1. Explain the purpose of technical proposals.

A technical proposal is a document that is used to persuade a prospective customer. This


persuasion is to make customer adopt a solution to a problem or to fulfill a need offered inside
the proposal. A proposal can be written for a private as well as public company. There are two
types of proposals i.e. internal and external. Internal proposals are written for someone who is
inside the company you work in. the reason behind writing an internal may be elaborating a new
idea to higher authorities within an organization or may also be a solution to a complex problem
in a big project. Proposals may also be sent by a customer to a potential vendor. Such type of
proposals is known as request for proposals or RFPs and is solicited too. Those of the unsolicited
proposals are the ones where customer receives them without being acknowledged. When
request of a certain proposal is sent, it contains all the instructions regarding the required
demands. All the instructions in such proposals must be followed very critically.

2. Identify the audience requirements for technical proposals.

The main audience of the proposal may know the problem very well already. Yet writing the
background section of the proposal is very important demonstrating a particular view of the
problem. In case the proposal is unsolicited, it becomes a necessity to explain the background
section. It is of vital importance to convince the audience that there exists an issue or
opportunity. This all should be addressed properly. A proposal that concisely discusses the
benefits of completing the subsequent project appears to be an argument in the favor of getting it
approved. In such proposals, complete explanation of the likelihood of the project’s success is
the main audience requirement. This section in an unsolicited proposal is specifically important
as you are trying to sell something to the audience. Moreover, in some proposals one has to
explain explicitly a plan for the completion of the proposed work. This is a very persuasive
factor for the audience and may reflect to them that one has a sound knowledge of the field you
are leading the project in.
3. Explain the structure and content of a typical technical proposal document. (E.g.
title, author, date, introduction/background, proposal detail, justification)

Structure and content of the proposal is as follows:

1. Proposal Cover: covering information like:


 Name of the project
 Any project reference numbers
 Name of the client and contact to whom you’re submitting
 Name of your company and contact info
 Date proposal was submitted
2. Executive Summary: it is not the summary of the complete proposal and is rather the
executive summary to persuade on customer the benefits of the proposed item, company
or service whatever it is that you are offering.
3. Approach or Solution: This section is used to explain the approach that you should be
using to solve the client’s business challenges. This section also elaborates the process
involved. The proposal should not be a generic one and the client must see what strategy
you are going to use to reach the solutions to the proposed problem.
4. Project Deliverables:
 Social media audit
 Competitive analysis
 Content strategy
5. Project milestones: The project being proposed must have a timeline. The project and
deliverables must be broken into phases that in each phase what particular milestone you
tend to achieve.
6. Budget: a proper explanation of the budget that you may be using should be explained
briefly. Proposal must at least talk about how much money is required to achieve the
minimal requirements or what can be done with the available budget or what extra
finances you might require.
7. About team: explain yourself as a company or private or public organization who so ever
you are. The entire company structure, its existence, its work etc. should be explained to
the client.
8. Terms and Conditions: You have to make the client aware of what the closing conditions
would be and how to proceed to close the sale. This could be better explained using
statement of work.
9. Conclusion: While usually most of the proposals do not have a conclusion, yet it is very
important to finally conclude the main ideas, significant content at the end to make the
client think upon the offer once again before closing it.

Also a computer that has enough battery time that it could remain powered on even on power

1. Explain the purpose of technical specifications

Writing a technical specification is the major pre-requisite of any big project. Before getting into
the assembling phase it is very important to specify the technical details of the project. The
reason behind writing technical specifications is to provide clear instructions regarding the
content, performance of the project and its development. The technical specifications further
elaborate the quality and standards that would be imposed in the project. The products, materials
and their manufacturers are also explicitly defined. Identification of the installation required,
testing techniques and delivery details is done. The models and drawings are sometimes not
enough to explain the technicalities of the project, thus we make use of the technical
specifications to provide a more elaborative and descriptive picture of the project. It may also
include the cost analysis of the whole project including products, materials, workmanship etc.
Giving clear and précised information as technical specifications helps saving time and money of
both the customer and the project team as the customer already has elaborative answers to on site
constructing questions.

There are different types of audiences that may come across the technical document that we
would be writing. Some of them are experts, some are intermediates and some are technicians.
Not every person knows and is aware of the modern technology. Thus your technical
specification document shall be written keeping in view the audience who will be reading it.
Sources chosen to explore the technical requirements should be mentioned in the document
creatively. The language should be easy to understand and not so advanced so as to make a client
of medium caliber also understand it. Prototypes should be used in order to not miss any
important information. It is important to mention understandable interrelationships, costs,
priorities, implementation plan, sources used, etc. The entire background information must be
thoroughly explained to make the audience first build the basic picture of the project or product
in their minds. Every technical detail must be mentioned so as to make the audience get answers
to their constructive questions.
3. Explain the structure and content of a typical product specification document.

A product specification document must include the following points:

Title of the Product: Explaining what it is you are going to talk about

Summary: what are your basic ideas behind the project of product?

Business case/scenario: what is the long term value of this business, project or product?

User stories: what will the user attain from this project and accomplish as a result?

User personas: The solution belongs to whom?

Design Specification: How will you design the project/product? What would be the outcomes of
the work? How will the solution look like in the end?

Functional Specifications: technical details of the entire process and the end solution. This part
should be written extensively.

Success Metrics: explaining the success metrics of the project for the proposed features. How do
these features make a difference?

Conclusion: The final words comprised in the form of a short summary elaborating all the ideas
and a convincing sentence at the end to convince the customer.
