.
The Administrator window opens.

> To exit the Administrator


■ Click on the closer in the top right-hand window.

Defining Recorders
> To define a recorder
1 Click Recorder list .
Or:
Select Settings > Recorder list.
The Recorder list window appears.

2 Click Add.

3 Enter the host name or the IP address of the recorder.


The recorder appears in the list.

The recorder simultaneously appears as an icon in the Administrator window.

> To modify a recorder


1 Click Edit in the Recorder list window.
2 Enter the changed host name or the IP address of the recorder.

> To remove a recorder

Managing the Connection to the Recorder


> To connect to a recorder
Before you connect to a recorder, the recorder must be set up and the network
connection must be available. See Defining Recorders (Page AD-6).

1 Select Connect in the context menu of the desired recorder.

2 Enter the access parameters.

The access data differentiates between upper and lower case letters.

3 Click OK.
The recorder icon shows the recorder’s information.

4 Click the recorder icon.


The recorder’s data appears.

Once the Administrator software connects to a recorder, several functions are


locked for the recorder’s VoiceCollect software. The lock is lifted again once the
connection is closed.

> To disconnect a recorder


■ Select Disconnect in the context menu of the recorder.

The channel name appears beneath the channel symbol in addition to the
channel number, which is shown by default.

Evaluating Call Statistics


> To show the call statistics
1 Click View statistics .
The Statistics window appears.
2 Select the chart type and the time period.
3 Select the channels to be displayed in the statistics. To include all channels, se-
lect Recorder.
4 Click Show Chart.

You can see the number of calls per day, broken down by channel.
5 To save the statistics as a bitmap, click Save Chart.

Preparing Data Media


Recorders of VoiceCollect class use state-of-the-art DVD-RAM drives.

Safety Instructions

DVD-RAMs contain elements that are hazardous to the health. When it comes
to disposal, observe the currently valid hazardous materials regulations.

Please note:
■ The drive interior features a class 1 LASER product corresponding to EN
60825-1. Do not look inside the deck. Do not insert your fingers.
■ Do not insert metal or inflammable objects inside the DVD-RAM drive.
■ Do not operate the drive where it is extremely dusty or where the level of mois-
ture is high.
■ Do not use cracked or warped disks.
■ Do not force the drive open. In an emergency, open with the emergency ejec-
tion pin enclosed.

You need the Deck Operation administrator right to execute these functions.

1 Insert the unformatted removable storage medium without closing the drive
tray.
2 Click Recording Channels, IR Buffer & Decks.

3 Click Load under the pie chart of the deck.

A window prompts you regarding formatting.


4 Click Yes.
5 Within the following dialog, select the deck, the FAT32 format, and enter the
label of the storage medium.
6 Click Start, then confirm the check question.
7 Wait until the formatting is finished.
8 Confirm the Formatting finished message.
9 Create a buffer as described in section Creating a Buffer after Formatting
(Page AD-15).

Each storage medium must have a VoiceCollect buffer before it can be used as an
archive buffer.

> To set up a buffer


You need the Deck Operation administrator right to execute these functions.

1 Find the following window, which will prompt you on creating a buffer:

2 Change the proposed label as required.


3 Click Create.
VoiceCollect creates a buffer on the data medium.

> To load data media


1 Insert a removable storage medium without closing the drive tray.
2 Click Recording Channels, IR Buffer & Decks.
3 Click Load under the pie chart of the deck.

4 The drive tray closes.


If the drive is configured to Play, a window for selecting the operating mode
appears for the storage medium.
5 Find the window for the storage medium on the upper left on the edge of the
image, then select from the Operation menu what is supposed to happen with
the storage medium.

CAUTION
Danger of data loss. The »Erase all data« option removes all data from the storage
medium.

The following operating modes are possible (depending on the archiving


mode):

Default settings to use the storage medium for recording.


Append New recordings are appended to the already existing
records.

Eject Ejects the data medium.

Unlock Unlocks the storage medium.

Deletes all data. Makes the storage medium available for

Ejecting Data Media


> To eject already appended storage media
1 Click Recording Channels, IR Buffer & Decks:
2 Click Eject under the pie chart of the deck.

If and only if Options > Global > Print Deck Label is activated, the following
dialog appears:

3 Confirm the label for printing or enter a new label.


4 Remove the storage medium.

> To eject storage media that are not yet logged on VoiceCollect

CAUTION
Danger of data loss. Do not accidentally select »Operation > Erase all data«.

Prerequisite: The deck window is open. If the drive window is open, then the
storage medium has not yet been logged on VoiceCollect.
1 Select Operation > Eject in the deck window.
2 Click OK.
3 Remove the storage medium.

Deleting Complete Data Media (Initializing)


> To re-initialize the data medium
CAUTION
The »Operation > Erase all data« option deletes all data from the data medium.

You need the Deck Operation administrator right to execute these functions.

1 Remove the storage medium.


2 Reload the storage medium.
If the drive is configured to Play, a window for selecting the operating mode
appears for the storage medium.
3 Find the drive window on the upper left on the edge of the image:

4 Select Operation > Erase all data in the drive window.


5 Enter the new label for the storage medium into the Label field
6 Click on OK, then confirm the check question.
The data medium is initialized and with that all data is deleted.

Evaluating Messages
Messages, errors and warnings appear in the message window. Alarms appear like
normal messages. The number of errors (alarm code: red) and warnings (alarm
code: yellow) additionally appear next to a red or yellow flag.

> To recognize waiting messages visually


■ Monitor the toolbar area near the clock.

A blinking lamp appears when new messages are available for the connected
recorder. To display the messages, click on the lamp.

■ Monitor the recorder button:

You are shown the number of messages and how many of them are errors
and/or warnings. The corresponding symbols will blink in the event that new
messages are available.

1 Click the Messages in the recorder administration area.
The message window opens.

2 Use the message text to obtain more information about possibly unsuccessful
operating steps or possible conflicts.

> To acknowledge individual messages


1 Select the messages.
Press the Ctrl or Shift buttons, then click the desired list items.
2 Click Acknowledge.

> To acknowledge all messages


■ Click Acknowledge All.

> To delete individual messages


1 Select the messages.
Press the Ctrl or Shift buttons, then click the desired list items.
2 Click Delete.

■ Monitor the recorder button:

The CSTA status is displayed as a symbol.


■ Monitor the channel icons.

If the CSTA symbol appears to the right next to the channel symbol, then the
channel is CSTA controlled.

Using Logs

You need the Log Management administrator right to execute these functions.

Within the Administrator software, you have access only to the logs from the
Administrator software. No access to the recorder logs is possible.

Logs are files that enable trained users to understand specific system states and rec-
tify errors or report them to customer service.

> To use logs

1 Click Log management .

To create logs for the recorder, see Configuring Logs for Recorder (Page AD-40).

1 Select the report to which the setting is to apply under Log Service.
2 Define the log’s Time To Live after the start of logging.
3 Define the Length of the log.
If this length is exceeded, VoiceCollect automatically overwrites the oldest en-
try as per the ring buffer method.

The cards and their configuration are composed on a customer-by-customer


basis. Special parameters are set in the Configurator service program.

The recorder’s interface cards receive the input signals. A recorder generally has at
least one AI8K card with 8 analog inputs. The AI8K card is the most frequently
used interface card. The interface cards are used according to the customer speci-
fication.

> To properly prepare your system’s channels
1 Insure that the drivers are installed if you have installed one of the following
cards: AI8K (Iorem), S0PPC (ISDN-S0), ISDN-S2MA (PCMA) and CACB.
No driver is needed for test operation with soundblaster, but activation is re-
quired by our customer service.

Setting DSE
Digital Silence Encoding DSE is a function to compress pauses both in and between
recordings. Pauses will be encoded and not recorded. If you want to playback re-
cordings, you can select to decide whether encoded pauses are to be skipped or
reconstructed.

Setting CSTA
The CSTA option enables the recording to be started and stopped through the
PABX or a telephone data server (CSTA or CTI server control). In this operating
mode, both the telephone number and the user ID are provided by the telephone
data server via the CSTA protocol.

The recording mode will not be affected by this operation. If communication with
the telephone data server is interrupted, the recorder switches to internal control
and the channels will be started after 30 seconds with the recording modes set ac-
cording to their original parameters.

The Vox prolog is the period of time prior to the recognition of a call that is auto-
matically stored along with every recording. The Vox prolog prevents the loss of
information at the start of a call.

Fundamentals for Vox epilog


The Vox epilog is the admissible pause period during a recording. If the pause ex-
ceeds the Vox epilog, the recording is stopped.
■ A correctly configured Vox epilog prevents brief pauses from leading to the
end of the recording.
■ If the defined Vox epilog period is too short, a recording with a pause in the
speech may be broken off.
■ If the Vox epilog is too long, two recordings following each other closely will
be treated as a single recording.

Telephone lines with interference (loud noise without a call) may disrupt the VOX
operation, that is the channel no longer stops. This is not a malfunction of the sys-
tem. Check the input lines.

1 Click the Start All button.


The color of the channel icon changes from red to yellow (ready for opera-
tion).
2 Place an input signal on one or more VOX channels.
The color changes to green (recording running) as soon as the signal level is
higher than the VOX level.
3 Test whether the respective channel starts and stops reliably by lowering and
raising the input level.
4 Change the Vox level until start/stop functions reliably.

Setting the Warning Tone


Only with analog cards (AI8K). Separate hardware option required.

The warning tone shows the other end of a telephone call that the call is being re-
corded.

You need the User Management administrator right to execute these functions.

User configuration of VoiceCollect takes place centrally in the recorder. Users apply
uniformly for the Recorder, Workstation and Administrator programs.

Users do not apply for the Configurator, Buffer Recovery and Eraser service pro-
grams.

Changing Start Password

CAUTION
Security-related setting. Create a new user with administrator rights as soon as possible
following the initial installation.

Configuring Channel Inactivity


This option allows you to set a time frame after which VoiceCollect triggers an in-
activity warning. The warning appears if a channel is not active during this time
frame.

Parameterizing Hard Disk Buffer


You need at least one buffer before VoiceCollect can start to work.

All recordings are stored in one or more buffers. The buffers are organized as ring
memory. You can create several buffers in the following way:
■ on the recorder’s local storage devices
■ over the network on storage devices to which the recorder has access

> To set up a buffer


1 Select a deck.
2 Click Add File.
3 Enter the path and name of the buffer.
4 Enter the reserved size of the buffer.

The buffer appears in the Configurator.

5 To activate the buffer, click Apply Changes.

3 Change the parameters of the buffer.

When a buffer is deleted, its recordings are lost.

1 Select a buffer in the deck tree.


2 Click either Delete Buffer or Remove File.

When a buffer is deleted, its recordings are lost.

Pre-configuring Input Cards


> To configure input cards
1 Click Channel Allocation in the Configurator.

All the installed interface cards appear in the list. The assigned line is shown
in gray if a card is not ready or has been temporarily removed.
The Card ID assigned to a card is determined by the position of the card in
the list. To change the allocated channel groups, change the position of the
card in the list.
The IO port basic address corresponds to the internal hardware setting. An
address must be given only for older ISA cards, not for PCM cards.

> To modify card parameters for ISDN-PCMA cards


This setting depends on your PABX. Please contact the supplier about this or refer to
the telephone system documentation.

1 Click the additional button for ISDN-PCMA cards (PCM and PCMMIX lines).
The following dialog appears:

2 Select an entry, then click the header of the respective column to set the pa-
rameters.

The »Eraser« service program is intended exclusively for the use of experienced system

> To delete a buffer with the Eraser


When a buffer is deleted, its recordings are lost.

1 Double click the icon for the Eraser service program.

2 Select the language, then enter a user name and a password.

The Eraser appears.

3 Mark the buffer to be deleted.


CAUTION
If the next step is undertaken, then the administrative data and audio data is irrevo-
cably lost.

4 Click Erase all data.


All audio or administration data are deleted irrevocably.

Term Description

A law / µ law Different standards for PCM encoding. In Europe A law is


used, in U.S. and Japan µ law.

Administrator User group with all user rights.

AMI Alternate Mark Inversion. Bit encoding for digital data transfer,
e. g. in PABX. Similar to ➟HDB3.

Archiving drive Device with removable data media in the VoiceCollect. There
may be one or two archiving drives.

ATIS audio format Proof safe export format of the VoiceCollect. Audio format
created by ATIS.

Automatic gain con- Circuit for automatic gain control. Prevents overloading of the
trol AGC recording.

CAS In the case of CAS (Channel Associated Signaling), control sig-


nals are transmitted in the same channel as the speech signals.
In contrast to ➟CCS.

CCS In the case of CCS (Common Channel Signaling), the control


signals are transmitted in a common channel separate from the
speech signals. In contrast to ➟ CAS.

CLIP Function for providing telephone numbers over ISDN and ana-
log lines. CLIP information is generally transmitted between
the first and second ring tones.

Compression The analog audio signal can be recorded at various compres-


sion levels. The ➟memory requirements and the recording
quality generally decrease as the compression level is increased.
Various compression algorithms are used:
- 1:1 … Very good sound quality.
- 2:1 … Good sound quality.
- 4:1 … Reduced sound quality.

COR Contact Operated Recording. Recording started by an external


start signal. As opposed to the recording being level-controlled
by the voice signal (➟VOX).

CRC4 Interface option for VoiceCollect.

Term Description

CSTA Serial communication protocol between application and private


branch exchange, through which additional information is
transmitted: Channel number, start/stop time call direction,
type of call, user login and source/destination telephone num-
bers. Only use with correspondingly configured channels. Addi-
tional option for VoiceCollect.

DCF77 Longwave coded radio signal from the Physical Technical Fed-
eral Agency (PTB) for time synchronization within a radius of
2,000 km around Frankfurt/Main, Germany.

DSE Digital Silence Encoding. Application for skipping and subse-


quently reconstructing pauses within recordings.

Filters Method of extracting VoiceCollect records which possess spe-


cific properties or characteristics.

GPS Satellite supported system for synchronizing time with the


international UTC time scale.

HDB3 High Density Bipolar 3. Bit encoding for digital data transfer,
e. g. in PABX. Similar to ➟ AMI.

Input sensitivity Only for voice operated control (in ➟VOX mode).
Threshold at which the Vox input signal is detected by
VoiceCollect. See also ➟ Vox sensitivity and ➟ VOX.

IRIG-B Protocol for time synchronization.

Jump during playback Function of VoiceCollect used to jump forward or backward


within a recording during playback.

Locking Temporary locking of the software. The password has to be re-


entered in order to resume work.

Loop Playback function in the VoiceCollect by which the defined


record section is constantly repeated.

Memory require- The memory requirements depend on the ➟compression.


ments When reaching the memory capacity of VoiceCollect, the old-
est unprotected recordings are overwritten according to the
➟FIFO principle.

PBX Private Branch eXchange. Switch equipment or extension sta-


tion.

PCM Pulse Code Modulation. The ISDN S2M interface card sup-
ports 30 PCM input channels in the PCM mode.

Protecting Option for marking recordings in the VoiceCollect. Prevents


deletion for a configurable period of time.

S0 Also described as ISDN BRI. Basic Rate Interface. Contains


two B channels with 64 kbit/s and one data channel (D chan-
nel) with 16 kbit/s.

Term Description

S2M Also described as ISDN PRI. Primary Rate Interface. Contains


30 B channels (E1) with 64 kbit/s and two D channels with 16
kbit/s. See also ➟PCM and ➟S0.

Sampling Process by which analog data is converted to digital data. Con-


tinuous curves, such as amplitude, are depicted as digital events
during sampling.

Scan frequency (scan Frequency with which the analog audio signal is scanned. Pos-
rate) sible scanning frequencies for the HiFi card are 16 kHz (stan-
dard), 22 kHz, 32 kHz and 44 kHz (CD sound quality). Higher
frame rates increase the ➟ memory requirements and improve
the recording quality. See also ➟Sampling.

SNMP Simple Network Management Protocol. Protocol for the


administration and surveillance of TCP/IP networks

VOX Voice Operated eXchange. Voice-activated. When the voice


breaks off, recording is stopped. VoiceCollect uses this process
to determine when recording should begin and when it should
stop. This means that recording takes place only when some-
one is speaking.

Vox epilog (stop Only for voice operated control (in ➟VOX mode).
recording epilog) Delay between the recognition of a pause during recording and
the stopping of recording. If the pause exceeds the stop record-
ing epilog, the recording is stopped. See also ➟Vox prolog.

VOX level (threshold) Threshold at which the VoiceCollect detects an audio signal.
Only for voice operated control (in ➟VOX mode). Must also be
set for ➟DSE recognition of ISDN cards.

Vox prolog (start Period before the start of the recording that is automatically
recording prolog) stored with each call. The Vox prolog prevents the loss of infor-
mation at the start of a call. See also ➟Vox epilog.

Wave audio format Not proof safe export format of the VoiceCollect. Standard dig-
ital audio format of the Windows Operating system.
