- These are essential in the workplace, especially in the external operations of an organization.
- Through this we can reach out to its clients and vice versa.

TIPS FOR EFFECTIVE WRITTEN COMMUNICATION IN THE WORKPLACE

1. A-ccuracy – the content must be truthful and accurate. It must say true facts. Sweeping statements that may be
challenged later on should be avoided.
2. B-revity - sentences must be kept short and direct. Simple, carefully chosen words and expressions.
3. C-larity - visualize the reader in front of you wishing only to hear precise words whose meaning cut across
quickly and clearly to him or her. A good grasp of grammar will be a great help.

The different kinds of business letters illustrate the different communication situations that constantly need to be
addressed by the internal or the external functions of an organization.

STANDARD FORMATS OF BUSINESS LETTERS

The three standard formats of business letters are FULL-BLOCK, MODIFIED-BLOCK and SEMI-BLOCK. These three are
illustrated through the following examples:

Body of Cover Letter


The body of your cover letter lets the employer know what position you are applying for, why the employer
should select you for an interview, and how you will follow-up. Organize the body of your cover letter into the
following paragraphs:

 First Paragraph
The first paragraph of your letter should include information on why you are writing. Mention the position
you are applying for and where you found the job listing. Include the name of a mutual contact, if you
have one.
 Middle Paragraph(s)
The next section of your cover letter should describe what you have to offer the employer. Mention
specifically how your qualifications match the job you are applying for. Think of this section of the cover
letter as where you're making a pitch for your fit as an employee and show what makes you a great
candidate.

Keep in mind that employers will be more interested in what you can do for them over a list of your work
experience.

 Final Paragraph 
Conclude your cover letter by thanking the employer for considering you for the position. Include
information on how you will follow-up. Optionally, you can briefly restate why you would be a good fit for
the position.

Cover Letter Margin Settings

When writing a cover letter for a job, the ideal margins should be approximately 1 inch all around. The left and
right margin should be set at 1 inch and the top and bottom margins should also be set at 1 inch. This gives your
cover letter an uncluttered look and provides plenty of white space, which helps with readability.

You should align your text to the left; this is how most documents are aligned, so it will make your letter readable.

When You Need More Space for the Letter

If you have more text than fits on a single page, you can tighten up the margins slightly rather than writing a two-
page letter. Keep the margins consistent, so your letter is balanced on the page. For example, if you adjust your
margins to .70 inches, it will give you more lines and space for the letter content.

Another option is to reduce the left and right margin to .70 inches and leave the top at 1 inch. Try several options
to see which looks best.

When You Need Less Space for the Letter


If your letter is short, you can make the margins larger, so the letter looks balanced on the page without too
much white space. In that case, try 1.5 inches for each of the margins.

Choose One Simple Font

Using a simple font will ensure that your cover letter is easy to read. Basic fonts like Arial and Times New Roman
work well. Most word processing and email programs will default to a professional and easily readable choice.

Limit yourself to one font in your cover letter; it's best not to mix several fonts in one document.

There is no need to use different styles in a cover letter. Avoid underlining or italicizing, and use boldface text
only when emphasizing quantifiable achievements that need to “pop” on the page.

Pick an Appropriate Size

Depending on how much content you have in your letter, select a 10- or 12-point font size.

It's best if you can format your cover letter so it fits on one page, with margins that are no larger than 1” and no
smaller than .7”.

If your letter includes a heading with your name and contacts information, you may choose to make this font
slightly larger.

You also have to take note, that LONG BOND Paper ONLY no other paper sizes will be used.
WHAT IS A RESUME?
A resume is a short document used to summarize a job seeker’s experience and qualifications for a
prospective employer. A resume includes the job seeker’s contact information, work experience, education,
and relevant skills in support of a job application.

Your resume is arguably the most critical part of the modern job application process. Writing the best
resume possible is more important than ever now that online job postings routinely attract hundreds if not
thousands of applicants. A well-organized, tailored resume will increase your chances of landing an
interview while a poorly written resume could get lost in the sea of applicants.

WHAT IS THE DIFFERENCE BETWEEN A RESUME AND A CV?

Sometimes you will see the words resume and CV used interchangeably. They are not the same. A resume
is relatively short document meant to market your professional abilities while a CV contains a thorough
listing of your professional, academic, and other experiences.

WHAT TO INCLUDE IN YOUR RESUME

At a minimum, your resume should include your contact information, work experience, and education.
Additional sections for career summary, skills, volunteer work, and additional qualifications can be added if
they’re relevant to the job for which you’re applying.
The operative work here is “relevant.” Remember that your resume is meant to quickly highlight the
reasons you’re a great fit for the job. It’s not meant to detail every job duty you’ve ever performed. Instead
of simply writing your day-to-day responsibilities from past jobs, study the job listing and try to come up
with an answer for each requirement listed. This is more likely to get the attention of a recruiter who may
only look at your resume for a few seconds. It also optimizes your resume for the applicant tracking
system sorting algorithms that help companies identify top candidates.
Below you’ll find which resume sections to include in your resume and how to tailor them to the job you
want.

CONTACT INFORMATION

The top of your resume should include the following information:

 Name
 Phone number
 Location (City, State, Zip Code)
 Email Address
 LinkedIn profile URL
It might seem obvious, but job seekers sometimes forget a key piece of contact information in this section.
Double check and make it as easy as possible for recruiters to contact you for a job interview.

Include a personal phone number, never a work number. Add your city, state, and zip code (e.g. “Seattle,
WA 98104”). This is important as some applicant tracking systems allow recruiters to filter candidates based
on location. Recruiters will always start with local candidates first. If you’re relocating from another area, list
both your current location and your future location.

WORK EXPERIENCE

The work experience section is the heart of your resume. Differentiate this section with a clear, to-the-point
heading, such as “Work Experience,” “Professional Experience,” or “Employment History.” This will help
guide recruiters through your resume as well as ensure it is accurately parsed by applicant tracking
systems (ATS).
Under the main heading, list each job in reverse-chronological order. Each job should have its own
subheading that includes the following information:

 Company
 Job location
 Your job title
 Start and end dates
For example:

 ABC Corporation, Seattle, WA


 Distribution Manager (01/2017-Present)
EDUCATION

If you’re a few years into your career, your resume’s education section can be minimized at the bottom of
your resume. Unless you’re applying in a career that puts extra emphasis on education (like academia, law,
or medicine), most job seekers can get away with providing only the following information on their resume:
 Name of Institution
 Degree
 School Location
 Years Attended
If you’ve recently graduated college, your education section goes above your work experience and includes
more detail. Skills developed in school are real skills that have value in the professional world. Recent grads
can include relevant coursework, societies, organizations, and extracurriculars that strengthen their
candidacy.

SKILLS

Hard skills should be worked in throughout your resume. Including a skills section on your resume isn’t a
requirement, but it can help you have a natural place to list skills that are important to the job for which
you’re applying. A dedicated skills section also makes your resume more skimmable for recruiters trying to
quickly identify whether you meet their requirements.
If you do use a skills section, remember that simply listing skills and keywords isn’t enough. Add context to
these skills throughout your resume so that recruiters believe you. This includes things like the projects in
which you utilized skills, number of years experience for a given skill, or your level of expertise.

AWARDS AND HONORS

Some resume formats allow room for a number of optional sections. Only use an awards or honors section
on your resume if it makes sense for the job for which you’re applying. Relevant honors will increase your
credibility while irrelevant awards might only distract from your best qualifications. For example, list that
you earned Employee of the Month or received the highest customer satisfaction rating in your
department, but maybe not that you are a go kart racing champion in your spare time.
VOLUNTEER WORK AND AFFILIATIONS

The work you do as an active volunteer can add to your qualifications and skill set as much as any paid
experience. Again, the operative word is “relevant.” Highlight volunteer work on your resume that utilizes
skills that are also applicable to the job for which you’re applying. Be careful listing volunteer organizations
or affiliations that could be polarizing, such as political or religious entities.

HOW LONG SHOULD A RESUME BE?

While a one page resume is sometimes seen as the ideal, a two page resume might be necessary after five
or ten years in the workforce, especially if all your experience is relevant to the job you’re pursuing.
Executives sometimes have resumes that are three pages or more.
That said, your resume shouldn’t be any longer than it has to be. A short, to-the-point resume will be easily
digestible and highlight your most important skills. After you write your resume, try to remove as much
fluff and irrelevant content as possible to decrease your page count and draw more attention to your best
qualifications. No matter how many pages your resume is, try putting your most impressive qualifications
high up on the first page with a summary or skills section.

HOW TO FORMAT A RESUME

There are a few different ways to format your resume. Choosing the right format for you will only make the
resume writing process easier. When choosing a format, consider the job for which you are applying.
Chronological, functional and hybrid or combination formatting styles each serve a specific purpose.

CHRONOLOGICAL RESUME FORMAT:


What is the chronological format?

Chronological is the most common of the 3 resume types or outlines. This format lists your education
and experience in REVERSE chronological order, placing emphasis on your most recent dates and
work experience first. This format is often the best way to start writing your resume from scratch as it
starts with your current work and is easier to remember from current to less recent.

Use this resume format because;

 It is easy to read
 The most accepted resume format
 Ideal when you have a steady employment history with no major gaps or career changes
 Excellent itemized list of work history and positions
 Highlights recent experience first

Do NOT use this format if your work history is;


 Messy
 Inconsistent
 Has gaps in years
 Is very long
 When you seek a career change

FUNCTIONAL RESUME FORMAT:


What is the functional format?

This is a resume that presents the job seekers skills and experience without putting them in a
chronological date order. Instead, the resume is created based on skills and experience and groups
them according to these functions. The career history can be minimized to short detailed list of dates
worked, company names and the position held.

Use this resume format to;

 Combines your skills that have been gained in a number of areas and groups them so
they appear stronger.
 Include all type of experience: paid employment, volunteer work, student activities, work
experience, classroom work, project work, social organization (e.g. club or team activities)
 Excellent option when the job seeker has a weak career history, but they have great skills. This
resume minimizes your work history to the bottom of the resume.
 Emphasizes skills that you have perfected, what you have done and can do, rather than
where or when you did it.
 This format is excellent for new job seeker with little or no career history such as recent
graduates.
 This format is great for people who have been away from the career world and are re-
entering after a break. It can emphasize your transferrable skills that apply to all workforces.
 This resume format is good for older workers who wish to de-emphasize the time span
of their experience.
 This resume is very important to consider for applicants looking for a career change - change
of field, sector or direction.

Not always the proper resume type to choose;

 This format is not always well received by employers.


 It is something thought that this resume style is designed to "hide something"! This is an
important point, be careful and honest when using this format.
 Many online application systems request a timeline of employment, this format can be
difficult to use under this request.

HYBRID/COMBINATION RESUME FORMAT:


What is the combination format?

This resume type begins with a functional summary of the job seekers most relevant qualifications,
key skills, key abilities, and most relevant work experience. This resume type gives a chronological
employment history but in a way that supports the summary. This resume is an excellent compromise
if you'd like to use a functional format, and want to emphasize your skills, education and experience
and de-emphasize your employment dates.
