Business Profile:

The Daniel B. Peña Memorial Institute stands as one of the few pioneering
educational institutions in the province of Albay. Founded in 1949, a faithful wife and
benefactor Mrs. Concepcion Rios Peña dedicated it to the memory of a worthy husband
who died during the Japanese time in 1942.

On July 1963, the institute was changed to Daniel B. Peña Memorial College
Foundation, Inc., a non-stock and non-profit institution of higher learning, established in
the pursuit of truth, knowledge and wisdom for the service of the youth, people, country,
and God and in humbly helping push toward the frontier of building and enduring Filipino
nation deeply imbued with the ideals of scholarship, leadership, thrift, courage, service
and charity based on the educational mandates of moral character, personal discipline,
civic conscience, vocational efficiency, and responsible citizenship. Generally, it aims at
the wholistic formation of the student; the harmonious and progressive development of
their spiritual and intellectual, social and physical faculties from their initiation into
general education.

The Daniel B. Peña Memorial College Foundation is an institution of higher


learning that admits students who possess qualities that are necessary to worthwhile
and profitable college life. The school reserves the right to refuse enrolment or re-
enrolment of the students. The committee on admission shall enforce the rules and
such other admission as may be issued from time to time by the administration.

Rationale

The Daniel B. Peña Memorial College Foundation has been planning all year
long to improve its major services for the benefits of its students and employees. One of
the services the institution wanted to improve is the enrolment system as its commitment
for best service possible. In more than 50 years of existence, it never had the chance
and technology to find a faster, economical, and efficient means of processing enrolment
data.

The school is exerting its efforts to achieve an improved quality of school life thru
the computerization of enrolment program. It acknowledges and upholds the maximum
participation of people in the school development. Development in the school occurs
without the full participation of the people. Human resource is the most vital resources
that the institution has. With this, the need to develop a computer-based enrolment
system was identified. Therefore, the need for its development is very prevalent, and
thus the necessity of providing this project proposal is so desired.

Objectives

General:

To develop a computer-based enrolment system that will provide the institution a


business management tool for improving its productivity without sacrificing the quality of
its services to the people.

Specific:

1. Improved enrolment service. It aims at improving service to the students and


school personnel to make it possible to reach the goal faster.
2. Effective enrolment controls. It aims to increase the accuracy of the enrolment
data gathered and processed by the institution and help ensure that data is
safe/secure and accurate.
3. Reduced enrolment cost. It aims to be more cost-effective and provide better
support for long-term objectives and achieved high-quality output with the least
investment of time, material, and other resources.
4. Better enrolment performance. It aims to meet performance requirements by
having consistent operations and automated procedures.
5. More information. It aims also to produce/generate the information that is
sufficient, complete, and able to support the institution’s changing information
needs.
Brief Description of the Proposed Enrolment System

The proposed DBPMCF Enrolment System will feature the common proposed
enhancements for existing enrolment systems for the correction of errors and to zero in
the problems on data entry and handling. Since the growing student populace has
brought increase in the amount of information that must be processed, the institution has
realized that a future possible reliance upon a computer-base enrolment system to
effectively perform information-processing and handling requirements of the enrolment
process is a practical option.

The proposed enrolment system is aimed to give faster turnaround to the


enrolment services for the benefits of the student-clients, personnel and the whole
organization as well. It will automate enrolment procedures to encourage the best
utilization and allocation of human effort and labor and further attempt to eliminate
duplication, redundancy, and wasted effort.

The proposed system can be used to effectively manage the pertinent data and
information needed in the enrolment process. The acquisition, storage, manipulation,
retrieval, and sharing of data will be automated for ease of implementation. The system
can extract specific information stored in various locations by linking them. For example,
at the end of the enrolment period, it can produce an enrolment form that accurately
reflects the student’s enrolled subjects including time, days, room assignments, and the
total assessment of fees.

In general, the proposed enrolment system will greatly enhance the way data and
information are processed and handled for greater efficiency and faster turnaround. It
would offer consistent operations and procedures for improved enrolment services.

Problems of the Existing Enrolment System

The following are the problem areas of the existing DBPMCF Enrolment System:

1. Processing of data is done using manual data processing system.


2. Data generated and processed is inaccurate.
3. Errors in data collected and information processed.
4. Information stored as files are not current and accurate.
5. Flow of information throughout the entire organization is not properly controlled
and managed.
6. Resources are not used to the best advantage of the organization and interest of
the stakeholders.
7. Data sharing and access is limited.
8. Data and information are unsecured and unsafe.
9. Human effort and labor sometimes leads to duplication, redundancy and wasted
effort.
10. Operations and procedures are inconsistent.
Scope and Limitations of the Proposed Enrolment System

The purpose of the study aims to achieve the following:

1. Design an enrolment system for Daniel B. Peña Memorial College Foundation of


Tabaco City, which will improve its enrolment services that would benefit the
students, parents, personnel, and the institution as a whole.
2. Design an enrolment database for the institution for their database specifications
and database management requirements.
3. Plan and design an orderly flow of data and information throughout the
organization for data-sharing purposes and requirements by the students and
members of the organization.
4. Enhance the enrolment process of the institution to have an effective and
efficient means of processing enrolment information.
5. Provide accurate data and information accessible to all stakeholders of the
organization for their decision-making activities.
6. Aid the organization in achieving high-quality output through the proposed
computer-based enrolment system.

Expected Results of the Proposed System

At the end of the development period, the system shall have been to:

1. Implement fully the completed functioning enrolment system to speed up the


enrolment processes of DBPMCF.
2. Bridge the information gap of all departments in the entire organization, paving
them the way to unity, understanding, empowerment, and improved service and
better performance.
