SECTION ONE

1.0 INTRODUCTION

1.1 ORGANISATIONAL BACK GROUND


Chiba Tours and travel limited is a private owned company found at garden city new basement. It
was founded in 2009 by professional entrepreneurs. Mr Sekamate having traveled world wide
and lived in Japan for a long period acknowledges and appreciates that Uganda has a great deal
to offer in terms of tourism sights. Mr. Sekamate Twaibu and Mrs. Mariam Walugembe set up
this company with the intension to encourage Ugandans and the world at large to value there
mother land Uganda(Pearl of Africa) ,promote tourism sector in Uganda and facilitate easy air,
water and ground travel through efficient organization in cutting edge packages as well as
providing specialized clientele advice.
The company with meager resources however, has high potential of growing to leeps and bounds
that will see the company join the ranks of some of the leading tour companies in east Africa
considering the rate at which it is progressing.

1.2 Company profile.

During the first years of its operation, Chiba Tours and travel developed its website which
attracted over 5000 hits with a number of visitor travel and tour inquiries. The company set up
permanent office and acquired 4x4 vehicles which have all been designed to suit safaris and
game viewing.

The company is always looking for opportunities to broaden but ensures that growth will not be
at the expense of quality.

1.3 Vision.

Chiba tours and travel do to be the leading tour company locally and internationally through the
provision of unparalleled services. To entice Ugandans to fully be conscious of the scenetic
magnificence, diverse culture, abundant world life, wonderful landscape they possess in there
motherland country and fully enjoy. Value its existence just as the foreigners who not only desire
to group it but do leave their home countries to explode leisure and pleasure in our country
“gifted nature”.

1.4 Mission

To encourage Ugandans to appreciate he beauty of their mother land , promote the tourism sector
in Uganda through all forms of sensitization, facilitating easy air , water and ground travel
through efficient organization of cutting – edge packages as well as offering professional
clientele advice and in so doing contribute to national development.

1.5 Company values

Customer care professionalism and dealication (loyalty, duty, respect selflessness service,
integrity, honor and personal courage) are some of the core values that underpin the business
approach of Chiba Tours and travel. Chiba tours and travel has established is self as a strong and
reliable company that generates quality, consistency and competitive prices, other core values of
the company are originality, modernization, flexibility, quality, customer service and
accessibility.

1.6 Objectives of the organization

To take tour participants safely of their confront zone and into the twenty of the pearl of Africa
where beautiful geographical features live.

To expose participants to the beauty of Africa its people, the eco system and the ability to be
happy with few of the material comfort in life

To take back in a community based project that will have a direct impact in on the lives of the
rural hard to reach communities they reflect on it many years to come and always feed to be part
of it.

To have opportunity to experience a village stay and life in hard to reach rural communities in
Rakai and Mubende Districts a typical African Rural setting.

To be able to emphasize with those in the world including your home country who through no
district fault on their own are notable to enjoy the some comfort which people in developed
world.

To make lasting friendship and possibly to know what makes Uganda pearl of Africa.

To promote domestic tourism in Uganda.

To encourage investments in the tourism sectors and where possible to direct such investments to
the developed tourism sector.

To undertake and commission appropriate research in the field of tourism.

Executive Director is the head of the company and manages all activities in the company.

The Managing Director also manages the company and is the second person in being the head of
the company and a supervisor to he assistant manager.

The assistant manager is directed by the Managing Director and is the supervisor to the treasure,
Finance Auditor and the Secretary.

The finance auditor is in charge of counting money and balancing the books of the company.

Treasurer is in charge of collecting money.

The sectary is in charge of keeping the records of the company.

The cash officer is in charge of counting money and is the supervisor to the workers and the
trainees.

Some workers travel which involves the air ticketing and visa arrangements and they do tours
which involve people of tour guiding.

SECTION TWO

2.1 ACTIVITIES

I attended a party of serene hotels in Katonga hall where by the South African air ways held a
dinner thanking its customers for supporting it like the different tour agents that send customers
to use there plane in travelling.

Participated in a meeting of Chiba Tours gala to sponsor Sezibwa falls was to enhance the
promotion of Uganda’s tourism attraction and it was to take place 2013 AT Sezibwa tourist and it
attraction in Mukono.

Attended the bride and groom expo where I and my colleagues were marketing Chiba Tours by
explaining to the people who it does like air ticketing arranging honey moons and others

I made research about the terms and conditions while traveling as the first things to notice while
making bookings like the reservations and payments. Cancellation I refunds alteration of tour,
made of payment, transport, accommodation, tour prices, and travel insurance, personal injury,
medication requirements liability, viewing f animals like chimpanzee tracking and gorilla
tracking the field supervisor like peace of life, gorilla tracking, I did an activity of how to make
bookings like if a person is traveling but does not have hotel to stay in because some air lines do
not provide and its only Emirates that provides you have to itinerary, find word hotels get the
date that persons is traveling, his budget city and country of the hotel room number, prices logo
the check in time and checks out time then you print them out.

I made travel tickets, to go to itinerary you put the name of the person, passport, details the day
that person is traveling and coming back, air line he is traveling with, the identity card they you
print out so that the client can confirm for what she or he has paid for.

I made bookings of game parks and hotels. You first ask for his or her budget if its one person
traveling he / she has to cater for transport expenses if they are many they divide the transport
expenses and as drown below.

I advertised the company through using the internet. Like it has to be with website if it deals only
in traveling. It hosts be under the Uganda association of travel agents and if it deals in air tickets
it has to be in Uganda association of tour operator which indentifies it from other companies
under TUGATA get tickets on a discount to air lines.

I decoded and encoded cities and countries like

C stands for land / country

L stands for air line

A stands for region state

When encoding cities you press CE

I made bookings. There are five steps to be followed N: name of person traveling
P: address of the company, T : ticketing date, R: received from ( person making the booking and
E : ending the booking.*R rubs away the un necessary information when making the booking.

SECTION THREE

3.1 LESSONS

I learnt to associate and handle different kinds of people from the dinner party which took place
at Serena Hotel in Katonga Hall where by the South African Airline was thanking its customer
the different travel agents and the Uganda Tourism Board and this enabled me to associate with
each other while celebrating

From the bride and groom expo, I learnt how to market products like you go to a person or group
of people then you explain about your self where you work and the product you were marketing
plus their advantages and disadvantages in so doing this I learnt how to market my self and the
products when dealing with the different kinds of people

From the practical’s I did I leant to how to be punctual while attending to clients.

I learnt how to make bookings and game parks.

I leant to use the company’s system Galileo while making tickets and bookings.

I learnt different airlines commonly used in Uganda and their codes like the Kenya Airways
ADKQ, Ethiopian Airways ET, Emirates EK.

I learnt to welcome clients like you first standup, great them and then offer them a seat and this
makes them to feel part of the company.

I learnt the different safaris that are in Uganda like the Jinja Adventure Tours, Gorilla Trekking
Adventure in Bwindi Impenetrable Forest National Park, Total Uganda Safaris, Kampala Half
Day City Tour and fishing tours around Lake Victoria.

I learnt how to travel tickets for clients.

3.2 SKILLS

I was able to learn how to use Microsoft word and Microsoft excel to analyse data while doing
work

I was able to improve on my typing skills because of the office work I used to type

I learnt communication skills since the office received different kinds of people who wanted
there issues to be addressed

SECTION FOUR

4.1 CHALLENGES AND LIMITATIONS

It took me some time to adjust to the environment around the organization `

Both the organization and the university did not provide any kind of facilitation and I was
adversely affected in terms of transport and feeding.

It took me sometime to adjust to the environment and activities around the organization but I
was able to cop up with conditions as time went on.

It was hard to finish work in time since I was not well versed in computer soft ware at first but
my skills improved s training progressed.
