Microsoft Teams_Quick Guide_May 2020

The NHS has a national offer to use Microsoft (MS) Teams free for six month from the onset of
COVID-19. Not all its functionality are available right now but eventually most of it should be
enabled. There are currently conversation happening at wider system level to enable MS Teams as a
communication tool as part of the overall Microsoft Office toolkit.

This quick guide will help you:


1. Understand what steps to take to ensure you have MS Teams on your work PC/laptop or a
personnel device under section ‘how to install MS Teams’ below
2. Run through ‘Local resource’ via a webinar produced by local clinical digital lead covering the
main functionality of MS Teams; setting up 1:1/group meeting, chats, collaborative working,
sharing of files etc. (this should be enough reading to utilise MS Teams effectively)
3. If you want to learn a lot more then continue to utilise the ‘Multiple resources’ section.

1. How to install MS Teams


1.1 Check if you already have MS Teams on your device (PC/laptop); by doing either of the
following:

1.2 If you see any of the above you have MS Teams on your device. Move to step 1.5

1.3 If you don’t have MS Teams on your device you need to sign into MS Teams, follow the link
below to sign in via NHS mail:

1.4 If you still don’t see MS Teams appear on your outlook, you need to update your Windows, do
the following (and see the diagramme):
Start Windows logo Start button and then go to Settings Gear-shaped Settings
icon > Update & Security Circular arrows Sync icon > Windows Update Circular arrows Sync
icon.

1.5 You are ready to use MS Teams to set-up meetings, this is done in your outlook as you would
normally set-up meeting but select the following in your outlook meeting schedule:

1.6 If you want to use more advance functionality like setting up ‘Teams’ you need to contact
Egton help desk (support@egton.net) and request the name of the teams you wish to create
(this functionality will be available in the future for you to create without the need to go to
Egton). ‘Teams’ allows you to create a group for collaborative working i.e. GP practice or PCN
(who then become the owner and can invite, give access to others in your collaborative group
etc.) and can also then create sub teams called ‘channels’ i.e. administrative group, finance
group, SMT etc.
