Configuring MailChimp Credentials in vtiger CRM:

For the synchronization to proceed first we need to specify with which MailChimp account
vtiger CRM should perform the operations. This can be done by specifying MailChimp public api
key in MailChimp settings of vtiger CRM.

Please follow below procedure to configure vtiger CRM with MailChimp account . Only
administrators will be able to perform this operation.

1. Go to CRM Settings → MailChimp as shown below

2. Enter valid public MailChimp api key. Please refer here to know more about MailChimp api
key.
3. Select the User/Group to whom records (Contacts) will be assinged when creating records
in vtiger CRM during synchronization.

4. Click on Save button to configure credentials.

Now you have successfully configured MailChimp account in vtiger CRM. From now you can
perform synchronization with the specified account. Please refer further sections of the document
to know more about synchronization.

Synchronization:

This section will explain how the synchronization happens between MailChimp and vtiger
CRM. MailChimp extension will add widget in the detail view of a campaign using which you can
perform synchronize operations.

1 Enable Synchronization:

To synchronize campaign we need to enable synchronization in the widget present in the

detail view of a campaign as show below.

To enable a campaign for synchronization. Please refer below

1. Click enable sync check box
2. Select the list name. Vtiger CRM will synchronize contacts with the list you have
selected
3. Click on Save Now.

 You will see below snapshot after synchronization is enabled.

2 Synchronize Now:

Synchronize will happen on user demand. User need to click on the Synchronize Now link
as shown in below snapshot.

This will synchronize current campaign with MailChimp. You will be provided with
progressing bar while synchronization is in progress.

3 Synchronization Response

After completion of synchronization user will be intimated whether synchronization is

success or failure. This will be as shown below.

If the synchronization led to failure then it will give More Info regarding failure.

4 Features:

Following are the features of synchronization

1. Campaign Synchronization
2. Contact Synchronization
3. Adding Emails

Campaign Synchronization

Once the campaign is enabled for synchronization. In next synchronization process it will
gets created in MailChimp (NOTE: This will be one way synchronization i.e. only vtiger Campaigns
will be created in MailChimp. MailChimp campaigns will not be created in vtiger)

Any updates from any application will be synchronization to the target application.

Sent Campaign:
For sent campaign vtiger will show minor report information of the campaign and
gives a link which will direct to mailchimp report url

Contacts Synchronization

Contacts will be 2-way synchronized with members of List in MailChimp. The contacts will
be synchronized until the campaign is sent in MailChimp. After campaign is sent contacts will not
be synchronized with vtiger

Unsubscribed Members:
Unsubscribed Contacts will be marked as “Contacted- Never Contact Again” in
vtiger CRM as shown below snapshot

Subscribed Contacts:
Subscribed contacts will be marked as “contacted-successfully” in vtiger CRM and
emails will be attached.

Cleaned Members:
Cleaned contacts will be added a comment in vtiger CRM

Adding Emails:

Once the campaigns is sent in MailChimp emails will be added to the contacts for which
emails is sent in MailChimp.

Limitations:

1. If you are synchronizing new Campaign from vtiger. For first time it need two
synchronizations to populate contact data from MaiChimp to vtiger CRM .
First Synchronization – Campaign is Created to MailChimp
Second Synchronization – Contacts will be pulled from MailChimp
