Section 1. SETTING-UP CALENDAR
Before starting to create activities in a project, the project calendar needs to be set. The project
calendar defines the working days and working hours. Any special holidays can also be set in
the calendar.
Step 1. Go to Project menu and select Change Working Time.
Step 2. Click on Create New Calendar.
Step 3. Rename the calendar as “XYZ Infra – Mumbai”.
Step 4. In Make a copy of, select a base calendar from already entered holidays can be
inherited. Select default Standard calendar.
Step 5. Go to Work Weeks tab in the bottom window.
Step 6. Click on Details.
Step 7. Notice that, Monday to Friday the worktime is scheduled from 8 am to 5 pm with
an hour break from 12 noon.

Step 8. Assume a 6-days working week. Select Saturday, select Set day(s) to these
specific working times.
Step 9. Enter following details:

From To
1 8:00 AM 12:00 PM
2 1:00 PM 5:00 PM
Step 10. Click Ok.

Section 2. ADDING HOLIDAYS (EXCEPTIONS)


Step 1. In the Change Working Time window, go to Exceptions tab.
Step 2. Add following holidays:

Republic Day 26th January, 2019


Holi 21st March, 2019
Independence 15th August, 2019
Day
Gandhi Jayanti 2nd October, 2019
Step 3. To repeat the holidays over the years, double-click on that Holiday (Exception).
Step 4. In Recurrence pattern, select Yearly. Repeat for all recurring holidays.

Section 3. SETTING PROJECT DEFAULTS


Step 1. Go to Project>>Project Information.
Step 2. Change Start date to 1st February 2019.
Step 3. Change Calendar to newly created “XYZ Infra – Mumbai”.

Step 4. Click Ok.


Section 4. CREATING NEW TASKS
Step 1. Tasks(Activities) are created in the Gantt Chart view by entering task names and
durations.
Step 2. Create following tasks:

Section 5. AUTO-SCHEDULING TASKS


Step 1. By default, tasks are manually scheduled (start and finish dates are required to
be entered manually.
Step 2. Change the Task Mode to Auto Scheduled in the Gantt chart view.

Step 3. To copy same details in all the activities, select the Task Mode column.

Step 4. Press Ctrl+D.


Step 5. To set all new activities as Auto Scheduled, change New Tasks from the status
bar at the bottom to Auto Scheduled.

Step 6. To automatically update tasks, on any edit in the task details, go to


File>>Options>>Schedule. Under Calculation, set Calculate project after each
edit to On.
Section 6. SETTING PREDECESSORS
There are 3 methods to set relationships between tasks in MS Project.
Method 1 – Manually entering predecessor row numbers
Step 1. Select the successor task.
Step 2. Go to the Predecessor column.
Step 3. Enter the row number of the predecessor task.

Method 2 – Linking tasks using mouse in the Gantt chart


Step 1. Click-and-hold on the predecessor activity and drop it on the successor activity.
Step 2. Repeat for each task.

Method 3 – Auto-linking tasks in the order they are created in the task list
Step 1. Select all tasks.
Step 2. Go to Home>>Link Tasks. Or press Ctrl+F2.

Section 7. CREATING WBS


Tasks can be grouped and hierarchized together in multiple levels to create a work breakdown
structure.
Step 1. Select a task and press Alt+Shift+Right to push it one level down. Press
Alt+Shift+Left to pull it one level up.

Note - Adding a sub-task inside a summary task, makes the summary task lose its own duration.
The duration of the summary task is calculated from the durations and relationships of the sub-
tasks.
Step 2. Create following WBS:
Section 8. CHANGING RELATIONSHIP TYPES
There can be four types of relationship between tasks – Finish-to-Start (FS), Start-to-Start (SS),
Finish-to-Finish (FF), Start-to-finish (SF).
Step 1. To change the relationship type, in the predecessor column write the
predecessor number followed by the relationship type.

Or
Double-click on the successor activity, go to Predecessor tab, select the
predecessor and change the relationship type.
Section 9. ADDING LEAD/LAG
Step 11. Lead/Lag can be added by adding lag days in the predecessor column. A positive
value means lag, whereas a negative value denotes lead.

EXERCISE
1) Add a holiday on 14th February 2019 for Valentine’s day.
2) Add a recurring holiday on 25th December every year for Christmas.
3) Change the project start date to 10th February 2019.
4) Add an SS relationship from Columns of Tower A to Footing of Tower B.
5) Add a lag of 2 days between Columns and Beams & Slabs.
6) Add 3 tasks – Masonry (4 days), Plaster(2 days), Painting(2 days) under Walls.
