1.1 MESSAGE FROM THE DIRECTOR

To my dear A-1 family,

I hope you and your loved ones are safe and healthy. These have been crisis
like none other faced by mankind for a long long time. However, history also
tells us, whenever humanity has faced crisis of this proportion, it fights back,
and eventually prevails over the circumstances. And this will be no different.
Mankind will overcome this, there is no doubt about it.

I am even more sure of A-1 Fence. The spirit I have seen within this one large
family of A-1, is remarkable. Through these last few weeks, I have spoken to
so many of you, and the courage I have witnessed has inspired me.

After the lockdown, the time has come for A-1 Fence to rise and get back to
work, and get the engines of our company, our country, ignited.

While we are all relieved to be back to our favorite place, and back to what
we love doing, we have to pay utmost care to health and safety. I can not
overemphasize the importance of taking this with utmost seriousness. Our
team has prepared very minutely every step that needs to be taken to keep
ourselves safe. It has to be followed to perfection. There is no room for error
here. With folded hands, I request you all to follow every instruction that is
being published by the plant management. Our Prime Minister said "Every
person must act as if he or she is infected, and has to protect all others
from the infection". If we can keep this in mind, we will automatically follow
every instruction very very carefully.

1.2 MESSAGE FROM THE PLANT HEAD

Dear Colleagues,

First of all, I want to thank each and every one for your patience and courage
in this one of the rare and difficult times ever we lived. This Covid -19
pandemic situation in the country and world has forced all of us to live a
never before lifestyle. “ Away from the routine work for 4 weeks, isolated
inside houses, no access to markets and malls, taking care of kids without
letting them go out in playgrounds and parks and of course not in schools
and much more”. Dear Friends this all needs different levels of discipline and
self control. This was a test for all of us where we had to participate
in a fight against the invisible, a fight with the next level of rules, we never
practiced ever. I congratulate you for passing this test of resilience and I am
sure all of you have become New You.

Risk of Pandemic has not ended and war is still on. Administration has given
flexibility in industrial operations with some rules and regulations. Which are
non negotiable and breaching of these rules can impact our permission to
operate and will take our society at risk of a boost of this pandemic
situation. We all need to practice these rules in our way of working while at
shop floors, travelling and at our homes. Our team members have put in a
tremendous amount of effort to understand these regulations and made a
draft of the way of working according to these requirements.

Now it is again the time for showing the same discipline at work. Only our
Discipline is going to help us keep our colleagues safe, our society at no risk
and our country respect at a higher level. Don't
forget our attitude towards our nation will help us respect these set rules.

02 Purpose

PURPOSE

A-1 Fence is committed for social empowerment and people care in our
community so we need to take all precautions which helps for our
stakeholder’s health and safety in this COVID-19 pandemic
situation in our manufacturing environment.

The primary purpose is to describe the steps that all A-1 employees,
Contractual workers, vendors and all other stakeholders should follow in this
COVID-19 pandemic for their health and safety.

It shows our roles and responsibilities as well as to provide a common


approach for our daily work at A-1 Fence manufacturing environment for all
A-1 employees, workers, vendors and visitors.

To provide proper guidelines to start-up A-1’s plant operations with


machineries, equipment and production line after this COVID-19 lockdown to
avoid any risk in the organisation.

BACKGROUND

In this section we will see the action need to be taken at different locations
and conditions considering this COVID-19 pandemic situation.

4.1 STARTING FROM HOME TO WORK


4.1.1 At Home to Work
Purpose: Employees should aware and declaring their health status

Self-examination on health status at home before starting for office.


Start to office only when the employee is healthy.
If an employee is feeling sick, having severe cough, sneezing and difficulty
in breathing, stay back at home. Take rest and consult a family Doctor as
soon as possible.
Report to supervisor and Company Doctor as well for record.

Purpose: Ensure employees maintain social distancing and respiratory


hygiene.

Purpose: Ensure social distancing at gate while entry and exit.

Do not touch gates from your hands


Maintain social distancing in queue
Clean hands using sanitizer after moving from gate
Disinfection of gates to be done frequently by Security team

4.2.2 Punching at Attendance Machine


Purpose: Ensure social distancing and avoid touching attendance machine

Use New HRIS system for punch in and out in company premises by online
punch facility.

Purpose: Ensure social distancing, hand hygiene and respiratory hygiene.

MANUFACTURING DEPARTMENT

Safety Measures :
All the safety measures shall be strictly followed by every individual as per
the guideline provided by HR/Safety Officer and this manual.
All the necessary things to follow the safety measures such as Face Mask,
Hand Gloves, Hand Sanitizers etc. to be provided by HR Dept.
Every Individual shall maintain social distancing (1 meter) with each other.
Disposal used PPE in the dustbin with cover or as per safety guideline.
Every individual shall ensure that used PPE are handled with responsibility
and disposed as guided by the HR/Safety department.

the factory campus.
Will be Allowed work from home who could manage even after lockdown
opened.
Start the operation (Store & dispatch) should be limited as per
minimum requirement.
Compulsory Wear masks & Dispose them properly.
Make Proper Distance with Outside Vehicle Driver’s. Instructions to be given
to driver’s not to roam around the packing area or any other premises.

available on floor most of the time.
All Production staff shall follow the guideline provided by HR/Safety Officer right
from entering the main gate, shop floor, tea break, lunch break to exit from the
factory campus.
For carrying out activity on N-Computing such as Data Entry, ERP Entry etc. only
shift engineers should do the needful.
In weld mesh machine area demarcation for standing of machine operators so
that social distance can be maintained. Need to work as per defined location
considering social distancing.

factory campus.
At a time only 1 person allowed to do sitting work in fabrication cabin as per social
distancing
For carrying out activity on N-Computing such as Data Entry, ERP Entry etc. only
shift engineers should do the needful.
For korev panels fabrication at least 2 meters distance between two Welding
fixtures so that alternate welder and fitter distance would be maintained. If work
on the other orders or on the same job need to maintain social distancing.

All Quality Staff shall follow the guideline provided by HR/Safety Officer right from

campus.
At a time only One no. inspector in Quality Lab. for carrying out testing activity.
Only one inspector in a shift shall be authorized for carrying out lab testing activity.
All other inspectors who are using the lab shall be restricted to use the lab, they shall
provide the samples to the inspector in the quality lab for check.
There shall also be a restriction to use the Lab PC by all the quality inspectors except
for the inspector who has been authorized for the Usage of Quality Lab. For carrying
out activity on PC such as DATA Entry, ERP Entry etc. For preparations of inspection
report All the inspectors shall be provided a dedicated space on the shop floor in
their respective working area. (HR needs to arrange the same).

In the packing area ladies should pack accessories on tables and only 4
nos ladies per table.

Grasp whether employee and his/her family members are healthy

All visitors/contractors/vendors to wear mask compulsorily


Checking body temperature is mandatory. If found sick, visitor will not be
allowed

COVID-19 CASE
4.4.1 Classification of Cases

CASE DEFINITION
WHO periodically updates the Global Surveillance for
human infection with coronavirus disease (COVID-19)
document which includes case definitions.
For easy reference, case definitions are included
below.

SUSPECT CASE

A. A patient with acute respiratory illness (fever and at least one


sign/symptom of respiratory disease, e.g., cough, shortness of breath), AND a
history of travel to or residence in a location reporting community
transmission of COVID-19 disease during the 14 days prior to symptom
onset.

OR

B. A patient with any acute respiratory illness AND having been in contact
with a confirmed or probable COVID-19 case (see definition of contact) in
the last 14 days prior to symptom onset;

4.4 CLASSIFICATION & RESPONSE PLAN OF
COVID-19 CASE
4.4.1 Classification of Cases

OR

C. A patient with severe acute respiratory illness (fever and at least one
sign/symptom of respiratory disease, e.g., cough, shortness of breath; AND
requiring hospitalization) AND in the absence of an alternative diagnosis that
fully explains the clinical presentation.

PORTABLE CASE

A. A suspect case for whom testing for the COVID-19 virus is inconclusive.
a. Inconclusive being the result of the test reported by the laboratory.

OR

B. A suspect case for whom testing could not be performed for any reason.

CONFIRMED CASE

A person with laboratory confirmation of COVID-19 infection, irrespective of


clinical signs and
symptoms.

Dry Run of Machines, Robots & Conveyors Battery drain out , Inspection of
Compressor oil and machine oil - Maintenance/Production.
Testing Room & labs equipment functioning and PC Lab equipment
on the day of start of plant - QC/PC Team.
Checking of all electrical panel including HT, LT, Transformer Yards etc -
Maintenance
Cooling Tower Water Replacement for Weld Shop - Maintenance/ WM
Team.
Checking the functionality of IT Servers & Network Devices - IT Cell
Need to do maintenance of cranes on priority with routine check up of
vibrators and mixtures then we can start activities at stations -
Maintenance.

Responsibilities
4.4 CLASSIFICATION & RESPONSE PLAN OF
COVID-19 CASE

Powder coating needs to be taken for preventive maintenance for 7am to


7pm as 12 hours in mean time manpower allocated for different necessary
activities in production - Maintenance/PC Team
Defining break timing in a staggered manner to avoid rush at canteens,
water centres, wash rooms,Demarcation should be done - HR.
Safety Precaution communication on a regular basis to each team
member. Do’s and Don’ts to be briefed to all employees (prior to plant
start up) through WhatsApp or text messages (Regarding social
distancing, Hand wash, Punching etc.) - Safety head/HR team/SPOC.
Seating plan with alternate/special seating arrangement to adhere social
distancing across plant and Tea areas / canteens / Offices - HR
Arrangement groceries, vegetables and dairy products must be washed
properly to avoid virus spread - HR
All incoming trucks, materials, Components shall be properly sanitized or
fumigated - Store
Production team will ensure smooth start up of all production and related
activities as planned during shut down days - SM
Safety team in coordination with HR will ensure briefing employees after
medical screening in a lot of 10 to 15 employees about COVID 19 related
precautions arranged and importance of social distancing, masks inside
plant premises - HR/EHS.
Self Declaration on a template by every person entering the plant about
their travel history, family members health and any symptoms of COVID
19 during lock down period - HR.
Persons coming from COVID 19 sensitive areas and outside Maharashtra
state should be self quarantine for minimum 12 days prior joining
workplaces - HR
