About this booklet

This assessment booklet has been designed for students undertaking face-to-face mode of study to provide
information before you undertake these assessments. It also contains assessment tools to assess the skills and
knowledge required from you to be deemed competent in this unit.

This booklet might not be suitable for students taking other modes of study e.g. online or work based.

Please read all the information given to you when you receive this assessment booklet. If you do not understand any
part of this booklet, please inform your assessor.

The assessment booklet contains two (2) parts:

PART 1: Assessment information: This part contains information on the assessment for this unit of competency
and how an assessment will be conducted throughout this unit to achieve the competency. It includes:

PART 1: Assessment information

Application of the unit of competency:

This unit describes the skills and knowledge required to develop and maintain information processing systems to
support decision making; and to optimise the use of knowledge and learning throughout the organisation.

It applies to individuals who are responsible for ensuring that critical knowledge and information are readily
available to review the organisation’s performance and to ensure its effective functioning. It applies to a wide range
of knowledge and information such as business performance data, customer feedback, statistical data and financial
data.

No licensing, legislative or certification requirements apply to this unit at the time of publication.

Purpose of assessment:
The purpose of assessment is to determine competency in the unit BSBINM601- Manage Knowledge and
Information

Performance evidence:
Evidence of the ability to:

Context and conditions for assessment:


To comply with the assessment conditions of this unit:
 Students must demonstrate adequate skills and knowledge evidence by providing a satisfactory outcome for
each assessment task. They will be marked against the recommended model answers in this trainer and
assessor guide.
 Skills for this unit of competency will be demonstrated in Blue Lotus College classroom located at Level 2,
540 Elizabeth Street, Melbourne VIC 3000.
 Students will have access to suitable facilities, equipment and resources, including template documentation to
undertake the assessment tasks for this unit of competency.
 Assessors must satisfy NVR/AQTF assessor requirements.

Assessment must be conducted in a safe environment where evidence gathered demonstrates consistent performance of
typical activities experienced in the knowledge management – information management field of work and include
access to:

 relevant legislation, regulations, standards and codes


 relevant workplace documentation and resources
 relevant technology and equipment
 case studies and, where possible, real situations
 interaction with others.

Clustering/holistic assessment:
There is no provision for clustering of assessments in this unit.

Competency requirements:

To be judged competent in this unit, you will be required to demonstrate all indicators which are shown in the Marking
Guide (assessor’s document).
You must satisfactorily complete all assessment tasks to be Competent (C) in the unit. Students with unsatisfactory
completion of any of the assignment tasks will be deemed Not Yet Competent (NYC).
Assessors will ensure that the evidence collected meets the requirements of the Rules of Evidence (authentic, current,
sufficient and valid) prior to entering results into the competency record sheet.
Students unsuccessful at achieving “Satisfactory” for any assessment at the first attempt will be given two opportunities
for reassessment. If the student is still deemed Not Yet Competent (NYC) after two reassessments in a unit of
competency student will be required to repeat the unit as per the scheduled delivery of the course. For further details,
refer to BLUE LOTUS COLLEGE Re-Assessment Policy and BLUE LOTUS COLLEGE Course Progress Policy.

To achieve competency in this unit, you must satisfactorily complete all the following assessment tasks within the date
and time specified in the session plan. This will demonstrate that you have all the required skills and knowledge for this
unit.

You must read and follow this information carefully while completing assessments for this unit of competency and if
you are unsure of any instruction, please contact your assessor to clarify.
The assessments are intended to be equitable, fair and flexible.

Submission of assessment:

You must ensure that the completed assessment tasks are submitted along with the assessment cover sheet:

 Your assessor will mark the submitted assessment, provide feedback to you and complete the comments
section against each task, where applicable.
 ALL tasks must be completed in legible English. It is preferred that the tasks submitted for assessments are
typed and that they are legible and clear, if handwritten.
 You must submit all assessments on or before the due date specified by the assessor as per the training plan.
 Extensions for individual assessment tasks may be negotiated in specific circumstances with your
assessor/trainer. However, you need to provide genuine evidence documents when seeking an extension to due
date (e.g. extensions due to illness will require a medical certificate). To arrange an extension, you must speak
to your assessor prior to the due date. Extensions must be confirmed by the trainer in writing.
 You are permitted to use dictionaries and to seek support (as required) unless it puts in jeopardy the integrity of
the assessment, your assessor will let you know if this is the case.
 Unless the assessment task specifically allows pair work or group activities such as brainstorming, you must
submit your own original work and must not copy the work of other students. Plagiarism is unacceptable.
 You can submit your assessment tasks through the learning management system or hand in hard copies in the
classroom.

Recording an assessment result:


Once the assessments have been completed, the assessor will record the assessment results on the student assessment
record sheets and LMS/student management system and all results will be approved by the course coordinator.
Assessors will check that you have completed the student declaration prior to filling out the assessment sheet.

BLUE LOTUS COLLEGE will securely retain all completed student assessment items for each student for a period of
six months from the date on which the judgement of competence for the student was made. BLUE LOTUS COLLEGE
will also retain sufficient data to be able to reissue AQF certification documentation for a period of 30 years.

All assessment records submitted to the assessor for marking will be stored and retained properly. And a hard copy
submitted to student administration for filing along with the evidence.
The assessor will ensure that the student records are securely retained in accordance with the BLUE LOTUS
COLLEGE record control policy accessible by the Student Administration Officer.

Assessment outcomes:
For unit of competency:

There are two outcomes for assessments: C = Competent and NYC = Not Yet Competent (requires more training and
experience).
You will be awarded C = Competent on completion of the unit when the assessor is satisfied that you have completed
all assessments and have provided the appropriate evidence required to meet all criteria in line with the Rules of
Evidence. If you fail to meet this requirement, you will receive the result NYC = Not Yet Competent and will be
eligible to be re-assessed in accordance with the BLUE LOTUS COLLEGE Re-Assessment Policy and BLUE LOTUS
COLLEGE Course Progress Policy.

For assessment task:

There are two assessment outcomes for tasks. S = Satisfactory and NS = Not Satisfactory.
On the individual assessment cover sheet for assessment tasks you will be marked Satisfactory, if you have completed
the task successfully, submitted all evidence and satisfied the assessment criteria and Not Satisfactory, if you have not
completed the task, the evidence is not sufficient or does not meet the requirements of the assessment criteria.

Re-assessment:
If you are unsuccessful at achieving competency at the first attempt, you will be given two further opportunities for re-
assessment at a mutually agreed time and date. For further details, refer to the BLUE LOTUS COLLEGE Re-
Assessment Policy and BLUE LOTUS COLLEGE Course Progress Policy. As this is a competency based program, the
assessment continues throughout the program until you either achieve Competency in the assessment tasks or a further
training need is identified and addressed.
Student access to records:

You have the right to access current and accurate records of your participation and results at any time. You can see your
results or attendance progress by logging in to the Learning Management System at any time or you can request a copy
of your records by contacting the student administration and the assessor.
Support:
You may seek clarification about the assessment information and the instructions and tasks at any time from the
assessor.

Reasonable adjustments and special learning needs:

BLUE LOTUS COLLEGE Australia works to ensure that students with recognized disadvantages can access and
participate in education and training on the same basis as other students. Disadvantages may be based, for example,
upon age, cultural background, physical disability, limited or non-current industry experience, language, numeracy or
digital literacy issues.
Where pre-training interviews and assessments reveal that a student may require special support or where, after
enrolment, it is made apparent that the student requires special support, reasonable adjustments will be made to the
learning environment, training delivery, learning resources and/or assessment tasks to accommodate the particular
needs of the student. An adjustment is reasonable if it can accommodate the student’s particular needs, while also taking
into account factors such as the student’s views, the potential effect of the adjustment on the student and others and the
costs and benefits of making the adjustment.

Any adjustments made must:


a. Be discussed, agreed and documented in the assessment record
b. Benefit the student.
c. Maintain the integrity of the competency standards and course requirements as stipulated in the training
package.
d. Be reasonable to expect in a workplace.

Reasonable adjustment may consist of:


a. Providing additional time for students to complete learning and assessment tasks.
b. Presenting questions orally for students with literacy issues.
c. Asking questions in a relevant practical context.
d. Using large print material.
e. Extending the course duration.
f. Presenting work instructions in diagrammatic or pictorial form instead of words and sentences.

Complaints and appeals:


If you are dissatisfied with an assessment outcome, you may appeal the assessment decision. In the first instance, you
are encouraged to appeal informally by contacting the assessor and discussing the matter with them. If you are
dissatisfied with the outcome of such discussion, you may appeal further to either the course coordinator and/or Head of
Department. If you are still dissatisfied, you may appeal formally and in writing to have the result reviewed. For more
information, refer to the Assessment Policy and the Complaints and Appeals Policy and Procedures.

Assessor intervention:

Assessors will check if you are ready for the assessment, and defer the assessment if you are not. Feedback will be
given to you at the completion of the assessment. During role play, the assessor may act as a client or employer, where
required, but the assessor will not interfere with the assessment. If the assessment activities might impact on your safety
or that of others, the assessor will stop the assessment immediately.

Plagiarism, cheating and assessment dishonesty:

BLUE LOTUS COLLEGE considers plagiarism and cheating as a serious misdemeanor. Evidence of plagiarism and
cheating is treated on a case by case basis and the consequences for students engaging in such practices may include
failure of the assessment or unit or exclusion from the course. For more information, refer to BLUE LOTUS
COLLEGE’s Assessment Policy.

Question 1: Give examples of 2 existing and emerging technologies and how they can be used
in knowledge and information management.

Answer: The two main existing and emerging technologies include:


Management Information Systems (MIS): Formal systems that are used for
collecting, storing and synthesizing information that helps with management
decision making. It broadly refers to a computer-based system and acts as a tool to
efficiently manage departments within an organization. Examples include
accounting and finance systems, decision support systems etc.

2. Decision Support Systems (DSS): A DSS may present information graphically


and may include an expert system or artificial intelligence (AI). It may be aimed at
business executives or some other group of knowledge workers. Examples include
descriptive analysis that helps predict future trends.

Question 2: Explain statistical analysis and other quantitative methods commonly used in
decision making. You must include at least three of:
o Correlation calculations

o Long-term trend analyses

Answer: 1. Correlation Calculations: It is the type of statistical analysis that related two
sets of data that are strongly linked to each other i.e have high correlation.
Correlation is positive if both set of values increase and is negative when values
of both sets are going in the opposite direction.

2. Long Term Trend Analysis: In this statistical analysis, information is


collected and a pattern is spotted/ trend is spotted. It is mainly used for predict
future event. A trend line indicated a momentum and alerts about the rate of
increase or decrease in a particular set of information like share price. When
institutions hold stocks for a longer term, they are not concerned about short-term
fluctuations.

3. Probability Assessment: This method of statistical analysis is based on
judgement of the probability of an event happening. The methods of determining
a probability are generally mathematical. This is basically done by applying the
theories or by conducting experiments. In cases, when there is no scientific
bearing, probability of the events is estimated by the individual’s opinion. This
type of probability is referred to as subjective probability.

Question 3: Outline key features of management information systems and decision support
systems.

Answer: Features of MIS and DSS include


1. Ensuring Sufficient Valid and Reliable Information: To see if the information
that is being gathering is valid, consider or evaluate whether the information relates to
the problem or hypothesis being investigated, i.e if your information is current, written
by an expert in the area of investigation, without bias and is from a reputable source,
then information could be considered reliable. To determine if the information
gathered is accurate, similar information needs to be found in at least two valid and
reliable sources.

2. Utilising Risk Management Plans to Determine Acceptable Course of Action:


RM is the process of identifying potential negative events and developing plans to
minimize the likelihood or consequences of the same. Efforts need to focused on
managing IT security and vulnerabilities, managing compliance and managing
emergency situations and ensuring continuity of operations. Risk management must be
considered as part of a knowledge management (KM) environment and hence can use
KM framework to illustrate process including capturing and documenting knowledge,
disseminating best practices etc.

3. Utilising Appropriate Quantitative Methods to Assist Decision Making: The


correct quantitative method needs to be used to assist in effective decision making so
that it resolves the issues relating to information management. Some of the method
includes Dynamic and Linear Programming, Queuing Theory etc.

4. Consulting Specialist and Other Relevant Groups and Individuals: Consultant


specialists’ personnel who have knowledge about the issue being dealt with and the
expertise to assist the decision-making process. IT consultancies often estimate,
manage, implement, deploy, and administer IT systems on behalf of their client
organisations - a practice known as ‘outsourcing’. They need to possess advisory
skills along with business skill, management skills etc.

5. Ensure Decisions Taken are within the Delegation/ Accountability of the


Group/Individual Responsible: An organisation decides who is authorised to make
what types of decisions and can have a profound effect on its business, both in terms
of everyday effectiveness and the bottom line. Delegation process can be used which
gives authority to lower level employees. A process of Groupthink can also be used

Case Study

Margaret House, CEO of Bounce Fitness and the Board of Directors are keen to have the four Centres registered
with Fitness Australia (http://www.fitness.org.au). They feel that standards required to be met as a registered fitness
centre would not only ensure the credibility of the organisation in the eyes of the public but provide goals for the
Centre Managers and teams.
Registration will require meeting the Code of Conduct for the state in which each Centre is located and ensuring that
all trainers meet, or immediately undertake training to meet certain standards. Information about the registration can
be obtained by going to the Fitness Australia website and clicking on the Registration and Policies and Guidelines
tabs. The Codes of Conduct for each State can be found on the Policies and Guidelines tab, Business Principles and
Guidelines section, if you scroll down the page.
The minimum educational qualification required by Bounce Fitness for all trainers is the Certificate III in Fitness
Instructing and all trainers must hold this to continue to work as a trainer of classes and individual clients. At this
point in time, this has not been consistently applied. In Cairns all are qualified, in Brisbane two need the basic
training, two also in Sydney and in Melbourne there is one. It is intended under the change management initiative
that all trainers, once they have completed the basic training will continue to pursue further training, the Certificate
IV and Diploma, annually as personal development.
Bounce Fitness will pay for the training fees and other incidentals such as text book requirements and provide one
paid hour per week for study leave. Bounce Fitness will also reimburse travel and accommodation for compulsory
study attendance sessions.
It is expected that the change management process will be fairly smooth if adequate measures are taken and the
process is well managed. The major resistance will come from the five trainers who do not have this qualification
and have learned through experience. They do not feel that a qualification is necessary. They have indicated that they
are not keen to participate in the further training initiative.
If the whole standardisation process is not managed carefully, there is a potential for dissatisfaction and all Centres
may not comply with the standardised procedures. This is a major concern for the Executive; hence your
recommendations are crucial.
You have been asked to investigate the feasibility, benefits and practicality of entering into such a relationship with
Fitness Australia and make recommendations. Prepare a report for submission to the CEO and Board.

Task 1: Obtain Information

This task requires you to gain background information. On your own paper, address the following points to ensure you
have all the necessary information:

a) Review the information in the Case Study; examine the information on the Bounce Fitness website and the
website of Fitness Australia.

Bounce Fitness’s quality policy is to achieve sustained, profitable growth by providing services which consistently
satisfy the needs and expectations of its customers. This level of quality is achieved through adoption of a system
of procedures that reflect the competence of Bounce Fitness to existing customers, potential customers, and
independent auditing authorities. Achievement of this policy involves all staff, who are individually responsible for
the quality of their work, resulting in a continually improving working environment for all. This policy is provided
and explained to each employee by the Centre Manager or in the case of Head Office employment, the General
Manager Human Resources. To achieve and maintain the required level of assurance the General Manager retains
responsibility for the Quality System with routine operation controlled by the Centre Managers. The objectives of
the Quality Assurance System are: a) To maintain an effective Quality Assurance System. b) To achieve and
maintain a level of quality which enhances the Bounce Fitness’ reputation with customers. c) To ensure compliance
with relevant statutory and safety requirements. d) To endeavour, at all times, to maximise customer satisfaction
with the services provided by Bounce Fitness.

fitness business owners. We want nationally recognised fitness industry standards and best practice in the

These policies and guidelines also express Fitness Australia's position and policy directions for the health and
fitness industry. 
Exercise Professionals have a duty of care to prevent harm, which could reasonably be expected to occur in the
course of providing advice or instruction to clients. The professional standards and guidelines we’ve developed
help you exercise your duty of care and mitigate risk.
If a AusREP is alleged to have breached their of duty of care, we'll examine their compliance with our standards
and guidelines. 

b) Identify, define and analyse the business problems and issues.


1. Getting Trainers Certified: In order to achive standards of Fitness Australia we need to ensure all trainers are
atleast have Certificate 3 in Fitness. This would mean getting trainers to spend time getting that certification which
will incure additional financial and resource cost to busieness.
2. Getting all centres equally standardised: As each centers have there own process and procedure it will be equally
important to bring all centers to have same standards and follow the code of conduct defined by fitness Australia.
This change will affect the working environment, employee relationship and might also affect some customers.

c) Identify what information you will require to provide to the CEO and Board of Directors to allow them to
make a decision.

official and/or authoritative source. When information seems ambiguous it should be rejected; a reliable source
will explain the information clearly and concisely, while a rambling source that does not explain the
information properly is probably not a well informed and reliable source:

Objectives:
1. Meeting the Code of Conduct for the state in which each Centre is located.
2. Getting all 5 trainers signed up and certified to the standard level.
3. Standardizing all the centres according to the guideline of Fitness Australia

b) Describe the patterns or trends emerging? Why do you think these are occurring and what has been the result?
Solve problems
We know that trainers need to achieve certificate of fitness in compliance with fitness australia. We can examine the
course and incorporate the learnings to within our onboarding plan and then we can use this information to plan for
future recruits. By examining these trends, we may find out that the getting trainers certified during onboarding actually
results in a significant increase in staff retention and , so it keeps bounce fitness compliant with fitness australia thus
solving the problem of the significant drop.

Identify problems
Finding out that trainers needs to have certification 3 in fitness in order for bounce fitness to be compliant with Fitness
Australia

Continuous improvement
By incorporating the certification learning in onboarding plan the trainers will be able to achieve the certification easily
and faster.

This would help because:

Interpret cause and effect You can analyse patterns and trends to identify both the cause and the effect; searching back
to see what triggered the event in order to determine the cause. You can analyse the effect of the event by measuring the
data and changes in the period after the cause or trigger.

Problem: Getting Trainers certified to meet the requirement for Fitness Australia
Solution: Manage trainers by providing them support and resources to achieve the certification in
faster cheaper way.

What if this upsets the staff?


Morale will drop and people may leave or be unhappy in their work.

What if this means that there are not enough hours to get everything done?
Then client facing time will fall behind and Clients requirements will not be met.

What if output and morale suffer?


Then the business will gain a negative reputation and may lose new and existing customers

e) How have you ensured that your analysis has been conducted using a logical approach to the evaluation and
conclusions drawn by you?
At this point it is useful to review the objectives to ensure that we have not strayed
from the purpose.

Ask ourself whether our objectives meet the following characteristics which make

A well-defined set of objectives includes ‘everything that matters’ in making the


decision. This means all the environmental, social and economic outcomes that may
be affected by the decision. To know whether your objectives are complete, you need

general objectives. This hierarchical structure helps to simplify evaluation.

Objectives should be measurable, but they also need to be conceptually clear enough
that measures or evaluation criteria can be later defined.
Understandable

Keep them simple; in essence, – just the thing that matters and the direction it should move in.
Use commonly understood terms rather than scientific jargon. Anything further is a source of
potential debate and misunderstanding. Bear in mind however that many objectives are only
made understandable through the use of sub-objectives and eventually specific evaluation
criteria

f) How would you adjust any information collection systems currently in place? Include recommendations for
improvements to the information collection in your final report.

One way of adjusting the information system to meet processing objectives is filtering results.
We can filter results to show only the relevant information that we need for our decision like

 Filtering sales records to show a specific trainer’s results


 Filtering expenditure records to show only money spent on certification.
 Filtering which trainer is certified and which one needs more certifications.

Task 3: Making the Decisions


This task requires you to requires you to make decisions. On your own paper, address the following points
to ensure you have all the necessary information:

a) Do you have enough information to make valid, credible and reliable recommendations to the
CEO and Board of Directors? How do you know that you have sufficient information and that it is
valid and reliable? Document your recommendations – one must relate to the use of an information
system to capture future information relevant to this project.

Yes, we have enough information from Fitness Australia website and since this is a .org website hence
it is trusted and a reliable source.

b) What risk management plans have you put into place to determine acceptable courses of action?
Problem: Managing and ensuring all the trainer have achieved certification 3 .

The risk: upsetting Trainers, reduce morale.

Possible solutions:
1. Ensure the learning hour is provided within work hours: This solution is likely to put trainer
feel learning as a part of the job and would still be within working hours which would mean less
time spent on the floor leading to decrease in customer satisfaction;

2. Hiring a trainer to teach them: This solution may also feel like the trainer is not getting value
for their experience, as the trainer will be teaching what they already know
3. Creating a learning group as a part of promotion imitative: This will incentivise the trainers to
learn and achieve certification and will also feel valued and rewarded for achieving the
certification.

Conclusion: Creating a learnings group as a part of promotion initiative seems like the safest
option as trainers are less likely to outright object to this.

c) What quantitative methods did you use to assist your decision making?
We used the following quantitative method:
Linear programming
Linear programming is an optimising technique that focuses upon finding the best value or result
possible from a given scenario. An example of this may be balancing certification cost and
quality training to meet a point whereby the best Trainers can be certified for the best possible
price.

d) With whom would you consult when making decisions about information to use?
Consulting with Head of Fitness Trainer, Head of Finance and CEO.

e) How have you ensured that any decisions taken on information use are within the appropriate
authority of the decision maker?
Appropriate decision making

It is important that anyone making a decision is trained, authorised and eligible to do so; in order to
make an informed decision for the best interests of the company, a decision maker needs to
understand the problem, their solution and how this will affect the organisation. People or groups
who are eligible to make decisions will be permitted to do so; people or groups who do not possess
these qualities will not.

Hence:

Task 1: Presentation

This task requires you to demonstrate your ability to communicate and consult. You must ensure all relevant groups
and individuals are advised of what is occurring and are provided with an opportunity for input. To demonstrate
your communication skills, you will now present your report to your Assessor and training group.

 You must orally present this report exactly as you would to the CEO and Board of Directors of Bounce
Fitness. You must be clear, knowledgeable and influencing in your presentation. The Assessor and group
may question aspects of your presentation and you must respond credibly and accurately.
