1.Purpose of the Guidelines
• CII primarily focused on keeping our country, employees,
customers and suppliers safe while working at our/their
facilities.
• This guideline Manual lays out processes to raise awareness
of new health and well being and potential practices for cross
functional teamwork, operating discipline and training for
employees all across the country.
• This guidelines are to be prepared to resume the work in
every industry after the lockdown period due to COVID-19
outbreak. By following these guidelines the chain of COVID 19
spread shall be eliminated and works can be resumed safely.
All precautionary measures are to be ensured in
industries/offices to feel safe and secure at work place.
2.Health & Safety Practices
2.0) Emergency Guidelines
An emergency team should be created lead by the
factory manager including below areas team members.
➢ HR Department
➢ Safety Department
➢ Procurement Department
➢ Emergency isolation ward member

Note:
Emergency team must be in contact on daily basis
to know the health situation of every employee.
2.Health & Safety Practices…
2.1) Sanitization & Disinfection:
➢ Ensure complete sanitization of
employee transportation vehicle 2
days prior to reopening the plant & it
must be carried out every day.
➢ Sanitization should be done by 1%
sodium hypochlorite and 70% alcohol
based.
➢ Ensure deep cleaning of plant, two
days prior to reopening, this includes,
offices, canteen, tea area, shop floor,
PPE’s, Stores, Incoming material,
Tools, Water coolers, air conditioners,
blowers etc.

2.2) Preventive PPE’s :
➢ Thermal scanning should be done of
each employee before entering the
company premises.
➢ Ensure hand sanitizer, hand washes at
entry gate and wash rooms.
➢ Ensure masks, hand gloves are available
with each employee and they are using
the PPE’s properly.
➢ At the entry point of the gate a tunnel
must be installed for completed
sanitization of employees while entering
the factory/office premises.

2.3) Employee Transportation
Vehicle:
➢ COVID 19 awareness guidelines must
be displayed in English & local
language inside the vehicle.
➢ Employee entering the vehicle first
occupies the seat at the last row so
that no employee crosses others.
➢ Ensure hand sanitizer inside the
employee transportation vehicle.
➢ Touching door handless, railing etc.
must be avoided inside the vehicle.

2.4) Social Distancing :
➢ Social distancing must be maintained everywhere
while checking temperature, drinking water, taking
food in canteen, discussing something with
colleague, pantry etc.
➢ Ensure at work place there is a separator (EX.
Curtain/Divider) between two work stations to
avoid any infection.
➢ Every company should have the isolation and
emergency ward in case of a doubtful employee
can be isolated.
➢ Ensure entry and exit roots must be separated ex.
entry from different gate and exit from another
gate.

2.5) PPE’s Inventory:
➢ Maintain some inventory of preventive PPE’s at factory
premises to avoid any shortage.
➢ Store masks/hand gloves sanitizers at the entry point and
distribute to needy employee.
➢ Ensure enough disinfectant at factory premises.
➢ Ensure disinfectant equipments are available and working
properly.

3.0) Employee awareness:
➢ HR Head must ensure card
punching instead of biometric
punching for attendance.
➢ Display of COVID-19,Do's and
Don’ts, Helpline and Emergency
Contact Numbers on all the
Notice Boards, Security gates and
canteens.
➢ Every day email communication
should be done with employees
related to COVID update and
preventive measures.
3.HR Practices…
3.1) Manpower Planning:
➢ Working shifts can be increased like industry can run 3 shifts
i.e. 1/3 production in each shift to maintain social distancing
in factory premises and offices.(Note:-Subjected to
production plan)
➢ Plan for white collar and blue collar manpower, Co-ordinate
with department heads to ensure only required manpower is
coming to offices & rest are working from home.
➢ Co-ordinate with district admin/local police for safety of
employees coming on 04th May or earlier for plant startup.
➢ If any symptom comes in any manpower, replace the
manpower with immediate effect, isolate the concern person.
and consult with the doctor.

3.2) Canteen, Pantry, Water Coolers Cleaning:
➢ Ensure cleaning and chlorination of all water tanks.
➢ Ensure cleaning of dinning tables and chairs according to the use .
➢ Food distribution in canteen & Tea distribution should be divided
into small batches to maintain social distancing.
➢ Motivate employees to bring food from home.
➢ Vegetables shall be cleaned with warm water and keep the
vegetables in isolation for 12 hours before use.
➢ Standard packs of Spice, Wheat, and Pulses must be used in
canteen.
➢ Sanitize the standard packs, bags before storage in isolation.
➢ Sanitize the canteen appliance, knives, and other vegetable
cutting tools before & after use.
3.HR Practices…
➢ Un-authorized entry must be restricted in canteen kitchen area.
➢ Bread/Chapati making machine must be cleaned before and after
use.
➢ Non Veg., should be avoided in canteen and outside also.
➢ Used plates should be placed in hot water tub instead of keeping
them in a simple bin.
➢ Ensure tissue paper is available with each plate and clean the
plate with tissue paper before use. Throw tissue paper in dust
bin.
➢ Disposable spoons, plates (Made of banana leaves) can be used
during COVID effect.
➢ Hair cap, gloves, masks, apron, must be used by canteen boys.
➢ At the entrance of the canteen sanitization tunnel should be
installed.(Like At Entry gate of the factory)

➢ 1 meter distance should be maintained
while taking food from counter,
washing hands in washrooms, and
sitting in canteen for lunch.
➢ Tables, chairs, dining hall, and food
counter should be sanitizing before
and after use.
➢ Disposables can be used in canteen or
tea distribution.
➢ Sitting plan must be revised like
alternate sitting plan or special sitting
plan in office as well as in tea area and
canteen.

3.3) Guidelines for Cleaning Frequency:

3.HR Practices…
3.4) Visitor Management:
➢ Entry of Visitors, should be banned in
plant premises or office. A visitor may
be permitted in most exceptional and
important situation only after
preapproval of the Function Head. All
restrictions and protocols against
Covid-19 shall be adhered to. The
visitor will not be permitted beyond
the reception area and will not be
allowed to meet anyone other than
the designated person/appointment.
4.Operation Guidelines
4.0) Machines, Equipments, Electricals:
➢ After lock down period power on first check the primary
power supply voltage. Variation range should be between -
10% and 10%.
➢ Check connection cable between the control panel and
manipulator/Robots/equipments/machines are securely
connected
➢ Check hydraulic pressure and air pressure are as per required
values.
4.Operation Guidelines…
➢ Check any error related to battery is coming or not, if error
occurred please follow below instructions.
❑ If absolute encoder error is coming please set origin data Set
the origin data from management mode.
❑ Then upload the backup data, if required.
❑ First run the robots manually to check the paths are okay or
not.
❑ If all above is okay please run the system in auto mode.
➢ Before handing over the robots/equipments/machines must
be checked, if found okay handover them.
4.Operation Guidelines…
4.2) Guidelines for Offices:
➢ Sanitize entire office area with 1% sodium hypochlorite
solution & 70& Alcohol based.
➢ Sanitize switch boards and door knobs in office area with 70
% ethyl alcohol solution. Sanitization should be carried out
before commencement of work on a daily basis.
➢ Departmental and Shop floor Managers must share these
guidelines before commencement of operation on a daily
basis.
➢ As lifts are high risk zone, people should avoid using lifts and
use stairs.
4.Operation Guidelines…
➢ Movement of physical documents like files and papers to be
avoided within departments and instead e-approvals to be
followed for next 3 months.
➢ Employees should use Microsoft Teams / Zoom Meetings /
Skype / video conferencing / Tele conferencing. Meetings in
person should be avoided.
➢ Employees should bring their own water bottles.
➢ Spitting anywhere inside the Office premise is completely
prohibited.
4.Operation Guidelines…
4.3) Guidelines for Shop Floor:
➢ Shop floor and machines should be sanitized with 1% sodium
hypochlorite solution on daily basis.
➢ Shop floor sanitization should be carried out every day before
commencement of work, during Lunch time and after closing
of shift.
➢ Gap between starting two consecutive shifts should be 30
minutes minimum, these 30 minutes should be used for deep
cleaning of equipments, tools, shop floor etc.
➢ To ensure social distancing, work should be staggered to all
three shifts as per load.
➢ Engineering department to look at re-designing of Lines /
layout to ensure multi machines operations by minimum
number of work-force.
4.Operation Guidelines…
➢ 1 meter distance to be maintained between people at shop
floor.
➢ Plastic curtain to be placed in between two work stations, if 1
meter distance maintaining is not possible.
➢ Avoid speaking directly to each other at shop floor. Instead,
use intercom or mobile for communication.
➢ Employee should avoid physical contact with each other.
➢ Movement should be restricted from one department to
other or from one shop floor to other.
➢ Locker Rooms to be Un-functional till further notice.
➢ Housekeeping staff shall pour sanitizer having 70% alcohol on
employees' hands, as and when required.
➢ Spitting anywhere inside the Plant premise is completely
prohibited.
4.Operation Guidelines…
4.4) Guidelines for Stores:
➢ Social distancing should be maintained in each area of stores.
➢ Material should be issued as per the requirement only.
➢ Ensure issued material was quarantine minimum for 8-24 ours
before issuance.
➢ All stores person must wear hand gloves and masks while
issuing material or working.
➢ Stores & Feeding manpower should be staggered in 3 shifts as
per production plan.
➢ All toe trucks, flexi, other store equipments must be
disinfected using 70% alcohol based disinfectant.
➢ Feeding trolleys/stands at shop floor also be disinfected using
70% alcohol based disinfectant.
4.Operation Guidelines…
4.5) Guidelines for Quality & Other Departments:
➢ Quality inspector must wear hand gloves and triple layered
masks while inspecting the products or working at shop floor
for inspection or other.
➢ Incoming must be in quarantine for 8-24 hours before
inspection.
➢ During vehicle/product inspection avoid touching the
components unless & until not necessary.
➢ Proto parts, must also be in quarantine for 8-24 hours before
R&D trials.
➢ Avoid any supplier visit until & unless COVID chain breaks.
➢ Inspection tools must be sanitized using 70% alcohol based
disinfectant.
4.Operation Guidelines…
4.6) Tool Crib/Other Essential Equipments:
➢ Ensure only required tools are available on shop floor.
➢ Disinfect the tools before issuing at shop floor & after
receiving the tools from shop floor.
➢ Tool feeding trolleys must be disinfected before use.
➢ Less usable tools/equipments also be disinfectant frequently.
➢ Tool crib in charge must wear hand gloves and triple layered
masks while working.
➢ Generally tools issuance entry is done manually, Avoid manual
entry of tool issuance, enter in a PC in the name of user.
5.Logistics/Incoming/Outgoing
Material
5.0) Incoming Material:
➢ Security/Sores department must ensure safety
parameters of COVID 19 prevention during
vendor’s vehicle inward in company premises
like thermal scanning of driver, sanitization of
truck, restricted movement of driver.
➢ Unloading of material should be done using
hand gloves and other safety equipments.
➢ All material must be kept in quarantine for 8-
24 hours before quality inspection.
➢ Truck driver must be checked thermally &
sanitized during entry from main gate.
➢ There should be separate area for driver
sitting.
5.Logistics/Incoming/Outgoing
Material
5.1) Dispatching Material:
➢ Disinfection of outward material as per
the instructions received from respective
customers to be done.
➢ Fumigation of consignment before leaving
the plant to be done.
➢ Masks and hand gloves should be
provided to truck driver.
➢ Before leaving the plant driver thermal
scanning & sanitization should be done.
➢ Awareness for Do’s & Don’ts should be
given to truck driver before leaving the
plant.
5.Logistics/Incoming/Outgoing
Material
5.2) Parking Area:
➢ Disinfection of cars, trucks should be done
in parking area before parking the vehicle
& during leaving the plant.
➢ Car/Bike/Scooter parking space should be
marked to maintain the rule of social
distancing.
➢ Avoid touching other vehicles
surface/door while in parking area.
➢ Do’s & Don’ts must be displayed in
parking area.
6.Utilities
➢ Make a check list of checking & cleaning the utilities. (Varies
industry to industry &Offices)
➢ Testing of air compressors, cleaning of air reservoirs, air
intakes must be done.
➢ Ensure cleaning and chlorination of all water tanks.
➢ Inspect petrol, diesel and propane yards on the first day of
reopening the factories.
➢ Test and synchronize HSD and gas gen set and other
equipments.
➢ Ensure switching on all the MDB’s from main LT panel and
smooth operation.
➢ Ensure cleaning and refilling of all the cooling towers.
➢ Lightening and ventilation system must be checked on the
first day of re opening of factories.
➢ Ensure smooth working of FDV’s, Chillers and Air conditioners.
7.Leaving Offices…
➢ Thermal screening of every employee to be done before
leaving the plant.
➢ Hands to be sanitized and clothes to be disinfected with 1%
Sodium Hypochlorite solution while leaving.
➢ Car door handle, steering and keys to be sanitized.
➢ At home one should avoid touching door knob, handle etc.
➢ Immediately after reaching home, person should change
clothes and wash it in hot water and Dettol and take a shower
before mingling with other family members.
➢ Mask to be changed everyday,(Can be washed if the mask is
washable).
➢ Person should brief their family members as well to take all
precautions related to Covid-19.
8.Do’s and Don'ts For Family
➢ All the family members should stay at home and be safe.
➢ Only one person should go to bring essential material from
outside wearing a cotton face mask.
➢ Maintain social distance when outside.
➢ After returning to home sanitize yourself & change your
clothes and wash them with hot water and the mask in hot
water.
➢ Used mask storage should be defined separate from where it
can be taken directly for washing.
➢ Wash the packets and vegetables with hot water & keep them
for 8 hours before use.
➢ Avoid eating raw vegetables.
