Dear Colleagues,
World is going through one of the most unprecedented and difficult crisis of all times in the form of Novel
Coronavirus (COVID-19) outbreak. Amidst this crisis, we remain committed in our utmost focus on the Health and
Safety of our employees and their families. This difficult and challenging situation posed by the COVID-19 pandemic,
has reinforced the need to renew our focus on the health and safety of employees, their families, external
stakeholders and the ecosystem at large.
Responding to this pressing crisis, GAIL immediately implemented a comprehensive crisis management plan to take
action timely and effectively. Here, I would like to extend my sincere thanks and appreciation to each one of you for
supporting and continuing the operations of process plants/ project work even during this crisis with skeletal man-
power and also to those who have ably supported by working from home. I wholeheartedly appreciate the
indomitable spirit that all employees have demonstrated in these trying and challenging times.
After successfully navigating through this crisis till now with the combined efforts of all, I am pleased to say that we
are opening our operations in a staggered/phased manner. I urge you to please re-join with full vigor and
enthusiasm as the crisis is far from over and requires our focused and dedicated efforts to support the nation in
meeting the energy needs. As we look forward to resuming operations post lockdown, our team under the leadership
of Director (HR) has formulated an SOP which will guide to ensure the health and safety of each one of us, our
families and our colleagues.

Message from Director (HR)
My dear GAILians,

It’s a matter of immense pleasure and pride for me that all GAILians have shouldered their responsibilities towards
their family, the organization and the nation as a whole with great vigor and enthusiasm. It’s also a matter of great
relief that all GAIL employees and their families are safe and healthy and following all the Government directives
thereby supporting the country in its endeavor to contain the spread of coronavirus infection in India.

Though the crisis is not over yet, we are taking cautious steps towards resuming normalcy by opening the office in a
staggered manner. However, it is extremely critical, that we take all precautions to ensure that our combined effort of
following the long lockdown period is not defeated. Accordingly, a "Standard Operating Procedure (SOP)-for Work
Resumption after lockdown" has been formulated to re-open work places but at the same time ensuring the health
and safety of all the employees and stakeholders.

This SOP will facilitate us in resuming work after lockdown but at the same time successfully break the chain of spread
of Coronavirus infection. It is extremely critical that all the precautionary measures are followed at all offices, plants,
project sites and GAIL townships so that safety and security of all GAIL employees/contract workers are ensured. This
SOP is to be read in conjunction with other guidelines issued from time to time. This SOP will be updated based on
the developments and the latest guidelines issued by the Government Agencies and/or decision of GAIL management.

During this time of unprecedented crisis, it is extremely crucial that we maintain our physical and mental well being
and there is no iota of doubt in my mind that together we can successfully navigate through this crisis and emerge
stronger than ever before.

Standard Operating Procedure for Work
Resumption after Lock down
Effective Date: This SOP shall come into effect based on the advisory issued by
Corporate Office from time to time.

1.0 Purpose:

The purpose of this Standard Operating Procedure (SOP) is to describe the procedure
to be followed for resuming work from work places.

2.0 Introduction:

This SOP is prepared to extend guidelines for ensuring safe and secure work place for
all stake holders viz. Employees, Contractors, Suppliers, Customers, Contract workers,
Trainees, Visitors & Family members of employees. All precautionary measures are to
be ensured at Offices/ Plants/ Project Sites/ Townships of GAIL.

Dedicated Task Force/ Helpdesk
— Dedicated Task Force/ Helpdesk has been created at Corporate Office to coordinate all efforts towards
prevention and containment of spread of Coronavirus:

§ Similar Task Force comprising of HR, Medical, Security and Fire & Safety personnel (headed by HR) to
be constituted at all work centres/offices to coordinate efforts towards dealing with this crisis and
ensure management of the canteen, visitors, employee health monitoring, body temperature checking,
disinfection/fumigation, availability of PPE, Sanitizers, Maintenance, etc. The name and mobile numbers
of the dedicated task force/helpdesk to be notified by the concerned work centres/offices.

WHO WILL REJOIN WHEN?
The joining back of employees will be done in phases with timelines and dates being
intimated as per the evolving situation and in consultation with the Executive
Management.

Concerned OICs/ WICs at work centres and HoDs at Corporate Office to take the decision based
on evolving situation and considering the work load/exigencies of different departments as well as
based on the business and operational requirements. Minimum possible manpower required for
operation, maintenance, coordination and other linked activities to be called for attending work
place in order to maintain social distance.

Working days/ working hours shall be decided based on the emerging situation.

2.1BEFORE DAY OF OPENING
Before Start of Work
• Employees to take ownership in declaring their health status as per
the prescribed proforma.
• Evaluate each employee’s health situation (based on self-
certification). Permit employee to attend office only when the
employee is healthy. Those requiring monitoring will be referred for
medical advice before resuming work.

• People having symptoms of fever, cough, vomit, diarrhoea, etc. should


be directed to not resume work without reference to the Medical staff.
Details of such employees to be shared with OIC/WIC at work centre
and HoD at CO & Company Doctor/Helpdesk

Every employee including out-sourced work force should register


himself/ herself in “AAROGYA SETU” mobile application,
developed by Government of India in order to track down details of
CORONA affected persons.

BEFORE DAY OF OPENING
PEST CONTROL AND FUMIGATION of the
entire premises, employee transport,
forklifts/stackers and other critical areas,
washrooms, toilets, canteen, hand wash
areas etc.

DISINFECTION AND SANITIZATION


of all common areas by properly PPE
equipped in-house teams.

ADEQUATE STOCK OF THE PPE including digital


scanner thermometer for each work centre/ office
and one mask per day per employee/ contract
worker to be provided. Local HR/taskforce to
ensure the availability of adequate supply of above
materials.

OTHER PREPARATIONS BEFORE
WORK PLACE REOPENS
Earmark and set up team/task force consisting of HR, Medical,
Security and Fire & Safety personnel (headed by HR) for
management of the canteen, visitors, employee health
monitoring, body temperature checking, disinfection/fumigation,
availability of PPE, sanitizers, maintenance, etc.

Give training and guidance to relevant


people including security, housekeeping
and Admin staff who will be responsible to
maintain discipline and hygiene.

DISCUSSIONS WITH VARIOUS CONTRACTORS

for adequate labour availability accordingly.

COMPULSORY SCREENING OF ALL
Temperature checking of all employees and contractual workers shall be done
daily in the morning before entering work place at the gate. All visitors (suppliers,
vendors, contractors etc.) will also be checked before being permitted entry. If it

is beyond 99℉, they will not be allowed to enter the work place. They will be

isolated and their temperature taken again. In case the recorded temperature is
still high then the person will be sent home immediately.

In case temperature of an employee during the routine check is found beyond

99℉ during the working time, escort them, taking all precautions, to the

designated quarantine room and inform the medical staff and HR immediately.
The person will be allowed to rejoin work only after Doctor’s advice.

WORKING GUIDELINES FOR
WORK PLACE
Employees to work from their seats only
and avoid going to other’s seats.

No physical meetings.

Use VC/Conference Calls. Strictly adhere to the


social distance of minimum 6 feet.
Avoid hard copy files/papers to the extent possible.

Workers to maintain social distancing of 6 feet at all


times (tool-box meeting, tea-time/ lunch time, gate
entry time).

WORKING GUIDELINES FOR
WORK PLACE
Lift: Not more than 2/4 persons (depending on the
capacity/size) are to be allowed to travel.

Staircase: Use of staircase


instead of lift to be encouraged.

Personal/commercial vehicles: Only one passenger


besides the driver of four-wheeler vehicle to be permitted
in the backseat and in case of two-wheeler, only driver of
the vehicle to be permitted.

Office Buses: Official transport vehicles to be


operated at 30-40% passenger capacity.

WORKING GUIDELINES FOR
WORK PLACE
Strict ban on gutka, tobacco etc.

Spitting should be strictly prohibited.

Hospitals/clinics in the nearby areas, authorized to


treat COVID-19 patients, should be identified and list
should be available at work place all the times.

SANITIZATION AND UPKEEP OF
COMMON PLACES / UTILITIES

— The common and more critical/frequented areas will be disinfected at least once every day.

— The disinfection/fumigation will be done with Fresh Chlorine solution or Sodium Hypochlorite
through in-house teams.

— Avoid use of ACs to the extent possible and use natural ventilation. Keep all doors and windows
open. Ensure all AC Filters checked and clean.

— Ensure regular cleaning of washrooms / toilets specially disinfecting of taps, knobs, handles etc.
Housekeeping and Admin staff to ensure all working areas are clean and hygienic.

— Availability of sanitizer/hand wash soap solution/paper towel in sufficient quantity at all common
points.

— Ensure all electronic items such as PC, printer, telephones, electrical cables including other utilities
like electrical equipment, DG set, welding machines are not damaged and are checked before
putting in operation.

— Any indoor plants placed for long time to be replaced.

KEEPING DISTANCE IN
CANTEEN
A minimum distance of 6 feet to be maintained between two
diners when having food in canteen. Sitting will be so arranged
that no one will sit face to face and will talk while having food.
Moving off the dining chair is strictly prohibited.

Food and water will be served by the steward and the


employees should not touch anything other than their own
plate and glass. The same will be disposed off in hot water
after clearing all food leftovers.

Staggered food timings in different and small batches. No


waiting at the entry to canteen will be permitted. Employees
will move directly from the work place to the table and back.

Any laxity, indiscipline and failure to follow the above norms


will force the Management to CLOSE the Canteen services in
the overall interest of all employees.

VISITOR MANAGEMENT

Entry of visitors, including GAIL employees from other units to be


banned/discouraged in all work places. A visitor may be permitted in most
exceptional and important situation only after pre-approval of the OICs/WICs at work
centres and HODs at Corporate Office. All restrictions and protocols against COVID-19
shall be adhered to. Visitor will not be permitted beyond the reception area and will
not be allowed to meet anyone other than the designated person.

USAGE & DISPOSAL OF MASK
Each employee/ worker in the office / plant to be issued one mask/ day.
No one, including visitors, will be allowed to enter the office / plant without
wearing a mask.
All must wear the mask at all times and can remove it only while having
meal or drinking water.

SAFETY @ TOWNSHIP
Employees and their family members to avoid frequent
movements outside the township and choose to stay at home.

Residents to use face mask whenever stepping


outside home or visit any common facility.

Avoid inviting and entertaining guests or friends/


family at home to ensure social distancing.

Avoid engaging maids/outsiders for household work.

Entry of outside visitors to be avoided at


Guest House to the extent possible.
Entry of suppliers such as online retailers viz. Amazon, Flipkart, Big
Basket, etc inside township to be avoided and employees to collect
their package at the entry gate of township.

Vendors/shop keepers to wear protective equipment


such as face masks, gloves, etc in Township.
Vendors to avoid cash transactions and
use e-transactions, to the extent possible.

Social distancing and queue system to be strictly adhered to when there is


gathering of people at shops, banks, religious places, other common places, etc.

Yoga & Meditation: Yoga will help calm your nerves & boost
immunity while meditating everyday will help reduce stress,
decrease anxiety and improve cardiovascular health.

Workout: While working out in the open is not


an option now, there are a lot of home
workouts that can keep our physical and
mental health in optimum condition.

Eating healthy while at home: A healthy


diet can help in reducing the chances of
cardiovascular ailments, diabetes, obesity,
as well as depression and anxiety.

Pursuing your hobby: It’s that time to pursue that


hobby that has always brought you happiness. For
some, it may be time to sharpen their culinary abilities
or resuming the painting/reading/music that they have
put on hold given their busy schedule.
