OWN YOUR COMPUTER POLICY - INHOUSE


Effective from: 1st Apr'10

Objective
The objective of this policy is to provide a loan to employees of Artech to own a personal computer (PC/ Laptop).

Scope
This policy explains the eligibility, description and procedure for applying to own the personal computer.

Eligibility
This policy applies to all in-house employees those, who have completed one year with the organization and it does not
apply to:

• Onsite employees
• Employees on Bench
• Project Trainee
• Contractual employees
• Employees serving Notice period

Procedure
 Artech provides its employees the option to buy a new PC as per the employee's choice. The program is named as
Own Your Computer (OYC).

 The maximum loan amount for the purchase of a PC with accessories is Rs. 50,000 subject to the availability of
funds.

 The employee would own the PC. Artech would finance upto a maximum of 75% of the cost of the computer and
accessories; the employee must pay 25% of the cost. The contribution made by the organization under the OYC
program would be treated as an interest free loan. Any kind of tax liability applicable on the loan amount will be
borne by the employee.

 The maximum repayment period is 12 equal monthly installments. An employee can repay the loan earlier than
12 months if desired. The mode of payment will be only by cheque.

 If an employee separates or is terminated by Artech, s/he shall return the balance due of OYC funds on the date of
separation or termination prior to leaving the company.

 An employee who borrows OYC funds shall sign a Loan Agreement alongwith the promisory note promosing to
repay the amount financed by the organization.S/he must submit a Post Dated Cheque (PDC) towards payment of
the loan amount, any unused PDC will be returned to the employee once loan is repaid completely.

 OYC Loan Application process.

 The employee must complete the formalities for applying the OYC Loan, provide a copy of the invoice, and
submit them to the Finance Department.

 The Finance Department will review the documentation. After approval, the Finance Department will give a
cheque (payable to the computer vendor) to the employee and inform payroll about deductions of monthly
installments to be taken from the employee's salary.
