 What are different office equipments and its functions?

1. Computers – are an integral part of every office, which means every employee
need a personal desktop or laptop for their use. It is commonly used in offices
and helped to improved efficiency and accuracy of office worker by providing the
different software and communication functions to help execute work tasks. It is
also a machine which is to perform store information, retrieve data and process
information. These days, a computer can do almost anything. When it comes to
the office environment, its main functions are recording, calculating and storing
important corporate data that can be easily accessed at any moment. If the office
has Internet, computers also provide convenient means of communication inside
and outside the company, as messages are delivered instantly.
2. Desks or Office Tables – is a piece of office furniture with flat table – style work
surface used in school, office, home or like the professional or domestic activities
such as reading, writing, or using equipment such as computer. It has some
includes such as steel desk and mobile desk. Tables in an office must be
spacious as well as not bulky. In the sense, they must provide enough space for
the employee to arrange all their stuff but must occupy very little space by itself.
3. Office Chairs – is a type of chair that is designed for use at a desk in office. It is
usually a swivel chair, with a set of wheels for mobility and adjustable height.
There are different types of chairs available for office purposes. The most
common ones used are the ones with a contemporary look and have a
comfortable backrest that does not put pressure on the spine.
4. File cabinet – is a piece of office furniture characterized by drawers that hold
paper in vertically placed folder. It is mainly used in store documents and
facilitate organizing. Confidential reports have to be kept locked in cabinets so
that they cannot be accessed easily.
5. Printer – is a device used for converting digital documents into printed ones. It
vary in size, speed, sophistication, and cost. It is an office machine which
incorporate the functionality of multiple device in one. It can be used not just to
generate transfer electronic files to paper but also to create documents
containing digital information and scanned images. The function of a printer is
very clear: it prints things. Depending on the model, it can print anything, from
small photos to large posters. A printer is a very useful machine that makes
working at the office much easier, as it can print many copies as long there is
paper.
6. Scanner – is a device that captures image from photographic prints, posters,
magazine pages and similar sources of computer for editing and display. The
purpose is to quickly digitize analog information for storage in a system record.
Scanners come in handy when you need to digitise some old
documents or scan a physical photograph of a new employee. Additionally,
you can even transform the scanned documents back into text form with the use
of additional software.
7. Laminators or laminating machine – are used to provide a protective covering for
important documents in office. Moreover, it provides a protective barrier against
moisture, stains and finger prints. Thus, the purpose is to embellish printed
documents or images and generally underutilized in most offices.
8. Paper Shredders – are mechanical device used to shred or cut paper into small
pieces or fine particles. It is used to destroy private, confidential or otherwise
sensitive documents. Every company has confidential materials that should
never end up in the wrong hands. This includes personal files on past and
present employees, secret files or financial documentation. If there were a need
to dispose of them, it would be inappropriate to simply throw them in the trash, as
someone might find them and use them to their advantage. That is why most
offices need shredders. They come in all sizes: some are as small as shoeboxes,
while others are as large as closets. The size of a shredder should depend on
the size of the company and the amount of documents that might need to be
destroyed.
9. Typewriter – is a mechanical device to produce printed character on a piece of
paper by typing individual keys. It is used in all business office, a neat and legible
writing of information are possible through this.
10. Paper Cutter – is a mechanical device used to cut or trim large stacks of paper or
documents at the same time. Paper cutter are also used for cutting thin sheet
metal, cardboard, and plastic. The blade of paper cutter is made of steel, which
provides long – term durability. The steel blade can be resharpened as needed.
11. Telephone – device that coverts sound and electrical waves into audible relays,
and is used for communication. It consists essential parts such as microphone
and speaker. It can help in office by calling the clients or important person in
office.
12. Photocopier machine – is a machine that makes copies of documents and other
visual images onto paper or plastic film quickly and cheaply. The main function is
to produce paper copies of documents in office necessary.
13. Fax machine – a device that sends and receives printed pages or images over
telephone lines by digitizing the material with an internal optical scanner and
transmitting the information as electronic signals. The main way of quickly
communicating in the office setting and once considered an indispensable piece
office equipment.
14. Label markers – might seem more like an extra than a needed piece of office
equipment and many wonderful ways in which business office can be better
organize such as to create file folder labels, create name tags and identify
computer hardware.
15. Headset - the main function of an office headset is to improve the sound of your
voice on calls. You don't want to sound too distant and sunken, or too loud and
bright; either effect can make you hard to understand. It can used in office for
easily understand for what you hear in computer through this.
16. Adding machine or Calculator - machine capable of adding numbers and
sometimes capable of performing the other arithmetic functions of subtraction,
multiplication, and division: such machines are now obsolescent, having been
replaced in most applications by electronic calculators. It can help in office
through calculating or adding the expenses.
17. Binding machine - is a useful tool to effectively create a bound copy of
documents, presentations and important hard file copies . Binding machines used
in an office can fulfill many different business functions.
18. Bulletin board and Whiteboard- serve multiple purposes. They can convey a
variety of information from board meeting in office in which they can post or write
it for the new plan in office that should be done. Through this, the workers will be
aware and prepared. Whiteboard is a board that cannot be permanent written it is
only nonpermanent and easily to erase using eraser. It will help to be confidential
the meeting have done it’s only the board can know.
19. Projector - is an optical device that projects an image (or moving images) onto a
surface, commonly a projection screen. Most projectors create an image by
shining a light through a small transparent lens, but some newer types of
projectors can project the image directly, by using lasers. In office, it will facilitate
to present the presentation clearly to the board member in office.
20. Biometrics – is a device is a security identification and authentication device. In
office, it can use through time in and time out in the work. In order to record your
work performance as well as to identify your identity.
21. Office Papers - are needed all the time for various printing purposes. No matter
how paperless an office would be, important documents like appointment letters,
invoices, and vouchers must have a hard copy. Paper is also used for printing
important notice board highlights.
22. Folders and Files - the office is a place wherein the organization plays an
important role. Leaving papers lying around and simply stacking the workstation
with stuff is not something that is acceptable. Files and folders step in, to make
things organized. Document binders, report covers, card holders, folders all fall into
this category.
23. Copiers - are slightly outdated but still useful machines that allow you to make
almost infinite copies of whatever you need. While printers and scanners are very
reliant on computers, copiers can copy things without them.These days, most
offices purchase machines that carry out the functions of printers, scanners and
copiers all in one. They are bulkier and slightly more expensive, but they are
much more convenient, as you can scan, print and copy things using one
machine and not three.
24. Office Stationary - All the machines we have mentioned are great and all, but
most of them cannot function without such a simple thing as paper. Therefore,
one of the most important things on this list is stationery. Apart from paper, this
also includes pens, scissor, staples, paper clips, sticky notes and other things.
Stationery has many functions, from keeping things together (scotch tape, paper
clips or staples) to labelling and serving as a reminder (sticky notes, markers and
pens).
25. Miscellaneous electronic equipment - some offices also have webcams,
headsets, TVs, air conditioning units and so on. These things are not obligatory,
but they make working at the office more pleasant. In addition, there are also all
sorts of Internet equipment, including modems, Wi-Fi routers, ports, servers, etc.,
which are important for larger companies . Through this the office will easily
to search or find ways to connect the clients especially in business.

Thus, these are office equipments that are relevant, useful and should
be appreciate. It can help offices to improve and can’t be difficult to their
works.
