INSTRUCTIONS TO CANDIDATES
1. Attempt ALL questions.
4. Report any problems with the computer or software to the invigilator who will, if possible,
grant you extra time to make up for time lost.
5. If problems are experienced in printing your files, you may request aid from the invigilator
or teacher. Printing is not considered part of the examination.
7. A diskette will be provided which must be submitted together with all print-outs at the end
of the examination. Note that the examination is marked from the printed output and NOT from the
diskette.
1. The increasing trend of dangerous crimes is engaging the attention of Security Ministers in the Carib Region. A
foreign security consulting firm CRIMEBUSTER has been contracted to examine the crime statistics for the Carib
Region and to come up with workable solutions to reduce the amount of dangerous crimes.
The crime statistics have been collected for the period 2000 - 2003 and stored in a spreadsheet
named CRIME.
(a) Retrieve the spreadsheet CRIME so that the first cell begins in cell A4.

(b) Insert an appropriate row and column to store the total crimes for EACH year and the
totals for EACH crime for the four-year period. (2 marks)
(c) Insert the appropriate formulae to compute the total crimes for EACH year and the total
for EACH crime for the four-year period. (2 marks)
(d) Include two additional columns labelled "Residents" and "Foreigners" in the appropriate
place to store a breakdown of the total for EACH crime in terms of those committed by
residents of the Carib Region and those committed by foreigners. It has been found that
90% of crimes were committed by Residents and 10% by Foreigners. Fill in the data for
the two columns using appropriate formulae. (2 marks)

(f) In the range B16:B18, enter appropriate formulae to compute the yearly maximum,
minimum and average crimes. (3 marks)
(g) In cell A20, insert the text "Percentage" and compute EACH year's total as a percentage
of the four-year total. Use 1 decimal place. Use absolute addressing. The percentages
should be placed in the range B20:E20, under the respective year.

(h) Insert the worksheet title, "Carib Region" in Cell Al and "Crime Statistics: 2000-2003"
in cell A2. (1 mark )
(i) Change the data in ALL numeric columns to comma style format. Use zero
decimal position. (1 mark )
(iii) Centre the title rows across the columns used by the spreadsheet.

(v) Insert the system date in cell G3, using the appropriate function.

(j) Sort the data so that the different crimes are in DESCENDING order by crime names.

(1) Create a BAR chart to show the yearly crimes committed. The chart should be titled
"CRIME STATISTICS: 2000 - 2003". EACH bar should be labelled to indicate the year it
represents, or a legend should be provided. Axes should be labelled appropriately. Save as
YEARL YCRIMES. (4 marks)
(m) Create a PIE chart to show the four- year crimes by category. The chart should be labelled
"CATEGORIES OF CRIMES": EACH slice of the PIE should be properly labelled to
indicate which crime it represents or a legend should be provided and indicate the
percentage of total crimes committed for the four years. Save as CRIMETYPE.

2. The management of CRIME BUSTER is compiling a list of Ministers in charge of security in the Carib
Region. The following data have been compiled and placed in a spreadsheet called MINISTERS.
(a) Import the spreadsheet MINISTERS and store it as a database table with the same name.

(b) The country code for each country consists of two characters, the first and the third
character of the country's name. Insert an additional field in the table between the Country and
Designation fields. Name this field Ccode and fill in the data for the Ccode field. (2 marks)
(c) Sort the database table MINISTERS in DESCENDING order by the Last Name. Resave
as MINISTERS. (2 marks)
(d) Create another database table called ACTION. The table should contain the following
data:

(i) Countries with % of GDP > 10 and Security Budget (M$) < 100. Your query
should have only the fields: Country, Security Budget(M$) and % of GDP and a
calculated field GDP to compute the GDP of the country. The GDP is computed
using the security budget and the percentage of GDP it represents. Sort the query
in ASCENDING order by Country. Save as GDP. (5 marks)
(ii) The average, maximum and minimum security budget for the countries in the
Carib Region. Save as BUGA VG; BUGMAX and BUGMIN. (3 marks)
(iii) Countries, which have been recommended to have more staff training. Your
query should have the Country, Designation and Recommendations fields. Sort
the query in ASCENDING order by Designation. Save as TRAINING.

(f) Generate a report to show therecommendations for ALL countries. Name this report
RECOM. The report should:
(i) Contain only the name of the country, title, first name, last name and the
recommendations. All field names should be clearly labelled to indicate the data
contained in them.

(iii) The company's name at the top MUST be centred and bold with 20-point Arial
font-type. (2 marks)
(iv) The body of the letter MUST be FULLY justified. (1 mark)
(v) ALL text in the body of the letter MUST have line spacing of 1.5.

(b) Prepare the following letter for a mail merge using the database table MINISTERS as the
data source and save as MAIN. Follow the instructions given above.

For the past three months we were analyzing the crime statistics provided by the Statistical Department of the
various countries in the Carib Region. We have had extensive descussions with the stakeholders in each country
to find ways to reduce the increasing trend in crimes.
The table below shows the various catagories of crimes for the years 2000 - 2003.
The chart below shows the categories of crimes for the four years
Below, please find our recommendations, which when implemented will take a big bite of the crimes in the
Carib Region:
