THE TRAINING AREAS

Function

The IT Department was responsible for providing the infrastructure and all other

equipment necessary to make an IT system function. Their company also implements the

governance for the use of network and operating systems, and it assists the operational

units by providing them the functionality they need. IT Department creates and maintains

operational applications; developing, securing, and storing to all functional areas of the

organization. The IT department also took responsibility for installation and maintenance

of computer network systems within a company to ensure that the network runs

smoothly. The IT department must install the proper hardware and software necessary to

keep the network functioning properly. Employees are able to contact the IT department

for computer support. The IT department provides this service for all the employees who

need access to the company's computer systems such as installing new software or

hardware, repairing hardware, training employees in the use of new software, and

troubleshooting problems with the system.

Facilities

Facilities of Personiv are located at 6 th floor and 10th floor of the building of Aeon

Center. Only the trainees, IT and IT Executives can access inside their facilities. Inside

the IT Department, there are four (4) workplaces assigned for the three IT Executives and

one for the programmer of the company. Each workplace consist of complete IT

equipments like computer hardware and software, telephone for communication and

other IT equipments. There is also a printer that is connected to each computer inside the

facility. There must be at least one or two interns and they are tasked to monitor tickets to

ensure that problems will be solved as soon as possible. They also do paperwork for some

reasons. And they are assigned to secure database such as personal information, account,

password and more. They also take responsibility to provide infrastructure needed by the

company.

Equipment

Inside their facilities, there is a set of photocopier such as scanner and printer.

There is also a telephone for communication, an internet connection to be able for them

to access into web, and most importantly, computer hardware and software for the

storage of data because information or data is the backbone of every business.


Working Policies and Procedures

The company had some working policies such as, internet policy, non-smoking

policy, drug and alcohol policy and using social media, and their company prohibited

employees to enter any kind of gadgets inside the workplace, it is necessary to surrender

any form of gadgets that can store data, only the team leader, manager, senior executives

and other employees that has a higher position can bring gadgets inside the company.

Employees are not required to wear uniforms. The company is strict regarding to

attendance and late, they has a policy that once the employee is late just for a minute, it is

considered as one (1) hour late. Company working hours are divided into three (3) shifts.

Morning-shift started at 7am to 4pm and 9am to 6pm. Mid-shift is at 1pm-10pm. And

graveyard-shift is at 8pm-5am.
THE TRAINING EXPERIENCE

OJT Experience

Training experience definitely helps every student to learn and gain knowledge in

his/her chosen field. OJT program trains and transform trainee as disciplined individual.

It always gives a trainee new experiences in order to learn and help them to be ready once

they are integrated in a real workplace environment. Trainees are trained to conform to

the company policies, regulations and also they are trained to follow instructions from

their seniors. Every problems that trainee faces, it is an opportunity for them to learn,

they will help them to think, decide, implement and experience dealing with problems.

Dealing with colleagues is one of the hardest things to do if trainee has a problem to

communicate with other people, but this training program will help them to learn little by

little in order to enhance their communicating skills and confidence at the same time.

Tasks Performed

Monitoring tickets at ticket booth is the first priority of the trainee; they monitor it

to ensure that incoming problems will be solved as much as possible. They do

brainstorming in order to solve problem, once the trainee are not able to solve the

problem, it is necessary to call Senior IT Executive for a help. Trainees are also assigned

to answer and make a phone call in order to communicate with the Senior IT Executive

and also to assist other employee’s problem. Trainees ensure PC protection through

viruses by troubleshooting and updating the so called anti-virus every day. And every

Saturday, trainees was assigned to double check every PC inside the company to ensure

also that their PCs are placed properly.


Observed Strengths and Weaknesses of the Training Area

The strength of the training area is that they have one IT department in each floor,

for them to solve or troubleshoot problems in just a matter of time. They solve problems

as soon as possible to avoid delays in each workplace. Every problem occurs in training

area, and trainees do not work alone, they work as a team to solve every problem even if

they can do it alone. Every trainee shares their knowledge every time they encountered a

problem to teach other trainee. Senior IT executives and even employees are also

cooperates.

One of the weaknesses of the training area is that they have a less man-power, so

that, trainees are unable to solve problems every time problems occurs simultaneously.

Trainees are required to fix problems one by one. It is also the weakness of IT

Department that they cannot fully utilized the full efficiency of each IT executives and

supervisors because they have an obligation to spend time to teach new employees or

interns, but it is also their strength because they can use their new interns to lessen their

work and time to fix problems.


Insights

Problems Encountered

Trainees encountered many problems inside the training area, lack of

familiarity in some task will be one of the obstacles, and it is a problem that every trainee

must overcome. Trainee also encountered the attention of the problems that they are not

aware of. They need to call IT executive in order to solve the problem. There was also

sub problems occurred while fixing the problem, trainees are obliged to explain and

communicate with the user of the PC to be able for them to identify the problem of the

PC. Another problem of every trainee is to deal with other employee even with his/her

colleagues and IT executives and supervisors.

Suggestions for Self-Improvement

Trainee must practice doing things as planned. Keep going and never give

up each time they face problems. Trainee must adopt every changes in order to be

updated to the present situation. Trainee must have courage to face every problem

occurred at the training area. Trainee must also learn to follow instruction from their

seniors even with his colleagues, and be resourceful.

Suggestions for Program Development

Schools must lessen student’s school activities while they are doing their

OJT program, so that students can focus their mind and also to enhance their ability

during their training. School must ensure that students will get their position as an intern

regarding to their chosen fields.


Suggestions for Institutional Advancement

The company could just hire enough trainees because there are times that

the place is too crowded or they must divide their trainees equally in terms of duties or

shifting. Overall, the department is in need of manpower and the space provided for the

technical team will be expanded.


SUMMARY

On-the-job training requires a lot of effort, it takes time in order to learn and gain

knowledge. OJT program trains and transform trainee as disciplined individual. It always

gives a trainee new experiences in order to learn and help them to be ready once they are

integrated in a real workplace environment. OJT is hard in the beginning, a trainee must

learn to adjust and be flexible at all times, trainees will encounter so many problems that

will challenge them how far they can proceed, this challenges will help them to be more

productive and effective in every situation, this may also help them how to think and

decide with their own. The On-the-Job Training program gave trainee an idea on what to

expect in a real workplace environment.

It is a challenge for the trainees to deal with other employees inside the training

area. Communication skill is a must, communication skills must be developed when

trainee enters the industry, so that OJT program would be the best training ground for the

students. Lack of experience would be also the biggest problem once the trainees

encounter an unfamiliar situation.

The challenge encountered by an intern or trainee will help them grow for them to

avoid being puzzled once the trainee is in a tough situation. These challenges help

students to be more independent is some situation, it will teach them how to think and

decide in their own, so that, decision-making ability will improve.
