Overview

Welcome to DealerNet
DealerNet is designed to help you search for and order
parts efficiently. This manual will help you get the most
out of your DealerNet experience.

Access DealerNet by going to:


MCFAdealers.com > Product Support > MCFA DealerNet

From the homepage you can:


• Search for parts by part number
• Search for competitive parts
• Place an order
• View or start a new Promatch Tech Request
• Read important news and product updates
• View the Special of the Week

DealerNet navigation bar:


• Home - Provides a dashboard of quick search and
order features.
• Parts - Displays a variety of part search options.
Search for parts by part number, truck model,
catalog, or product group.
• Catalog - Browse the Promatch Catalog or search
by keyword or part number.
• Orders - View orders by invoice number, order
number, PO number, or part number. Quotes,
open back orders, invoices, and returns can also
be viewed here.
• Returns and Discrepancies - Initiate a part return
or discrepancy claim.
• Reman - Provides access to Reman parts, core
credits, and all things concerning Reman.
• Preferences - Manage your Dealer Code,
Warehouse Shipping Options, Address Book, and
Return Permissions.

Parts

Live Chat
Use Live Chat to send questions that require on the spot
answers. Click the 'Live Support' button and type your
question. A dealer support representative will respond
quickly with the information you need or resources for
more detailed information.

Searching for Parts


Search for part information by part number, cross
reference, truck model, catalog, or product group.
The following pages provide detailed steps.

• Promatch Tech Requests are listed on the left side


of the screen. Click the 'New Request' link and start
a new Tech Request or 'View More' to view the
status of recent requests.
• Suggest You Stock includes items that were
ordered 'Emergency' by your location at least two
times in the past six months. You can use this list to
evaluate potential additions to your inventory.
• You Asked For It lists parts we have recently added
to inventory that you have searched for in the past.
• Parts Lists can be created for placing orders and
submitting annual returns. If you consistently order
certain parts, consider building a parts list to avoid
keying in the same information repeatedly.
• Get Help in the center area of the page offers
links to return parts, part discrepancies, request part
additions, or submit a tech request online.

Parts

Part Detail Inquiry


The part detail page can be accessed from the 'Parts'
dropdown menu or by clicking on any part number link.
A part may be added to your cart from the part detail
screen. If the part has been superseded, the 'Add to
Cart' box will be replaced with a link to the active part
number.

You can view the following part information on the part


details screen:

• General - Provides general information including


weight, pricing, on-hand quantity, and order quantity
for a part.
• Supersession - Icons easily identify forward only or
interchangeable supersession type (MCFA parts only).
• Cross Reference - Displays alternatives such as,
reman equivalent parts and other OEM crosses.
• Components - Displays component or assembly
information (MCFA parts only).
• Core Deductions - Display core deduction details for
reman parts.
• Applications - Lists all known truck makes and
models that use the selected part.
• Order History - Provides your purchase history of a
part.

May We Also Suggest displays parts frequently


purchased with the parts selected.

Please Note: Items listed are not application specific and


therefore may not fit your application.

Parts

Cross Reference Search


Use the Cross Reference section to cross a part number
to an MCFA or Promatch® part. Search for multiple
part numbers at the same time by separating each part
number with a comma.

Search for part numbers using wild cards in the Cross


Reference section. An asterisk(*) is used to indicate a
wild card or unknown number(s). More than one result
may appear if items are the same number, but sell in
different quantities or colors.

To view part details, click on the part number.


To display images with your search results, check
the 'Display Images' box.

Truck Model Search


Use the Truck Model Search to find parts by make and
model. Begin by selecting a manufacturer from the
dropdown list. Enter the model or click 'Choose' to
select a model from a list. Available Part Categories will
be displayed for the selected model. From here, parts
may be added to your cart and/or search results may
be narrowed further by selecting a part from the
'Common Parts' box.

Need a Coverage Report? Click on 'Start a new


Coverage Report' and your reporting features will be
displayed. Make your selections to generate the report.

When searching for Cat ® lift truck or Mitsubishi forklift


truck models, click on 'view complete listing' to access
the electronic parts manuals.

Parts

Product Group Search


All parts are categorized into PIC (part identification code)
groups. These codes allow you to search for parts in a
particular category.

Select a main group and sub group from the dropdown


lists. Narrow your results by choosing an OEM. Results
are displayed below. Click on a part number to get part
details. Click the 'printable version' link to display the list
in a printable format.

Parts Technical Requests


Having difficulty locating a part number? Technical
requests can be submitted to request information about
parts you cannot find. Complete a Technical Request
Form by clicking 'New Request' found in the 'Promatch
Tech Request' box from the homepage or 'Parts' page.

View the history of requests sent, currently open, and


completed requests. Links provide access to specific
request history. Requests are processed in the order
received. Our goal is to respond to your request within
two hours.

Suggest We Add A Part


Can't find a part? New parts are added daily by our
product development group, based on dealer requests,
lost sales reports, and targeted truck models.

A 'Part Add Request' can be submited can be submitted


by clicking on 'Suggest We Add A Part' from the
dropdown menu on the 'Parts' page.

Parts

Create A Parts List


Save time by creating a parts list to create your own
kits, manage service jobs, consolidate daily emergency
orders, or manage annual parts returns. Parts lists may
be shared with other users in your branch.

New parts lists can be created and existing lists can


be accessed by selecting 'Parts List' from the 'Parts'
dropdown menu.

Click on a list name to start a quick order with


pre-filled parts lists. To update or change an existing
parts list, click the list name to populate the right side
of the screen, where you can add or delete parts.

Create a new parts list by completing the form located


on the right side of the page. Name your list for easy
identification. Your new list is displayed using the list
name, date it was created, and your name.

Parts lists may be deleted by clicking the red (X)


located next to each list. Parts lists will be saved until
you delete them.

Recently Added Parts


We are constantly adding new parts and information
to our cross-reference database. To view our recently
added parts, check out our 'View New Crosses' page
which can be accessed from the 'Parts' page.

View new crosses using the dropdown lists that


search by month and year. Narrow your search further
by selecting an OEM.

You Asked For It


Did you know that we add new parts based on your
past part searches? The You Asked for It section,
located on the 'Orders' page and 'Parts' page, displays
a list of parts your dealership has previously searched
for that are now available.

Parts

Browse Catalog
Click the 'Promatch Catalog' tab and search by
keyword, part number, or browse the catalog by
section. The catalog is updated frequently with new
information and products.

Orders

Place Orders
There are three ways to add parts to your shopping cart
from the 'Quick Order Entry' page:

• Type your entries


• Upload a formatted file
• Choose a parts list

Quick Order Entry


Type your part number and tab to enter the quantity. The
site will validate your entry and notify you of any errors.

Upon completing your entries, review your list. Valid


part numbers will appear with a green check to the left
of the item number. Invalid entries will be highlighted
in red. Click on the suggested replacement part link to
replace an entry.

Change quantities and add dealer locations/IDs by


clicking on the note pad icon. Click the save icon after
completing any changes. Delete a line by clicking on the
red (X).

Upload Order or Choose Parts List


To create an order from a comma separated values
(CSV) or other business system file, select 'Upload
Order'. Start by selecting your file type from the
dropdown list. Locate the file on your computer by
clicking 'Browse'. Click 'Open' and then 'Submit'. Your
list will load and each part number will be validated.
Verify your list for accuracy.

To use a parts list, select 'Choose a Parts List' and then


select one from the dropdown list. Your list will load and
each part number will be validated.

Orders

Open Orders and Recent Invoices


Recent open orders and invoices are available to view on
the 'Orders' page. The 'view more' link will display all of
your open orders or invoices by month.

Sort results by clicking the column header. View details


by clicking individual order number, invoice number, or
part number links.

UPS shipments can be tracked by clicking the UPS link


in the invoice detail.

Quotes
Locate Promatch quotes under the Orders dropdown
menu. Quotes are stored for 30 days. To find a specific
quote, sort your quotes by clicking the column headers.
Click on the 'Quote Number' link to view quote details
and/or convert the quote to an order.

Your most recent quotes are also displayed on the


left-hand side of the 'Orders' page.

Backorders
Locate backorders under the 'Orders' dropdown menu.
Backorders can be sorted by clicking on the table
headers.

Orders

Shopping Cart
You can view your shopping cart at anytime by
clicking on 'shopping cart' link. Parts can be added to
your shopping cart by typing the part number, quantity,
and dealer location ID (optional) in the entry fields of the
'Quick Add' box. Add items from a part list or save
items in your cart as a new list.

Modify quantities and dealer location entries by clicking


on the links to open the update box. Clicking on the
red (X) will delete the entire line. Lines highlighted in
red indicate a problem. Error details are provided.

DealerNet will notify you if your order qualifies for free


freight or provide the qualifications needed to receive
free freight. If your Promatch order qualifies for free
freight, the 'Free Freight' box will be checked and your
order will ship ground. If you would like your order to
ship next day air, uncheck the 'Free Freight' box and
select your shipping method.

MCFA stock orders qualify for free freight.

Check Out
Finalize your order by completing order details and
shipping instructions. Choose order type and branch.
Selecting emergency opens additional fields such as
ship via, ship to, and warranty boxes.

Click 'Confirm Order' to review your order. If you need


to make changes, click 'Change Order'. If your order is
complete, click 'Place Order'. A confirmation email will
be sent to you.

Returns

Setting Up Returns Permissions


Setup your dealership return administrator by contacting
dealer support at 616.647.3121. Once access has
been setup, the return administrator can manage user
preferences for their dealership.

Click the 'Preferences' link and then select the


'Return Permissions' tab.

Branch users can be viewed by using the dropdown list


or selecting all branches to search by last name.

The 'View Only' box is selected by default. Administrators


select the returns features per individual. Once you have
made your selections, click the 'Save' button.

Returns

MCFA and Promatch Express Returns


Under the 'Returns' dropdown menu select the
appropriate return:

• MCFA Parts 'Start Return'


• Promatch Parts 'Start Return'

Starting a Return

Step 1: Enter your dealer reference number and click


'Save' to begin a new Express Return.

Step 2: Key your part number in the box to begin your


return. By pressing the tab key, an automatic data
search will populate the other input boxes for the item.
If the part appears on multiple sales orders, select the
correct order from the dropdown list.

Please Note: You can administer a return for any


authorized branch without changing the code in
preferences.

Step 3: Click the 'Add' button to add items to the return.

Step 4: Click 'Submit this Return' when all of your items


have been added. The returns coordinator will review
this return and send return instructions to you.

Opening a Return

To view or edit an Express Return, select


'Open Express Returns'. Results can be sorted
by clicking the column headers.

Submitted Returns

Return details can be viewed for open and closed


submitted returns.

Returns

Annual Surplus Returns


Under the 'Returns' dropdown menu select the
appropriate annual return:

• Annual Returns for MCFA products


• Annual Returns for Promatch products

Starting a Return

Step 1: Your reference number is populated by


the claims coordinator. If you know the number of
containers you will be returning, enter the number in the
box. Otherwise, leave the box blank.

Step 2: Choose a method to add parts to your return


request. You can key your part numbers and quantities,
upload a CSV file, or import a parts list.

Step 3: Click the 'Add' button and continue to add parts.


If you add parts that do not qualify for an annual return,
the system will return an error for that line item. Click
the (X) to delete it from the list. Click the note icon to
change quantities. Click the disk icon to save updated
quantities.

Step 4: Click 'Submit this Return' when all your items


have been added. Once submitted, changes cannot
be made. The returns coordinator will review your
return request and send return instructions to you.

Opening a Return

To view or edit an Annual Return, select


'Open Annual Returns'. Results can be sorted by
clicking the column headers.

Submitted Returns

Return details can be viewed for open and closed


submitted returns.

Discrepancies

Discrepancies
Under the 'Discrepancies' dropdown menu select the
appropriate claim:

• MCFA Parts 'Start Discrepancy Claim'


• Promatch Parts 'Start Discrepancy Claim'

Starting a Discrepancy Claim

Step 1: Enter your sales order number and identify a


discrepancy claim reason. Verify your part number by
checking the box. Enter the number of parts you are
keeping and/or returning.

Please Note: Only one item may be selected per


discrepancy claim.

Step 2: Verify your invoice number and part number.


Check the box if the part was reordered.

Step 3: Verify that the contact information is correct,


change if needed and add optional freight claim charges.
Type your dealer reference number.

Step 4: Add any additional comments that would be


helpful to process your claim and click 'Submit'.

Step 5: Your claim has been entered into the system.


Return instructions will be sent to you. View claim
status by clicking the link under Recent Claims or by
entering the number in the claim field on the left side of
the 'Discrepancy' page.

Reman

Reman
All of the tools you need for our remanufactured
components program can be found in the Reman
section. The tools can be accessed by using the
Reman dropdown menu or from the 'Core Business'
box located in the middle of the Reman page.

• Reman Part Search - Locate reman parts by


choosing an OEM and entering a model number.
• Related Documents - Include all available
documents related to each section.
• Core Reports - View this report by choosing
Open Entitlements, Expired Cores, Core Credits,
or Open CCRs from the dropdown list.
• Troubleshooting Form - Complete this form to
troubleshoot problems with an engine, transmission,
motor, starter, or other general problems.
• Core Business Module - Directs you to various core
reports including online core returns.

Reman Catalog
The reman catalog displays links to each remanufactured
product line section. Click on the catalog image for
specific information including core criteria, product
announcements, and a cross reference listing.

Start A Core Credit Request


(Open Entitlements)
A core credit request can be submitted from the
'Open Entitlements' page. Users that are setup with
special permissions may sort open entitlements by
branch location using the dropdown list. Your search
results can be narrowed by commodity. Check the
box(es) for the core you wish to return.

A Core Credit Request Form will open with your selected


entitlements. Complete the form and submit your request.

Your selected returns will be divided into product


categories for your convenience and printing. Print
your forms and include the appropriate form with each
shipping box or crate.

Core Purchase Request Form


If you have cores with no entitlement, but would like us
to consider purchasing them for fair market value, a Core
Purchase Request Form must be completed. Enter the
part number, description, and quantity. If you would like
to remove an item from the list, click the red (X).

You will receive an email with our offer after your


request has been processed. If you have questions,
please reply to the email.

Entitlements will be available on the DealerNet one day


after your request is processed and are available for
ten calendar days.

Core Credits
Core credits can be viewed by selecting the Invoice
Number on the Core Credit page. Click on a column
header to sort your credits.

Preferences

Preferences
From the Preferences dropdown box you can select
Change your Dealer Code, Warehouse Shipping Options,
Address Book, Return Permissions, or Feedback.

• Change Your Dealer Code - You can change your


active dealer code if you have access to multiple
dealer branches.
• Warehouse Shipping Options - This section
allows you to define which shipping methods you
would like displayed during the checkout process.
Only those shipping methods that you choose will
appear in the lists. Warehouse shipping options are
saved at the branch level.
• Address Book - Here you can manage your
customers' addresses.
• Return Permissions - Here you can manage
Express, Annual, Special Express, and Discrepancy
Claims permissions for users at your branch.
• Feedback - We want to hear from you! Feedback
can be submitted from the 'Preferences' dropdown
menu or the homepage.
